  • Body: The body of the speech is where you elaborate on your main points or arguments. Each point is typically supported by evidence, examples, statistics, or anecdotes. The body should be organized logically and coherently, with smooth transitions between the main points.

How to structure a good speech

You know what message you want to transmit, who you’re delivering it to, and even how you want to say it. But you need to know how to start, develop, and close a speech before writing it. 

Think of a speech like an essay. It should have an introduction, conclusion, and body sections in between. This places ideas in a logical order that the audience can better understand and follow them. Learning how to make a speech with an outline gives your storytelling the scaffolding it needs to get its point across.

Here’s a general speech structure to guide your writing process:

  • Explanation 1

How to write a compelling speech opener

Some research shows that engaged audiences pay attention for only 15 to 20 minutes at a time. Other estimates are even lower, citing that people stop listening intently in fewer than 10 minutes . If you make a good first impression at the beginning of your speech, you have a better chance of interesting your audience through the middle when attention spans fade. 

Implementing the INTRO model can help grab and keep your audience’s attention as soon as you start speaking. This acronym stands for interest, need, timing, roadmap, and objectives, and it represents the key points you should hit in an opening. 

Here’s what to include for each of these points: 

  • Interest : Introduce yourself or your topic concisely and speak with confidence . Write a compelling opening statement using relevant data or an anecdote that the audience can relate to.
  • Needs : The audience is listening to you because they have something to learn. If you’re pitching a new app idea to a panel of investors, those potential partners want to discover more about your product and what they can earn from it. Read the room and gently remind them of the purpose of your speech. 
  • Timing : When appropriate, let your audience know how long you’ll speak. This lets listeners set expectations and keep tabs on their own attention span. If a weary audience member knows you’ll talk for 40 minutes, they can better manage their energy as that time goes on. 
  • Routemap : Give a brief overview of the three main points you’ll cover in your speech. If an audience member’s attention starts to drop off and they miss a few sentences, they can more easily get their bearings if they know the general outline of the presentation.
  • Objectives : Tell the audience what you hope to achieve, encouraging them to listen to the end for the payout. 

Writing the middle of a speech

The body of your speech is the most information-dense section. Facts, visual aids, PowerPoints — all this information meets an audience with a waning attention span. Sticking to the speech structure gives your message focus and keeps you from going off track, making everything you say as useful as possible.

Limit the middle of your speech to three points, and support them with no more than three explanations. Following this model organizes your thoughts and prevents you from offering more information than the audience can retain. 

Using this section of the speech to make your presentation interactive can add interest and engage your audience. Try including a video or demonstration to break the monotony. A quick poll or survey also keeps the audience on their toes. 

Wrapping the speech up

But repetition aids memory and learning , helping your audience retain what you’ve told them. Use your speech’s conclusion to summarize the main points with a few short sentences.

Try to end on a memorable note, like posing a motivational quote or a thoughtful question the audience can contemplate once they leave. In proposal or pitch-style speeches, consider landing on a call to action (CTA) that invites your audience to take the next step.

How to write a good speech

If public speaking gives you the jitters, you’re not alone. Roughly 80% of the population feels nervous before giving a speech, and another 10% percent experiences intense anxiety and sometimes even panic.

  • What do I want my audience to feel, think, or do after I finish speaking? 
  • What parts of my message could be confusing and require further explanation?

2. Know your audience

Understanding your audience is crucial for tailoring your speech effectively. Consider the demographics of your audience, their interests, and their expectations. For instance, if you're addressing a group of healthcare professionals, you'll want to use medical terminology and data that resonate with them. Conversely, if your audience is a group of young students, you'd adjust your content to be more relatable to their experiences and interests. 

3. Choose a clear message

Your message should be the central idea that you want your audience to take away from your speech. Let's say you're giving a speech on climate change. Your clear message might be something like, "Individual actions can make a significant impact on mitigating climate change." Throughout your speech, all your points and examples should support this central message, reinforcing it for your audience.

4. Structure your speech

Organizing your speech properly keeps your audience engaged and helps them follow your ideas. The introduction should grab your audience's attention and introduce the topic. For example, if you're discussing space exploration, you could start with a fascinating fact about a recent space mission. What Makes a Great Speech?

Friends! Brothers and sisters! Comrades! Fellow citizens! Your majesties and highnesses! My countrymen! My children! Fellow soldiers! Ladies and gentlemen!

You can tell much by the opening of a speech. Elizabeth I begins hers majestically, “My loving people.” Mandela says, “Comrades and friends.” Lincoln starts: “Fellow countrymen.” Toussaint Louverture combines “Brothers and friends!.” For Robespierre: “Citizen-representatives of the people.” Michelle Obama calls her audience of schoolgirls “future leaders of the world.” Stalin changes his entire relationship with the Soviet peoples when, after the Nazi invasion, he addresses them on July 3, 1941 not just as Communist “comrades” but as “brothers and sisters, I am addressing you, dear friends.” Eleazar, Jewish rebel leader, calls his people “generous friends” when he asks them to commit mass suicide with him. Calling an audience “friends” is often a good start, though Cromwell, talking to English Parliamentarians, takes a different approach: “Ye pack of mercenary wretches . . . Ye sordid prostitutes.”

Donald Trump does not address his audience directly but just says: “Wow! Whoa! That’s some group of people. Thousands!” The opening is all about defining the relationship—the terms of the contract, contact and compact—between speaker and audience. Invite them in, make them comfortable, but not necessarily too comfortable, because even the most egalitarian speaker must hold the helm and set the course.

It is easy to make rules on the best oratory. It must be short without glibness; substantial without ennui; powerful without haughtiness; dramatic without contrivance; confident without bombast; intimate without condescension; emotional without melodrama; courageous without bravado; beautiful without artifice; passionate without posturing; poignant without plangency; honest without vanity; world-historical without grandiloquence. “In an orator, the acuteness of the logicians, the wisdom of the philosophers, the language almost of poetry, the memory of lawyers, the voice of tragedians, the gesture almost of the best actors, is required,” wrote Cicero, one of the Rome’s best speakers, in his essay On Oratory. “Nothing therefore is more rarely found among mankind than a consummate orator.” It was written in 55 BC but is just as true today.

The most revealing speeches are those that are the most personal: in Alexander the Great’s speeches, we can hear across two millennia his pride in his own divine greatness—and fury at the ingratitude and impertinence of his mutinous men. Nixon’s farewell to his staff must be the most awkward speech of his life. In Stalin’s secret last speech, we are witnessing the real tyrant as vicious old man.

Authenticity and brevity. The essence of a great speech is always the ability to communicate a simple message crafted to suit the chosen audience, not only through words but through the fusion of the character of the speaker and the message itself. The authenticity of that matching of speaker and message decides its success or failure. It’s this that makes Elizabeth II’s COVID-19 speech so effective.

Oratory is theatrical. It requires some of the gifts of the thespian and the tricks of the showman but it is very different. At the theatre, the audience knows the actor is playing an imaginary part and wishes to enter into the fantasy. In oratory, it is the opposite. There is indeed a stage, a show, a drama, but while knowing this is a performance, the audience must trust that the “actor” is not acting at all, must believe in his or her sincerity and recognize their total self-belief. “The eloquent man is he who is no beautiful speaker but who is desperately drunk with a certain belief,” noted Ralph Waldo Emerson. That self-belief, abnormal in most mortals, essential in leaders, can be both virtue and sickness: the asset of confidence can so easily degenerate into psychopathic narcissism.

“All great speakers were bad speakers at first,” argued Emerson. This is not always true: Danton was a born speaker—you can hear his passionate energy. Compare Hitler and Churchill. Both worked exceedingly hard on their speeches. Photographs of Hitler by his court photographer show him posing like a camp actor as he worked on his stage show. His henchman Goebbels recalled that he rewrote each speech about five times, dictating changes to three secretaries simultaneously. Churchill, who started with a slight stammer and a lisp, proves Emerson’s point. He wrote his speeches by hand, over and over again, correcting and polishing. Hitler’s performances were theatrical spectaculars of physical athleticism, sometimes lasting hours, delivered to crowds first in sweaty beer halls then in illuminated stadiums.

Yet on paper, his phrases seem mediocre. Churchill’s were the opposite, delivered stolidly in House of Commons or BBC studio, but the phrases are golden and timeless. Both worked well on radio: Would either have worked on television? Certainly not Churchill. Yet the melodrama of the movie Triumph of the Will shows that Hitler might have shone if CNN had existed to broadcast his long rallies.

In some ways, the speaker is extraordinarily exposed but the payoff is the ability to communicate directly to the audience. The speeches of the French Revolution often ended with the arrest and beheading of the speaker—a spontaneity that Robespierre and Danton both encouraged, both fell victim to. It was the same in the assembly of democratic Athens. Alexander the Great could have been cut down by his mutinous soldiers when he addressed them so rudely. The speaker is taking a risk, and that very gamble can win the love of the audience: Napoleon’s speech to his Old Guard appeals to the intimacy of general and soldier. When he returned to seize power for the Hundred Days, he only had to speak to them and they defected to him.

In 1989, the Romanian dictator Nikolai Ceauşescu lost control of his country in a speech that culminated in booing then revolution. He fled by helicopter and was then arrested and executed. In 21st-century Venezuela, the brutal, bungling dictator Nicolás Maduro regularly revealed his coarseness with comical mispronunciations: during a speech on education, he meant to quote Jesus multiplying the “loaves and the fishes,” but instead said, “to multiply ourselves like Christ multiplied the penises—sorry the fish and the bread,” to national guffaws. The Spanish words for fish and penis are similar—but not identical.

The length of a speech is often proportional to its vainglory. “Brevity is the great charm of eloquence,” decreed Cicero, who believed “the best orator is to the point and impassioned.” While Lincoln’s masterpiece at Gettysburg is just 278 words long, Fidel Castro, Communist dictator of Cuba, once spoke for seven hours: the image he was seeking was machismo personified; virile, almost priapic, endurance coupled with dictatorial omnipotence. The wartime speeches of Hitler and Italian dictator Mussolini were also preposterously long. “Speeches measured by the hour,” said Jefferson, “die with the hour.” Pitt the Younger’s speech lasted a few seconds but is sublime. The power to bore an audience is a classic manifestation of tyranny. The freer an audience the less it will tolerate.

Yet fairground hucksterism not only works—it is often mesmerizing. As Hitler, Eva Perón and others show, audiences revel in the brazenness of charisma, bombast and melodrama: bold theatricality and the excitement of crowd behavior can combine to enchant and intoxicate, audiences embracing a sort of frenzied madness.

There is a difference between demagoguery and oratory: “Eloquence cannot exist under a despotic form of government,” wrote Tacitus in his essay The Corruption of Eloquence. “It can only exist in lands where free institutions flourish. There is nothing in the world like a persuasive speech to fuddle the mental apparatus and upset the convictions and debauch the emotions of an audience not practiced in the tricks and delusions of oratory.” But the difference between vulgarity and eloquence is in the eye of the beholder.

Worthy virtue can bore its listeners to death: “In doing good, we are generally cold, and languid, and sluggish; and of all things afraid of being too much in the right,” comments Edmund Burke. “But the works of malice and injustice are quite in another style. They are finished with a bold, masterly hand; touched as they are with the spirit of those vehement passions that call forth all our energies, whenever we oppress and persecute.” The Devil often has the best lines. Robespierre’s call for Terror is powerful, elegant and bloodthirsty. But not always. Himmler is no orator.

Speeches are tools of power as essential as artillery or gold: “instruments that a president uses to govern,” in the words of JFK’s speechwriter Ted Sorenson. Even without the poetry of a Martin Luther King Jr., there are methods to make them work. “If you have an important point to make,” said Churchill, “don’t try to be subtle and clever, use a piledriver. Make that point one time, hit it again. A third time. A tremendous whack!”

Each speech tells a story in which hindsight can be heartbreaking. Egyptian president Sadat and Israeli prime minister Rabin both had made their careers as warlords—and when they made peace, their speeches were powerful, not just because they were superbly written (Rabin’s especially touching since he was in person shy, rough and reticent). They are even more poignant now that we know that both of them paid for their courage with their lives. It is impossible to read Martin Luther King Jr.’s “I’ve seen the Promised Land” without feeling that he understood that he was doomed.

Then we have the ritual of the last goodbye. The dying Evita’s adieu from the Casa Rosada is every bit as emotional as the song from the musical she inspired. Napoleon’s tearful departure verges on cheap melodrama—very different from the sad elegiac haughtiness of Charles I before his execution. It is hard to grieve for the merciless secret police killer Yezhov who appeals to his master Stalin before he is shot.

The best speakers have the ability to make ideas and aspirations come alive—“thoughts on fire,” as William Jenning Bryan, the American populist, put it—so that their audiences feel they are part of something greater than themselves, part of a dream that may come true. JFK’s inaugural speech and Martin Luther King Jr.’s “I have a dream” both achieve this.

Wartime speeches have special functions: they depend on the management of expectations. Elizabeth I made a virtue of the perceived weakness of femininity. Churchill “mobilized the English language and sent it into battle” (in the words of CBS reporter Edward Murrow and reused by JFK) by offering only blood and tears. The Jewish commander Eleazar at Masada persuaded nine hundred men, women and children that they should commit suicide en masse rather than face execution, slavery and rape at the hands of the Roman victors.

Speeches that begin wars offer easy prizes in return for little blood spilled—and that blood hopefully foreign. Pope Urban II invented Christian holy war as the equivalent of Islamic jihad and inspired the first crusaders to take Jerusalem, offering a mix of faith, penance and plunder. Hitler’s speech opening the Second World War with his invasion of Poland is full of militaristic bravado. His audience believed victory was assured since he had outwitted all the great world powers and annexed two countries without a shot fired. Similarly, when he declared war on America in December 1941, he believed he was losing nothing and intimidating America to keep out of Europe. The consequences were the opposite of those intended.

Elizabeth, Hitler, Churchill, Lincoln wrote their own speeches, but JFK worked on his with Sorenson; Reagan’s were brilliantly written by Peggy Noonan. The best speech writers are literary ventriloquists. They are molded to the speaker, but they can also invent a new persona. Noonan’s cowboy’s lament for Reagan’s retirement evokes the myth of an old cowboy of the American West:

There’s still a lot of brush to clear out at the ranch, fences that need repair and horses to ride. But I want you to know that if the fires ever dim, I’ll leave my phone and address behind just in case you need a foot soldier. Just let me know and I’ll be there, as long as words don’t leave me and as long as this sweet country strives to be special during its shining moment on Earth.

But it must be plausible to maintain authenticity. Slickness can be suspicious; loquacity so quickly becomes verbosity. Trotsky was the wizard of oratory during the Russian Revolution, but ultimately the rough Bolsheviks distrusted his showmanship, preferring a speaker who made a virtue out of his own lack of magic which he presented as plain-speaking: Stalin. Gladstone’s performances to huge audiences were astonishing for their sanctimonious energy but they were also displays of grandiloquent vanity pricked by his witty rival Disraeli, who called Gladstone “a sophisticated rhetorician, inebriated with the exuberance of his own verbosity.”

The nature of speeches has changed over history thanks to technology. Some of the speeches from the ancient world were recorded by historians who wholly or partly invented speeches they had not heard—but it is likely that Josephus, Tacitus and others quoted here did talk to those who were present. Some of these speeches were the regular table talk of a monarch given to tiny groups of courtiers, such as Genghis Khan’s reflections on conquest and Muawiyah’s on the art of ruling. Cleopatra’s line about her fate was probably repeated by Octavian and recorded by the well-connected historian Livy—I count it as a speech because she was aware they were perhaps her last words on history’s stage.

Nero’s entire life as emperor was a self-conscious theatrical performance—as if he was living on a Roman reality TV show. If he had been alive today, he would certainly have starred in one. Of all the tyrants of the ancient world, he is strangely the most modern. He would have fitted well into the brutal buffoonery of 21st-century politics.

For most of human history, speeches could only be heard by a small number of people, thousands, not more. Those given in the Roman Senate, the Athenian Ecclesia or the English Parliament were initially heard only by those present. It was the same with the battlefield speeches of Alexander the Great before Issus or Henry V before Agincourt. The problem was solved on battlefields by the officers repeating the speeches to their regiments. In the age of printing, the public could read an official version—Elizabeth I’s Tilbury speech was published. Before TV or radio, political speeches were a form of entertainment, almost as much as theatre or musical recital. Thousands turned up to hear Gladstone’s Midlothian Campaign.

The invention of the microphone in 1877 meant that by the early years of the 20th century, speakers could address much larger crowds, leading to stadium spectaculars: “I know that men are won over less by the written than by the spoken word, that every great movement on this Earth owes its growth to great orators and not to great writers,” Hitler wrote in Mein Kampf. But live harangues to large crowds lacked the intimacy that the new technologies of TV delivered in the 1950s.

Television favored some, undermined others. Kennedy looked glamorous, Nixon furtive. Speakers could reach an even larger audience yet attention spans grew shorter. Some speeches were reduced to just the phrases—“the soundbite.” Tape recordings and video also meant that speeches could be given in private then copied and broadcast. The Iranian Revolution was won not on the streets or the minbars but in cassettes smuggled into the country bearing the speeches of Khomeini; Osama bin Laden spread his jihadism through smuggled videotapes.

The Internet and the podcast restored interest in listening to words, yet one might have expected twenty-four-hour news, multi-channel radio and TV, and the epidemic of smartphone distraction to shorten the patience of audiences. The laconic Lincoln would have found no problem with this, even if his lanky simian looks and clumsy, jerky movements would not have worked on screen. Yet the merging of news and entertainment has worked for some. The elegant Obama gave speeches—beautiful, almost Classical phrases, exquisite delivery (touches of Dr. King), inspirational themes (echoes of Lincoln)—that carried him to the presidency. Yet his polar opposite, the bombastic Trump, is an unconventional but very successful communicator and orator, improvising long meandering speeches that delighted rallies of his supporters. They were often broadcast in full, and proved compelling even to his critics. One does not recall the phrases but the impression is authentic and unforgettable.

Trump’s speechmaking highlights something bigger: today, oratory is flourishing in a way that is more visceral and popular than it ever was, even in Cicero’s Rome or Pericles’s Athens. Young speakers like Greta Thunberg and Malala can become instantly world-famous in one televised speech fighting for climate change reform or education. A brilliant novelist like Chimamanda Ngozi Adichie can talk about feminism as a podcast and reach millions. Speeches—or often visionbites or extracts of speeches—are viewed many millions of times on the Internet. The speech has never been more powerful because television and Internet have never been more dominant, while the “old”-style media—newspapers, mainly, and trustworthy news TV—has withered dangerously. So far it is autocrats and populists who have exploited this best by appealing over the heads of traditional media directly to “the people.” But if they can do so, others can, too.

What this handout is about

This handout will help you create an effective speech by establishing the purpose of your speech and making it easily understandable. It will also help you to analyze your audience and keep the audience interested.

What’s different about a speech?

Writing for public speaking isn’t so different from other types of writing. You want to engage your audience’s attention, convey your ideas in a logical manner and use reliable evidence to support your point. But the conditions for public speaking favor some writing qualities over others. When you write a speech, your audience is made up of listeners. They have only one chance to comprehend the information as you read it, so your speech must be well-organized and easily understood. In addition, the content of the speech and your delivery must fit the audience.

What’s your purpose?

People have gathered to hear you speak on a specific issue, and they expect to get something out of it immediately. And you, the speaker, hope to have an immediate effect on your audience. The purpose of your speech is to get the response you want. Most speeches invite audiences to react in one of three ways: feeling, thinking, or acting. For example, eulogies encourage emotional response from the audience; college lectures stimulate listeners to think about a topic from a different perspective; protest speeches in the Pit recommend actions the audience can take.

As you establish your purpose, ask yourself these questions:

  • What do you want the audience to learn or do?
  • If you are making an argument, why do you want them to agree with you?
  • If they already agree with you, why are you giving the speech?
  • How can your audience benefit from what you have to say?

Audience analysis

If your purpose is to get a certain response from your audience, you must consider who they are (or who you’re pretending they are). If you can identify ways to connect with your listeners, you can make your speech interesting and useful.

As you think of ways to appeal to your audience, ask yourself:

  • What do they have in common? Age? Interests? Ethnicity? Gender?
  • Do they know as much about your topic as you, or will you be introducing them to new ideas?
  • Why are these people listening to you? What are they looking for?
  • What level of detail will be effective for them?
  • What tone will be most effective in conveying your message?
  • What might offend or alienate them?

Creating an effective introduction

Get their attention, otherwise known as “the hook”.

Think about how you can relate to these listeners and get them to relate to you or your topic. Appealing to your audience on a personal level captures their attention and concern, increasing the chances of a successful speech. Speakers often begin with anecdotes to hook their audience’s attention. Other methods include presenting shocking statistics, asking direct questions of the audience, or enlisting audience participation.

Establish context and/or motive

Explain why your topic is important. Consider your purpose and how you came to speak to this audience. You may also want to connect the material to related or larger issues as well, especially those that may be important to your audience.

Get to the point

Tell your listeners your thesis right away and explain how you will support it. Don’t spend as much time developing your introductory paragraph and leading up to the thesis statement as you would in a research paper for a course. Moving from the intro into the body of the speech quickly will help keep your audience interested. You may be tempted to create suspense by keeping the audience guessing about your thesis until the end, then springing the implications of your discussion on them. But if you do so, they will most likely become bored or confused.

Making your speech easy to understand

Repeat crucial points and buzzwords.

Especially in longer speeches, it’s a good idea to keep reminding your audience of the main points you’ve made. For example, you could link an earlier main point or key term as you transition into or wrap up a new point. You could also address the relationship between earlier points and new points through discussion within a body paragraph. Using buzzwords or key terms throughout your paper is also a good idea. If your thesis says you’re going to expose unethical behavior of medical insurance companies, make sure the use of “ethics” recurs instead of switching to “immoral” or simply “wrong.” Repetition of key terms makes it easier for your audience to take in and connect information.

Incorporate previews and summaries into the speech

For example:

“I’m here today to talk to you about three issues that threaten our educational system: First, … Second, … Third,”

“I’ve talked to you today about such and such.”

These kinds of verbal cues permit the people in the audience to put together the pieces of your speech without thinking too hard, so they can spend more time paying attention to its content.

Use especially strong transitions

This will help your listeners see how new information relates to what they’ve heard so far. If you set up a counterargument in one paragraph so you can demolish it in the next, begin the demolition by saying something like,

“But this argument makes no sense when you consider that . . . .”

If you’re providing additional information to support your main point, you could say,

“Another fact that supports my main point is . . . .”

Helping your audience listen

Rely on shorter, simpler sentence structures.

Don’t get too complicated when you’re asking an audience to remember everything you say. Avoid using too many subordinate clauses, and place subjects and verbs close together.

Too complicated:

The product, which was invented in 1908 by Orville Z. McGillicuddy in Des Moines, Iowa, and which was on store shelves approximately one year later, still sells well.

Easier to understand:

Orville Z. McGillicuddy invented the product in 1908 and introduced it into stores shortly afterward. Almost a century later, the product still sells well.

Limit pronoun use

Listeners may have a hard time remembering or figuring out what “it,” “they,” or “this” refers to. Be specific by using a key noun instead of unclear pronouns.

Pronoun problem:

The U.S. government has failed to protect us from the scourge of so-called reality television, which exploits sex, violence, and petty conflict, and calls it human nature. This cannot continue.

Why the last sentence is unclear: “This” what? The government’s failure? Reality TV? Human nature?

More specific:

The U.S. government has failed to protect us from the scourge of so-called reality television, which exploits sex, violence, and petty conflict, and calls it human nature. This failure cannot continue.

Keeping audience interest

Incorporate the rhetorical strategies of ethos, pathos, and logos.

When arguing a point, using ethos, pathos, and logos can help convince your audience to believe you and make your argument stronger. Ethos refers to an appeal to your audience by establishing your authenticity and trustworthiness as a speaker. If you employ pathos, you appeal to your audience’s emotions. Using logos includes the support of hard facts, statistics, and logical argumentation. The most effective speeches usually present a combination these rhetorical strategies.

Use statistics and quotations sparingly

Include only the most striking factual material to support your perspective, things that would likely stick in the listeners’ minds long after you’ve finished speaking. Otherwise, you run the risk of overwhelming your listeners with too much information.

Watch your tone

Be careful not to talk over the heads of your audience. On the other hand, don’t be condescending either. And as for grabbing their attention, yelling, cursing, using inappropriate humor, or brandishing a potentially offensive prop (say, autopsy photos) will only make the audience tune you out.

Creating an effective conclusion

Restate your main points, but don’t repeat them.

“I asked earlier why we should care about the rain forest. Now I hope it’s clear that . . .” “Remember how Mrs. Smith couldn’t afford her prescriptions? Under our plan, . . .”

Call to action

Speeches often close with an appeal to the audience to take action based on their new knowledge or understanding. If you do this, be sure the action you recommend is specific and realistic. For example, although your audience may not be able to affect foreign policy directly, they can vote or work for candidates whose foreign policy views they support. Relating the purpose of your speech to their lives not only creates a connection with your audience, but also reiterates the importance of your topic to them in particular or “the bigger picture.”

Practicing for effective presentation

Once you’ve completed a draft, read your speech to a friend or in front of a mirror. When you’ve finished reading, ask the following questions:

  • Which pieces of information are clearest?
  • Where did I connect with the audience?
  • Where might listeners lose the thread of my argument or description?
  • Where might listeners become bored?
  • Where did I have trouble speaking clearly and/or emphatically?
  • Did I stay within my time limit?

The 8 Key Elements of Highly Effective Speech

…and why your words barely matter.

I’d like you to take a moment to experience the following sentence, taken from a recent article exploring the nature of human consciousness: “Neuroplastic mechanisms relevant to the growing number of empirical studies of the capacity of directed attention and mental effort systematically alter brain function.”

Exciting? Hardly! In fact, most of the words you read barely register in your brain, and most of the words you speak barely register in the listener’s brain. In fact, research shows that words are the least important part of communication when you have face-to-face conversations with others. So before you utter another word to another person, memorize this list of the 8 key elements of highly effective speech:

  • Gentle eye contact
  • Kind facial expression
  • Warm tone of voice
  • Expressive hand and body gestures
  • Relaxed disposition
  • Slow speech rate
  • The words themselves

Effective communication is based on trust, and if we don’t trust the speaker, we’re not going to listen to their words. Trust begins with eye contact because we need to see the person’s face to evaluate if they are being deceitful or not. In fact, when we are being watched, cooperation increases. [1] When we are not being watched, people tend to act more selfishly, with greater dishonesty. [2]

Gentle eye contact increases trustworthiness and encourages future cooperation, [3] and a happy gaze will increase emotional trust. [4] However, if we see the slightest bit of anger or fear on the speaker’s face, our trust will rapidly decrease. [5] But you can’t fake trustworthiness because the muscles around your mouth and eyes that reflect contentment and sincerity are involuntary. Solution: if you think about someone you love, or an event that brought you deep joy and satisfaction, a "Mona Lisa" smile will appear on your face and the muscles around your eyes will soften.

The tone of your voice is equally important when it comes to understanding what a person is really trying to say. If the facial expression expresses one emotion , but if the tone conveys a different one, neural dissonance takes place in the brain, causing the person confusion. [6] The result: trust erodes, suspicion increases, and cooperation decreases.

Researchers at the University of Amsterdam found that expressions of anger, contempt, disgust, fear, sadness, and surprise were better communicated through vocal tone than facial expression, whereas the face was more accurate for communicating expressions of joy, pride, and embarrassment . [7] And in business, a warm supportive voice is the sign of transformational leadership , generating more satisfaction, commitment, and cooperation between other members of the team. [8]

You can easily train your voice to convey more trust to others, and all you have to do is slow down and drop your pitch. This was tested at the University of Houston: when doctors reduced their speaking rate and pitch, especially when delivering bad news, the listener perceived them “as more caring and sympathetic.” [9] Harvard's Ted Kaptchuk also discovered that using a warm voice would double the healing power of a therapeutic treatment. [10]

If you want to express joy, your voice needs to become increasingly melodic, whereas sadness is spoken with a flat and monotonic voice. When we are angry, excited, or frightened, we raise the pitch and intensity of our voice, and there’s a lot of variability in both the speed and the tone. However, if the emotion is incongruent with the words you are using, it will create confusion for the listener. [11]

Gestures, and especially hand movements, are also important because they help orchestrate the language comprehension centers of your brain. [12] In fact, your brain needs to integrate both the sounds and body movements of the person who is speaking in order to accurately perceive what is meant. [13] From an evolutionary perspective, speech emerged from hand gestures and they both originate the same language area of the brain. [14] If our words and gestures are incongruent, it will create confusion in the listener’s brain. [15] Our suggestion: practice speaking in front of a mirror, consciously using your hands to “describe” the words you are speaking.

Your degree of relaxation is also reflected in your body language , facial expressions, and tone of voice, and any form of stress will convey a message of distrust . Why? Your stress tells the observer’s brain that there may be something wrong, and that stimulates defensive posturing in the listener. Research shows that even a one-minute relaxation exercise will increase activity in those parts of the brain that control language, communication, social awareness, mood-regulation, and decision-making . [16] Thus, a relaxed conversation allows for increased intimacy and empathy. Stress, however, causes us to talk too much because it hinders our ability to speak with clarity.

When you speak, slow down! Slow speech rates will increase the ability for the listener to comprehend what you are saying, and this is true for both young and older adults. [17] Slower speaking will also deepen that person’s respect for you, [18] Speaking slowly is not as natural as it may seem, and as children we automatically speak fast. But you can teach yourself, and your children to slow down by consciously cutting your speech rate in half. A slow voice has a calming effect on a person who is feeling anxious , whereas a loud fast voice will stimulate excitement, anger, or fear. [19]

Try this experiment: pair up with a partner and speak so slowly that … you … leave … 5 … seconds … of … silence … between … each … word. You’ll become aware of your negative inner speech that tells you that you should babble on endlessly and as fast as possible. It’s a trap, because the listener’s brain can only recall about 10 seconds of content! That’s why, when we train people in Compassionate Communication, we ask participants to speak only one sentence at a time, slowly, and then listen deeply as the other person speaks for ten seconds or less. This exercise will increase your overall consciousness about the importance of the first 7 elements of highly effective communication. Then, and only then, will you truly grasp the deeper meaning that is imparted by each word spoken by others.

But what about written communication, where you only have access to the words? When it comes to mutual comprehension, the written word pales in comparison to speech. To compensate, your brain imposes arbitrary meanings onto the words. You, the reader, give the words emotional impact that often differs from what the writer intended, which is why so many email correspondences get misinterpreted. And unless the writer fills in the blanks with specific emotional words and descriptive speech – storytelling – the reader will experience your writing as being flat, boring , dry, and probably more negative than you intended.

The solution: help the reader “paint a picture” in their mind with your words. Use concrete nouns and action verbs because they are easier for the reader’s brain to visualize. Words like “sunset” or “eat” are easy to see in the mind's eye, but words like “freedom” or “identify” force the brain to sort through too many conceptual frameworks. Instead, our lazy brain will skip over as many words as possible, especially the abstract ones. When this happens the deeper levels of meaning and feeling will be lost.

Effective Persuasive Speech Writing & Delivering in High School

Whether you are preparing for a wedding toast, for a live presentation in front of colleagues or you need to write a speech for an award or honor that you are expecting to receive, it's critical to learn the characteristics of an effective speech and how to write one yourself. The best way to do that is to pick a theme, stick with it and use anecdotes to prove your point.

What Makes a Good Speech?

Those who have heard a good speech remember it. However, it is very unlikely that they realize why they remember the speech. Experts explain that speechmaking is not a particularly effective form of communication. Because the structure of the speech is generally conversational, less of the speech is memorable because it doesn't necessarily contain new information.

Those who give a good speech make it look easy and effortless. A stiff speech that feels rehearsed or sounds like it was written by someone else is rarely effective or memorable in anything but a negative way.

What makes a speech good is a difficult question to answer. In some cases, it's humor. In others, it's a powerful call to action, and in other cases, it is simply the speaker's comfort, presence and energy that the audience finds infectious. However, whatever the case, good speeches have the same things in common. They contain a story that connects with their audience, and they have a strong beginning, a strong ending and a middle that doesn't drag on and on.

How Is a Good Speech Structured?

A strong speech contains a beginning, a middle and an end. Those are the three pieces of story structure, and they help make up the structure of a good speech as well. Experts warn that keeping the middle short is actually the key to a strong speech.

Begin with an attention-grabbing, compelling opening and use it as a story that will help to lay out the points you are hoping to make. The middle can reiterate your point briefly but without exhausting or belaboring the issue. The conclusion should be short and to the point.

What Are the Top Qualities of a Good Speech?

  • A single theme. Research has proven that it is very difficult to remember a lot of detail when listening to a speech, so be sure to start with one main idea. What is the point of your speech? What do you want the audience to come away knowing, understanding or feeling?  Start from there and then work backward.
  • Use anecdotes. Rather than a laundry list of reasons why your point is true or significant, try to find a story or an anecdote that supports the theme you are trying to express. Stories are naturally engaging, and people tend to remember them better than exposition or lectures about the same topic.
  • Conversational tone. Write your speech in the same voice in which you speak. In other words, don't get academic. Speeches read aloud sound far different than an essay or another written piece. This is something to which anyone who has had to listen to a long speech can attest. Write in short sentences the same way that you speak. Don't write a speech that will sound "read." Keep the vocabulary and sentence structure as close to your own natural conversation as possible. 

Additional Qualities of a Good Speech

  • Specific anecdotes or examples. Make sure that your examples and anecdotes are specific. If you're trying to prove a point or move an audience with emotion, be sure that any examples you provide that support your thesis or main point are specific and concrete. Vague descriptors or generalizations on the theme will only serve to make your speech feel gauzy and will take it out of reality. Specific anecdotes are central to good speaking.
  • Humor. Use humor when and where appropriate. Of course, not every situation and speech is going to call for humor, but if you can present the information you are hoping to convey in the context of a humorous story or anecdote, you will have gone a long way toward creating a relatable and compelling speech that listeners remember long after you've given it.
  • Eye Contact. Keep maintaining eye contact with various audience members. Don't look down at your notes or at the podium while you're speaking. 

How Should a Good Speech Be Structured?

  • A strong beginning. Make sure your speech has a great beginning. To start your speech with a statement or an opening that really grabs your audience is half the battle. Once you've figured out how to craft an excellent opening to your speech that hooks the audience's attention, you'll have nailed one of the most important characteristics of a great speech.
  • A strong ending. Make sure that your ending not only sums up your speech but does so in a way that refers back to the opening of the speech and delivers the information to the audience in a way that prompts a call to action or an emotional response to where you've taken them since the speech started.
  • Keep the middle short. Don't go on and on. Once you've written a draft of your script, go back and edit. If there's anything you can cut, do it. A shorter speech is a better speech in almost every single case. If you can make yours shorter and still preserve the meaning and the message, do it. The more finely edited your speech, the more memorable its strengths will be. A strong beginning with a strong ending and a short middle is the best speech structure. 

Show Confidence When Speaking

There are a number of things that make all speakers good, and the first is confidence. Have confidence when you speak and not only confidence in your words but in your presence. Your body language is as important a part of your speech as your words. This is a key characteristic of an effective speech.

Not only do people listen better to people with confidence, but it has also been shown that people who speak with confidence are perceived as more authoritative, more competent, more trustworthy and more knowledgeable than a speaker who appears nervous or unsure.

Confidence is also the appearance of enjoying what you're doing. If the audience feels that the speaker is in charge of what he is saying and is comfortable and happy to be there, then the audience is more relaxed and more likely to stay focused on what they're hearing. A good way to seem happy to be there is to express excitement about the topic you're discussing. If you are excited about it, it won't be difficult to express it, and your excitement will be infectious to your audience.

Always Be Yourself

Be sure that you are being yourself. That can be difficult to do when you're convinced that people are judging you or that you need to take on another identity to be comfortable delivering your speech and be accepted, but the fact is that the best thing you can do when giving a speech is to be yourself, speak like yourself and deliver the words you have prepared with honesty and authenticity. This is one of the most important characteristics of an effective speech.

What Does "Key Attributes" Mean?

When people use the term "key attributes" in terms of a speech, they are referring to the aspects of the speech that made it memorable and that the speaker imparted to the crowd. If you are giving a speech at a funeral, the key attributes are going to be the memorable character traits of the deceased as well as an anecdote that proves the traits.

If you are trying to express that the deceased was empathetic and generous, these would be key attributes of your speech. Likewise, if your goal is to express the way that the groom has changed as a person since meeting the bride, the groom's character would be described as a key attribute of your speech.

In terms of a speaker, the key attributes of a good speaker are simply the qualities that they all share that are most important to make an effective speech. The key attributes of a good speaker are numerous, but they can be broken down into several categories regardless of the topic of the speech.

What Are the Key Attributes of a Good Speaker?

  • No matter what your topic, your speech must be organized. It must begin, the beginning must lead to a middle and the middle must lead to an end. If you are not organized, your speech will appear haphazard and even lazy when, in fact, you are most likely just disorganized. Organizing your ideas can help you to gain clarity on the things you're discussing before you write, so you can be sure that your speech flows smoothly and isn't confusing to your audience.
  • Being an engaging speaker means connecting with your audience. This is partially about body language, but it is also about the words you choose to communicate your point and the way that they connect with the audience. You can be engaging by speaking about something about which your audience will care. Put your topic in terms of a story or an anecdote that will be relatable to your audience and then speak to them with eye contact and authentic language.
  • Flexibility is one of the key characteristics of an effective speaker. Things don't always go as planned, and even the best-prepared speeches can be upstaged or upset by unexpected conditions. By letting the audience know that you are prepared to handle a setback, you will be able to gain both their empathy and their trust. 

Why Do People Give Speeches?

Personal speeches like wedding toasts, funeral eulogies and award-acceptance speeches tend to center around emotions. These speeches are considered an act of respect, and by giving one, the speaker is acknowledging that this event deserves to be commemorated even if she is uncomfortable being a public speaker to begin with.

More general speeches like graduation keynote addresses, welcome speeches at a conference or presentations to colleagues are less focused on emotion and more focused on communicating information and setting an agenda. Guests at a conference may receive a speech that highlights the reasons for their gathering and what they hope to accomplish over the course of the conference. Graduation addresses are about celebrating the class's achievements and also about what their education means and how they should think about the future.

Political speeches, such as those given by politicians or activists, are generally intended to arouse passion in citizens by taking an issue that is seemingly impersonal, such as clean water access or a dilapidated playground, and making it a personal issue that will incite action on the part of the listening audience.

Speechwriting 101: Writing an Effective Speech

Whether you are a communications pro or a human resources executive, the time will come when you will need to write a speech for yourself or someone else.  when that time comes, your career may depend on your success..

Lyman MacInnis, a corporate coach,  Toronto Star  columnist, accounting executive and author of  “ The Elements of Great Public Speaking ,”  has seen careers stalled – even damaged – by a failure to communicate messages effectively before groups of people. On the flip side, solid speechwriting skills can help launch and sustain a successful career.  What you need are forethought and methodical preparation.

Know Your Audience

Learn as much as possible about the audience and the event.  This will help you target the insights, experience or knowledge you have that this group wants or needs:

  • Why has the audience been brought together?
  • What do the members of the audience have in common?
  • How big an audience will it be?
  • What do they know, and what do they need to know?
  • Do they expect discussion about a specific subject and, if so, what?
  • What is the audience’s attitude and knowledge about the subject of your talk?
  • What is their attitude toward you as the speaker?
  • Why are they interested in your topic?

Choose Your Core Message

If the core message is on target, you can do other things wrong. But if the message is wrong, it doesn’t matter what you put around it.  To write the most effective speech, you should have significant knowledge about your topic, sincerely care about it and be eager to talk about it.  Focus on a message that is relevant to the target audience, and remember: an audience wants opinion. If you offer too little substance, your audience will label you a lightweight.  If you offer too many ideas, you make it difficult for them to know what’s important to you.

Research and Organize

Research until you drop.  This is where you pick up the information, connect the ideas and arrive at the insights that make your talk fresh.  You’ll have an easier time if you gather far more information than you need.  Arrange your research and notes into general categories and leave space between them. Then go back and rearrange. Fit related pieces together like a puzzle.

Develop Structure to Deliver Your Message

First, consider whether your goal is to inform, persuade, motivate or entertain.  Then outline your speech and fill in the details:

  • Introduction – The early minutes of a talk are important to establish your credibility and likeability.  Personal anecdotes often work well to get things started.  This is also where you’ll outline your main points.
  • Body – Get to the issues you’re there to address, limiting them to five points at most.  Then bolster those few points with illustrations, evidence and anecdotes.  Be passionate: your conviction can be as persuasive as the appeal of your ideas.
  • Conclusion – Wrap up with feeling as well as fact. End with something upbeat that will inspire your listeners.

You want to leave the audience exhilarated, not drained. In our fast-paced age, 20-25 minutes is about as long as anyone will listen attentively to a speech. As you write and edit your speech, the general rule is to allow about 90 seconds for every double-spaced page of copy.

Spice it Up

Once you have the basic structure of your speech, it’s time to add variety and interest.  Giving an audience exactly what it expects is like passing out sleeping pills. Remember that a speech is more like conversation than formal writing.  Its phrasing is loose – but without the extremes of slang, the incomplete thoughts, the interruptions that flavor everyday speech.

  • Give it rhythm. A good speech has pacing.
  • Vary the sentence structure. Use short sentences. Use occasional long ones to keep the audience alert. Fragments are fine if used sparingly and for emphasis.
  • Use the active voice and avoid passive sentences. Active forms of speech make your sentences more powerful.
  • Repeat key words and points. Besides helping your audience remember something, repetition builds greater awareness of central points or the main theme.
  • Ask rhetorical questions in a way that attracts your listeners’ attention.
  • Personal experiences and anecdotes help bolster your points and help you connect with the audience.
  • Use quotes. Good quotes work on several levels, forcing the audience to think. Make sure quotes are clearly attributed and said by someone your audience will probably recognize.

Be sure to use all of these devices sparingly in your speeches. If overused, the speech becomes exaggerated. Used with care, they will work well to move the speech along and help you deliver your message in an interesting, compelling way.

How to write a good speech in 7 steps

Did you know writing a speech doesn't have be an anxious, nail biting experience?

Unsure? Don't be.

You may have lived with the idea you were never good with words for a long time. Or perhaps giving speeches at school brought you out in cold sweats.

However learning how to write a speech is relatively straight forward when you learn to write out loud.

And that's the journey I am offering to take you on: step by step.

To learn quickly, go slow

Take all the time you need. This speech format has 7 steps, each building on the next.

Walk, rather than run, your way through all of them. Don't be tempted to rush. Familiarize yourself with the ideas. Try them out.

I know there are well-advertised short cuts and promises of 'write a speech in 5 minutes'. However in reality they only truly work for somebody who already has the basic foundations of speech writing in place.

The foundation of good speech writing 

These steps are the backbone of sound speech preparation. Learn and follow them well at the outset and yes, given more experience and practice you could probably flick something together quickly. Like any skill, the more it's used, the easier it gets.

Step 1: Begin with a speech overview or outline

Are you in a hurry? Without time to read a whole page? Grab ... The Quick How to Write a Speech Checklist And come back to get the details later.

  • WHO you are writing your speech for (your target audience)
  • WHY you are preparing this speech. What's the main purpose of your speech? Is it to inform or tell your audience about something? To teach them a new skill or demonstrate something? To persuade or to entertain? (See 4 types of speeches: informative, demonstrative, persuasive and special occasion or entertaining for more.) What do you want them to think, feel or do as a result of listening the speech?
  • WHAT your speech is going to be about (its topic) - You'll want to have thought through your main points and have ranked them in order of importance. And have sorted the supporting research you need to make those points effectively.
  • HOW much time you have for your speech eg. 3 minutes, 5 minutes... The amount of time you've been allocated dictates how much content you need. Use an outline

The best way to make sure you deliver a perfect speech is to start by carefully completing a speech outline covering the essentials: WHO, WHY, WHAT and HOW.

Beginning to write without thinking your speech through is a bit like heading off on a journey not knowing why you're traveling or where you're going to end up. You can find yourself lost in a deep, dark, murky muddle of ideas very quickly!

Pulling together a speech overview or outline is a much safer option. It's the map you'll follow to get where you want to go.

Understanding speech construction

Before you begin to write, using your completed outline as a guide, let's briefly look at what you're aiming to prepare.

  • an opening or introduction
  • the body where the bulk of the information is given
  • and an ending (or summary).

Imagine your speech as a sandwich

If you think of a speech as a sandwich you'll get the idea.

The opening and ending are the slices of bread holding the filling (the major points or the body of your speech) together.

You can build yourself a simple sandwich with one filling (one big idea) or you could go gourmet and add up to three or, even five. The choice is yours.

But whatever you choose to serve, as a good cook, you need to consider who is going to eat it! And that's your audience.

So let's find out who they are before we do anything else. 

Step 2: Know who you are talking to

Understanding your audience.

Did you know a  good speech is never written from the speaker's point of view?  ( If you need to know more about why check out this page on  building rapport .)

Begin with the most important idea/point on your outline.

Consider HOW you can explain (show, tell) that to your audience in the most effective way for them to easily understand it.   

Writing from the audience's point of view

To help you write from an audience point of view, it's a good idea to identify either a real person or the type of person who is most likely to be listening to you.

Make sure you select someone who represents the "majority" of the people who will be in your audience. That is they are neither struggling to comprehend you at the bottom of your scale or light-years ahead at the top.

Now imagine they are sitting next to you eagerly waiting to hear what you're going to say. Give them a name, for example, Joe, to help make them real.

Ask yourself

  • How do I need to tailor my information to meet Joe's needs? For example, do you tell personal stories to illustrate your main points? Absolutely! Yes. This is a very powerful technique. (Click storytelling in speeches to find out more.)
  • What type or level of language is right for Joe as well as my topic? For example if I use jargon (activity, industry or profession specific vocabulary) will it be understood?

Step 3: Writing as you speak

Write down what you want to say about your first main point as if you were talking directly to Joe.

If it helps, say it all out loud before you write it down and/or record it.

You do not have to write absolutely everything you're going to say down * but you do need to write down, or outline, the sequence of ideas to ensure they are logical and easily followed.

Remember too, to explain or illustrate your point with examples from your research. 

( * Tip: If this is your first speech the safety net of having everything written down could be just what you need. It's easier to recover from a patch of jitters when you have a word by word manuscript than if you have either none, or a bare outline. Your call!)

Step 4: Checking tone and language

The focus of this step is re-working what you've done in Step 2 and 3.

You identified who you were talking to (Step 2) and in Step 3, wrote up your first main point.  Is it right? Have you made yourself clear?  Check it.

How well you complete this step depends on how well you understand the needs of the people who are going to listen to your speech.

Please do not assume because you know what you're talking about the person (Joe) you've chosen to represent your audience will too. Joe is not a mind-reader!

How to check what you've prepared

  • Check the "tone" of your language . Is it right for the occasion, subject matter and your audience?
  • Check the length of your sentences. You need short sentences. If they're too long or complicated you risk losing your listeners.

Check for jargon too. These are industry, activity or group exclusive words.

For instance take the phrase: authentic learning . This comes from teaching and refers to connecting lessons to the daily life of students. Authentic learning is learning that is relevant and meaningful for students. If you're not a teacher you may not understand the phrase.

The use of any vocabulary requiring insider knowledge needs to be thought through from the audience perspective. Jargon can close people out.

  • Read what you've written out loud. If it flows naturally, in a logical manner, continue the process with your next main idea. If it doesn't, rework.

We use whole sentences and part ones, and we mix them up with asides or appeals e.g. "Did you get that? Of course you did. Right...Let's move it along. I was saying ..."

And now repeat the process

Repeat this process for the remainder of your main ideas.

Because you've done the first one carefully, the rest should follow fairly easily.

Step 5: Use transitions

Providing links or transitions between main ideas.

Between each of your main ideas you need to provide a bridge or pathway for your audience. The clearer the pathway or bridge, the easier it is for them to make the transition from one idea to the next.

If your speech contains more than three main ideas and each is building on the last, then consider using a "catch-up" or summary as part of your transitions.

Link/transition examples

A link can be as simple as:

"We've explored one scenario for the ending of Block Buster 111, but let's consider another. This time..."

What follows this transition is the introduction of Main Idea Two.

Here's a summarizing link/transition example:

"We've ended Blockbuster 111 four ways so far. In the first, everybody died. In the second, everybody died BUT their ghosts remained to haunt the area. In the third, one villain died. His partner reformed and after a fight-out with the hero, they both strode off into the sunset, friends forever. In the fourth, the hero dies in a major battle but is reborn sometime in the future.

And now what about one more? What if nobody died? The fifth possibility..."

Go back through your main ideas checking the links. Remember Joe as you go. Try each transition or link out loud and really listen to yourself. Is it obvious? Easily followed?

Keep them if they are clear and concise.

Step 6: The end of your speech

The ideal ending is highly memorable . You want it to live on in the minds of your listeners long after your speech is finished. Often it combines a call to action with a summary of major points.

Example 1: The desired outcome of a speech persuading people to vote for you in an upcoming election is that they get out there on voting day and do so. You can help that outcome along by calling them to register their support by signing a prepared pledge statement as they leave.

"We're agreed we want change. You can help us give it to you by signing this pledge statement as you leave. Be part of the change you want to see!

Example 2: The desired outcome is increased sales figures. The call to action is made urgent with the introduction of time specific incentives.

"You have three weeks from the time you leave this hall to make that dream family holiday in New Zealand yours. Can you do it? Will you do it? The kids will love it. Your wife will love it. Do it now!"

How to figure out the right call to action

A clue for working out what the most appropriate call to action might be, is to go back to your original purpose for giving the speech.

  • Was it to motivate or inspire?
  • Was it to persuade to a particular point of view?
  • Was it to share specialist information?
  • Was it to celebrate a person, a place, time or event?

Ask yourself what you want people to do as a result of having listened to your speech.

Write and test

Write your ending and test it out loud. Try it out on a friend, or two. Is it good? Does it work?

Step 7: The introduction

Once you've got the filling (main ideas) the linking and the ending in place, it's time to focus on the introduction.

The introduction comes last as it's the most important part of your speech. This is the bit that either has people sitting up alert or slumped and waiting for you to end. It's the tone setter!

What makes a great speech opening?

Ideally you want an opening that makes listening to you the only thing the 'Joes' in the audience want to do.

You want them to forget they're hungry or that their chair is hard or that their bills need paying.

The way to do that is to capture their interest straight away. You do this with a "hook".

Hooks to catch your audience's attention

Hooks come in as many forms as there are speeches and audiences. Your task is work out what specific hook is needed to catch your audience.

Go back to the purpose. Why are you giving this speech?

Once you have your answer, consider your call to action. What do you want the audience to do, and, or take away, as a result of listening to you?

Next think about the imaginary or real person you wrote for when you were focusing on your main ideas.

Choosing the best hook

  • Is it humor?
  • Would shock tactics work?
  • Is it a rhetorical question?
  • Is it formality or informality?
  • Is it an outline or overview of what you're going to cover, including the call to action?
  • Or is it a mix of all these elements?

A hook example

Here's an example from a fictional political speech. The speaker is lobbying for votes. His audience are predominately workers whose future's are not secure.

"How's your imagination this morning? Good? (Pause for response from audience) Great, I'm glad. Because we're going to put it to work starting right now.

I want you to see your future. What does it look like? Are you happy? Is everything as you want it to be? No? Let's change that. We could do it. And we could do it today.

At the end of this speech you're going to be given the opportunity to change your world, for a better one ...

No, I'm not a magician. Or a simpleton with big ideas and precious little commonsense. I'm an ordinary man, just like you. And I have a plan to share!"

And then our speaker is off into his main points supported by examples. The end, which he has already foreshadowed in his opening, is the call to vote for him.

Prepare several hooks

Experiment with several openings until you've found the one that serves your audience, your subject matter and your purpose best.

That completes the initial seven steps towards writing your speech. If you've followed them all the way through, congratulations, you now have the text of your speech!

Although you might have the words, you're still a couple of steps away from being ready to deliver them. Both of them are essential if you want the very best outcome possible. They are below. Please take them.

Step 8: Checking content and timing

This step pulls everything together.

Check once, check twice, check three times & then once more!

Go through your speech really carefully.

On the first read through check you've got your main points in their correct order with supporting material, plus an effective introduction and ending.

On the second read through check the linking passages or transitions making sure they are clear and easily followed.

On the third reading check your sentence structure, language use and tone.

Double, triple check the timing

Now go though once more.

This time read it aloud slowly and time yourself.

If it's too long for the time allowance you've been given make the necessary cuts.

Start by looking at your examples rather than the main ideas themselves. If you've used several examples to illustrate one principal idea, cut the least important out.

Also look to see if you've repeated yourself unnecessarily or, gone off track. If it's not relevant, cut it.

Repeat the process, condensing until your speech fits the required length, preferably coming in just under your time limit.

You can also find out how approximately long it will take you to say the words you have by using this very handy words to minutes converter . It's an excellent tool, one I frequently use. While it can't give you a precise time, it does provide a reasonable estimate.

Step 9: Rehearsing your speech

And NOW you are finished with writing the speech, and are ready for REHEARSAL .

Please don't be tempted to skip this step. It is not an extra thrown in for good measure. It's essential.

The "not-so-secret" secret of successful speeches combines good writing with practice, practice and then, practicing some more.

The Quick How to Write a Speech Checklist

Before you begin writing you need:.

  • Your speech OUTLINE with your main ideas ranked in the order you're going to present them. (If you haven't done one complete this 4 step sample speech outline . It will make the writing process much easier.)
  • Your RESEARCH
  • You also need to know WHO you're speaking to, the PURPOSE of the speech and HOW long you're speaking for

The basic format

  • the body where you present your main ideas

Split your time allowance so that you spend approximately 70% on the body and 15% each on the introduction and ending.

How to write the speech

  • Write your main ideas out incorporating your examples and research
  • Link them together making sure each flows in a smooth, logical progression
  • Write your ending, summarizing your main ideas briefly and end with a call for action
  • Write your introduction considering the 'hook' you're going to use to get your audience listening
  • An often quoted saying to explain the process is: Tell them what you're going to tell them (Introduction) Tell them (Body of your speech - the main ideas plus examples) Tell them what you told them (The ending)

TEST before presenting. Read aloud several times to check the flow of material, the suitability of language and the timing.

Write better speeches by including these six elements

What are the elements of a powerful speech? When writing remarks for a nonprofit leader , expert or other spokesperson, there are a number of elements that you should always include; not only to amplify the power of your words, but also to make speech writing much easier.

Here are six elements to include when writing any speech:

A grabber is used to open your remarks, connect with your audience and capture their attention. There are many techniques you can use to draw listeners in, including:

  • Literary references
  • Jokes (use with caution!)
  • Commentary about a news story or current event
  • Relevant personal experiences*
  • Feelings or insights the speaker has about the audience*
  • Traits, feelings or experiences the speaker has in common with audience*

*These are my personal favourites.

Explicitly state the subject of your remarks.

Doing so can be as simple as this example: “I’m here today to talk about the role of mentors in our work.”

Stating your subject might feel like stating the obvious, but it expresses a commitment to your audience. A stated subject shows that you have a plan and have prepared for your talk; that you value the time they spend listening to you and that you’re going to stay on topic.

Related to the subject but more specific, the message is a single sentence that encapsulates what it is you will communicate through your speech. Your message includes the thesis or point you intend to illustrate for your audience.

Following on the example above, a message might be, “Introducing mentors has allowed us to double the effectiveness of our programs.”

State your message within your speech introduction , and restate it in your conclusion to summarize your remarks.

A theme can be an image, a metaphor or a powerful word that adds interest to your remarks. A theme offers language that unifies the points in your speech, pulling your words together.

For example, a relevant theme in a speech about mentors might be ‘navigation’. The incorporation of language that reflects the theme of navigation (e.g. direction, compass, pathways, journey) can add interest, imagery and power to your speech. It can also support idea generation for other speech elements.

5. Structure

There are a number of ways you can structure your remarks. It’s best to think of your message as your thesis or position and then structure your remarks in terms of making the case.

A number of different structural approaches can be used depending on the message and subject matter. For example, a speech can be structured by:

  • A chronological comparison such as ‘past’ vs ‘present’ or ‘present’ vs ‘future’
  • The ‘ways’ or ‘reasons’ your main idea or message is true
  • The ‘steps’ that have been taken or are underway for achieving a goal or vision mentioned in your message
  • The ‘challenge’ you are facing and your ‘response’ to it

Once a structure is established it forms your speech outline; state it in your introduction to offer a roadmap of your remarks and to provide listeners with a feeling of anticipation.

For example, “Today I’m going to tell you what the mentorship program has done for our organization. First it has attracted new volunteers from our priority communities. Second, it has allowed for a more meaningful connection between participants and our organization. And third, it has created an opportunity for that connection to be ongoing.”

Having introduced your speech structure in the introduction, restate each argument or section as you proceed, to make your speech easy to follow.

6. Call to action

Every speech should have a call to action that is related to your message. It might be a big bold rallying cry or a simple step audience can take with them and implement. Close your remarks with a call to action  to help your audience feel part of your message.

Use these speech writing elements to connect with your audience

These elements can make a huge difference in how your speech is received. By building them in, you’ll show your audience that you have thought about them and not just what you want to say. And using these structural elements as a framework prevents you from seeming disorganized or writing a speech built on lists of facts, statistics or accomplishments without cohesion.

Oral communication is the oldest and most widely used medium of communication. It can take place in different forms and speech is one of them. Speech is generally, the most effective medium of delivering the message in a meeting, seminars, conferences, etc. Speech refers to delivering the message through words of mouth or spoken words in front of the audience gathered in a meeting, seminar or conference.

Through speech, the speaker can present his opinions and thoughts on any matter to a large number of audiences at a time.

Therefore, it is widely used in delivering an oral message in business, social, political and religious gatherings.

A speech is a highly structured form of address in which a speaker addresses an audience gathered to hear a message.

At least, we can say that speech is a kind of formal address delivered to an audience gathered in a place to hear a message.

What does a Good Speech have?

A good speech has 10 qualities that can effectively deliver a message through words of mouth or spoken words in front of an audience gathered in a meeting, seminar or conference.

Speech is an effective means of oral communication. It is delivered in front of a large gathering.

Therefore, speech serves as an important medium for presenting information in meetings, political or business gatherings.

However, a speech becomes effective when it fulfills the following features:

  • Clarity Clarity is an essential feature of a good speech. A speech should be clear and unambiguous so that the audience can understand it easily. If it is not clear enough to express its meaning to the audience, it will become ineffective.
  • Definiteness of Message The message of the speech should be definite and relevant to the subject matter.
  • Conciseness The audience becomes impatient with a long speech. Hence, speech should be as concise as possible. However, it should not incomplete.
  • Interesting A speech should be delivered in an interesting and pleasing way so that the audience is motivated to pay attention. In order to make the speech interesting, various stories, examples, quotations, and jokes can be cited.
  • Informal Touch Though speech is a formal address, it should be presented in a personal and informal way.
  • Considering the Audience Speech is delivered to a specific audience. So the speaker should actively consider the expectations, interest, and nature of the audience.
  • Speaking Slowly An ideal speech is one that is delivered slowly and in the usual tone. It helps the audience to hear and understand the message clearly.
  • Free from Emotions Another important feature of a good speech is that it should be delivered in an unbiased and unemotional way. Speaker’s emotion may drive him away from the main theme.
  • Use of Body Language Good Speech goes with necessary body language. Therefore, at the time of delivering a speech, the speaker should use various nonverbal cues.
  • Ensuring Participation of Audience A good speech is one that ensures the participation of the audience with the speaker. That means the audience will ensure their attention through effective listening, expressing their solidarity with the speech and so on.

Identify characteristic structures of a persuasive speech.

In many ways, a persuasive speech is structured like an informative speech. It has an introduction with an attention-getter and a clear thesis statement. It also has a body where the speaker presents their main points and it ends with a conclusion that sums up the main point of the speech.

The biggest difference is that the primary purpose of an informative speech is to explain whereas the primary purpose of a persuasive speech is to advocate the audience adopt a point of view or take a course of action. A persuasive speech, in other words, is an argument  supported by well-thought-out reasons and relevant, appropriate, and credible supporting evidence.

We can classify persuasive speeches into three broad categories:

  • The widely used pesticide Atrazine is extremely harmful to amphibians.
  • All house-cats should  be kept indoors to protect the songbird population.
  • Offshore tax havens, while legal, are immoral and unpatriotic .

The organizational pattern we select and the type of supporting material we use should support the overall argument we are making.

The informative speech organizational patterns we covered earlier can work for a persuasive speech as well. In addition, the following organization patterns are especially suited to persuasive speeches (these are covered in more detail in Module 6: Organizing and Outlining Your Speech):

  • Causal : Also known as cause-effect, the causal pattern describes some cause and then identifies what effects resulted from the cause. This can be a useful pattern to use when you are speaking about the positive or negative consequences of taking a particular action.
  • Problem-solution : With this organizational pattern, you provide two main points. The first main point focuses on a problem that exists and the second details your proposed solution to the problem. This is an especially good organization pattern for speeches arguing for policy changes.
  • Problem-cause-solution: This is a variation of the problem-solution organizational pattern. A three-step organizational pattern where the speaker starts by explaining the problem, then explains the causes of the problem, and lastly proposes a solution to the problem.
  • Comparative advantage : A speaker compares two or more things or ideas and explains why one of the things or ideas has more advantages or is better than the other.
  • Monroe’s motivated sequence : An organizational pattern that is a more elaborate variation of the problem-cause-solution pattern.  We’ll go into more depth on Monroe’s motivated sequence on the next page.

Characteristics of a Persuasive Speech

Persuasive speeches are designed to convince the audience of a speaker's point of view. If you're writing one, every element -- from your opening statement, to the main body and conclusion -- must reinforce that goal. Good persuasive speeches share several common characteristics. Those qualities include an opening statement that grabs interest, evidence that establishes your credibility and a conclusion that compels the listener to support your position or take action.

Attention-getting Introductions

A persuasive speaker engages his audience from the start. One way is to open with a simple declarative statement and details that support your position. For example, a speaker on global warming might begin by saying, "There is little doubt that the planet is warming," states "Presentation" magazine. In your next few sentences, offer statistics to show how the Earth's climate is changing in ways that have negative impacts on human, animal and plant life. Lastly, introduce the consequences by saying something like, "If the ice caps melt, a vast majority of our countries' borders will be underwater."

Authority to Speak

Success in persuasive speaking hinges on how favorably the speaker's audience evaluates his credibility or competence. A speaker can draw on his expertise in an industry or subject to pre-empt common objections that an audience might raise. For example, a climatology professor or meteorologist would draw on his specialized knowledge to refute assertions that sudden climate shifts aren't serious. Credibility also comes from personal experience, which might prove more relevant to an ex-offender arguing the need to reform the criminal justice system, for example.

Logical Presentation

Structure is important for managing the flow of information in persuasive speeches. Most speakers make just two or three main points, with special emphasis on the first and last ones. One common option is problem-solution organization, in which you cite a problem and propose a way of addressing it. For more complex issues, consider the stock issues format of describing the problem, the harms that result and how you might remedy them. In other cases, it may be sufficient to make points sequentially, from beginning to end. Whatever format you use, make sure it's easy to follow.

Smart Pacing

Good speakers recognize the value of a balanced presentation. Many of the best remembered historical speeches are the shortest -- like the Gettysburg Address, which runs only 300 words, according to "Time" magazine. Time your speech while you're practicing it, so you can cut repetitious or unnecessary phrases. Also, make sure you spend roughly the same time on each main point. This approach gives your speech a steady, measured pace that's important in maintaining credibility with an audience.

Stirring Conclusions

The closing paragraph is your last opportunity to persuade listeners. You'll briefly review the main points once more, and then you'll state the actions you want audience members to take. For example, your global warming speech might close with an outline of measures -- such as planting more trees or starting recycling programs -- to ease pressure on the environment. Then finish with a statement that summarizes your purpose.

For example, you might say, "These steps won't solve our problems overnight, but if everyone pitches in, they can change our planet for the better."

What is ethos? Here’s a quick and simple definition:

Ethos , along with logos and pathos , is one of the three "modes of persuasion" in rhetoric (the art of effective speaking or writing). Ethos is an argument that appeals to the audience by emphasizing the speaker's credibility and authority. If the speaker has a high-ranking position, is an expert in his or her field, or has had life experience relevant to a particular topic, anything the speaker says or does to ensure that the audience knows about and remembers these qualifications is an example of ethos .

Some additional key details about ethos:

  • Ethos shares a root with the word "ethics ." This is helpful to remember because speakers often try to establish their own strong moral character by using ethos.
  • The word "ethos" is also often used to refer to a community or organization's characteristic belief or spirit, as in the sentence, "We will not give you a larger bonus than your coworkers: that is against our company's ethos of fairness." However, this guide focuses specifically on the rhetorical technique of ethos used in literature and public speaking.
  • The three "modes of persuasion"— pathos , logos , and ethos —were originally defined by Aristotle.
  • While ethos appeals to an audience's instinctive respect for authority, logos appeals to the audience's sense of reason, and pathos appeals to the audience's emotions.
  • Ethos is used in advertising just as often as it is used in public speaking and literature. Any commercial in which a celebrity endorses a product, for example, hopes to persuade its target audience by cultivating an aura of authority or expertise through its association with the celebrity—and is therefore an example of ethos.

Ethos Explained

Aristotle (the ancient Greek philosopher and scientist) first defined e thos , along with logos and pathos , in his treatise on rhetoric, Ars Rhetorica. Together, he referred to e thos , logos , and pathos as the three modes of persuasion, or sometimes simply as "the appeals." Aristotle believed that in order to have ethos a good speaker must demonstrate three things:

  • Phronesis : Sound reasoning, and relevant experience or expertise.
  • Arete : Moral character.
  • Eunoia : Good intentions towards the audience.

Aristotle argued that a speaker in possession of these three attributes will naturally impress the audience with his or her ethos , and as a result will be better able to influence that audience. Over time, however, the definition of ethos has broadened, and the significance of the three qualities Aristotle named is now lost on anyone who hasn't studied classical Greek. So it may give more insight into the meaning of ethos to translate Aristotle's three categories into a new set of categories that make more sense in the modern era. A speaker or writer's credibility can be said to rely on each of the following:

  • Within literature, it's interesting to notice when characters attempt to invoke their own authority and enhance their ethos by reminding other characters of the titles they possess. Often, this can be an indication that the character citing his or her own credentials actually feels his or her authority being threatened or challenged.
  • In literature, this form of ethos is particularly relevant with respect to narrators. Authors often have their narrators profess impartiality or objectivity at the outset of a book in order to earn the reader's trust in the narrator's reliability regarding the story he or she is about to tell.
  • This type of ethos translates into literature quite easily, in the sense that characters' opinions are often evaluated within the framework of their professions.
  • Literary characters often use ethos to communicate similarity or likemindedness to other characters, and you can detect this by certain changes in their speech. In these situations, characters (as well as real-life speakers) often use a shibboleth— a specialized term or word used by a specific group of people—to show that they belong. For example, if you knew the name of a special chemical used to make jello, and you wanted to impress the head of a jello company, the name of that chemical would count as a shibboleth and saying it would help you show the jello executive that you're "in the know."

The Stagecraft of Ethos

In order to impress their positive personal qualities upon audiences, public speakers can use certain techniques that aren't available to writers. These include:

  • Speaking in a certain manner or even with a certain accent.
  • Demonstrating confident stage presence.
  • Having reputable people to introduce the speaker in a positive light.
  • Listing their credentials and achievements.

Put another way, the ethos of a speech can be heavily impacted by the speaker's confidence and manner of presenting him or herself.

Ethos and Ad Hominem

An ad hominem argument is a specific type of argument which involves attacking someone else's character or ethos, rather than attacking that person's position or point of view on the subject being discussed. Ad hominem attacks usually have the goal of swaying an audience away from an opponent's views and towards one's own by degrading the audience's perception of the opponent's character. For instance, if one politician attacks another as being "elite," the attacker may be seeking to make voters question whether the other politician is trustworthy or actually has the public's interest at heart. But the first politician is not in any way attacking their opponent's positions on matters of policy.

An ad hominem argument is not necessarily "wrong" or even a bad strategy, but it's generally seen as more dignified (another component of ethos ) for speakers to focus on strengthening their own ethos, and to debate their opponents based on the substance of the opposition's counterarguments. When a literary character uses an ad hominem argument, this can sometimes indicate that he or she is insecure about his or her own position regarding a certain issue.

Examples of ethos in literature.

Characters in novels often use ethos , as well as logos and pathos , to convince one another of certain arguments in the same way that a speaker in reality might use these techniques. In addition, authors often use a subtler form of ethos when establishing a narrator's reliability at the outset of a novel.

Ethos in Ayn Rand's Atlas Shrugged

In Atlas Shrugged, a group of pioneering American industrialists, financiers, and artists go on strike against a corrupt government. As the strike nears its end, its leader—John Galt—delivers a speech to the nation about his ideals. He promises that the strike will end only if Americans allow him to remake the country according to his moral code, which he explains in the following lines:

Just as I support my life, neither by robbery nor alms, but by my own effort, so I do not seek to derive my happiness from the injury or the favor of others, but earn it by my own achievement. Just as I do not consider the pleasure of others as the goal of my life, so I do not consider my pleasure as the goal of the lives of others. Just as there are no contradictions in my values and no conflicts among my desires—so there are no victims and no conflicts of interest among rational men, men who do not desire the unearned and do not view one another with a cannibal's lust, men who neither make sacrifices nor accept them.

Galt not only creates an impression of moral rectitude, but also emphasizes his own self-sufficiency. He assures his audience that he expects nothing in return from them for sharing his personal views. In this way, his ability to cultivate an aura of impartiality and objectivity enhances his ethos.

Ethos in Nathaniel Hawthorne's The Scarlet Letter

The Scarlet Letter opens with a chapter called "The Custom-House," in which the unnamed narrator—who has a similar biography to Hawthorne—describes his job in a Custom House, a place where taxes were paid on imports in 18th century Massachusetts. The narrator's stories about his job have no relation to the actual narrative of The Scarlet Letter, except that he finds the scarlet letter of the title in the Custom House attic. This discovery inspired him to research the life of the woman who wore the embroidered letter, and to tell her story. By presenting himself as someone who merely discovered, researched, and "edited" the story the reader is about to begin, the narrator effectively creates the impression that his is a reliable historical account, thereby strengthening his ethos.

It will be seen, likewise, that this Custom-House sketch has a certain propriety, of a kind always recognised in literature, as explaining how a large portion of the following pages came into my possession, and as offering proofs of the authenticity of a narrative therein contained. This, in fact—a desire to put myself in my true position as editor, or very little more, of the most prolix among the tales that make up my volume—this, and no other, is my true reason for assuming a personal relation with the public.

Ethos in F. Scott Fitzgerald's The Great Gatsby

In the opening lines of The Great Gatsby , the narrator, Nick Carraway, claims that he has followed one piece of his father's advice throughout his life:

In my younger and more vulnerable years my father gave me some advice that I've been turning over in my mind ever since. 'Whenever you feel like criticizing any one,' he told me, just remember that all the people in this world haven't had the advantages that you've had.'... In consequence I'm inclined to reserve all judgements, a habit that has opened up many curious natures to me and also made me the victim of not a few veteran bores. The abnormal mind is quick to detect and attach itself to this quality when it appears in a normal person, and so it came about that in college I was unjustly accused of being a politician, because I was privy to the secret griefs of wild, unknown men...

Nick's tendency to reserve judgement makes him an ideal, objective narrator, while his awareness of his own economic and social advantages makes him a perfect guide to the privileged world of The Great Gatsby. Though he describes his non-judgmental, "neutral" affect with self-deprecating humor, it's a subtle way of strengthening his ethos as a narrator, and of causing the reader to eagerly anticipate hearing the stories that "wild, unknown men" have shared with him.

Examples of Ethos in Political Speeches

Every politician recognizes that a speaker must earn an audience's respect and trust if he or she expects to be listened to. As a result, it's difficult to find a political speech that doesn't contain an example of ethos. It's particularly easy to spot ethos in action when listening to speeches by candidates for office.

Ethos in Mitt Romney's Acceptance Speech at the 2012 Republican National Convention

When he accepted the Republican presidential nomination in 2012, Romney pointed to his business success as relevant experience that would serve him well if he were to take office:

I learned the real lessons about how America works from experience. When I was 37, I helped start a small company. My partners and I had been working for a company that was in the business of helping other businesses. So some of us had this idea that if we really believed our advice was helping companies, we should invest in companies. We should bet on ourselves and on our advice. So we started a new business called Bain Capital...That business we started with 10 people has now grown into a great American success story. Some of the companies we helped start are names you know. An office supply company called Staples – where I'm pleased to see the Obama campaign has been shopping; The Sports Authority, which became a favorite of my sons. We started an early childhood learning center called Bright Horizons that First Lady Michelle Obama rightly praised.

In addition to strengthening his ethos by pointing to his past achievements, Romney also hopes to portray himself as principled, rational, and daring when he explains how his company decided to "bet on ourselves and on our advice."

Ethos in John Kasich's 2016 Ohio Primary Victory Speech

After winning his first campaign victory, 2016 presidential candidate John Kasich told his supporters about his disadvantaged yet hardworking relatives to contextualize his own rise to success:

And you know, ladies and gentlemen, my whole life has been about trying to create a climate of opportunity for people. You know, as my father carried that mail on his back and his father was a coal miner, and you know, I was just told by my cousin—I didn't realize this—that my mother, one of four [children]‚ was the only one to graduate from high school. The other three barely made it out of the eighth grade because they were poor... And you know, as I've traveled the country and I look into your eyes... You want to believe that your children are going to have ultimately a better America than what we got from our mothers and fathers. That's the great American legacy: that our kids will be better than we are.

By saying that he comes from a modest background, Kasich hopes to convey that he is "just a regular American" and that he will advocate for other hard working Americans.

Ethos in Winston Churchill's 1941 Address to Joint Session of the US Congress

In this speech to the US Congress during World War II, British Prime Minister Winston Churchill enhances the ethos of his speech by emphasizing both the qualities he shares in common with the American people and the American Democratic values instilled in him by his parents:

Examples of Ethos in Advertisements

Advertisers often attempt to use ethos to influence people to buy their product. Dressing up an actor as a doctor who then extols the benefits a medication is a way that advertisers used to try to gin up a little ethos , but such obvious practices of what might be called "fake ethos" are now regularly mocked. However, any celebrity endorsement or testimonial from an expert are also attempts to build up ethos around a product's endorsement. For instance, here's a Prudential Financial commercial that ups its ethos with an appearance by Harvard social psychologist Dan Gilbert.

Why Do Writers Use Ethos?

Politicians, activists, and advertisers use ethos because they recognize that it is impossible to convince an audience of anything if its members do not believe in the speaker's credibility, morality, or authority.

The use of e thos in fiction is often different from real-world examples. Authors are not usually trying to directly influence their audience in the way politicians or advertisers are. Rather, authors often show one of their characters making use of ethos . In doing so, the author gives insight into characters' perceptions of one another, their values, and their motives.

In addition, e thos is an especially useful tool for authors looking to establish a narrator's credibility. Having a credible narrator is hugely important to the success of a literary work. Books with narrators that never establish a reasonable claim to an objective viewpoint are nearly impossible to read because everything they say is cast in doubt, so that readers come to feel like they're being lied to or "jerked around," which is fatiguing. Although often enough readers simply assume that a narrator has credibility , if you've ever read a book where you felt you simply didn't like the narrator very much—or watched a television show where you felt that none of the characters were likable or believable—that might be another sign that the writer has failed to establish a character's ethos . There are circumstances in which a writer creates an unreliable narrator —a narrator who is either purposefully or subconsciously offering a slanted narrative—but ethos is just as crucial in creating such a narrator: the author must first establish the narrator's ethos and then slowly undermine it over the course of the book.

5 Qualities of a Good Writer

I’m sure it’s happened to you. You’re chatting with someone — perhaps on the bus, or at a kitchen party — and you mention you’re working on a book. Before you can even talk about the idea, they’re already responding. “Oh yeah,” they say, “I’ve got a killer idea for a book, too! I just can’t find the time to work on it.”

In fact, most people think they could write a novel if only they had the time. Or a quiet space. Or the right software. Or a mug that says “I turn coffee into books.” (My personal superstitions are the right pen or the perfect font.) By some estimates, for every hundred people who start writing a book, just three actually reach their goal. And for those who actually do finish, hardly any of them actually publish their work.

Still, there are thousands of people who do complete one or twenty books. What do they have that so many others do not? Why can Clarissa write 3000 words a week, while John can barely manage more than date, title, and an opening paragraph?

6 Characteristics of a Good Writer

As it turns out, there are several qualities that separate actual productive writers from those who merely have great intentions (and we all know where those go). Here are five of the most important.

Writer Trait: Creativity

First and foremost, a successful author needs to be creative. That might sound obvious, but what exactly is creativity? Not every author thinks up fantasy worlds full of castles and dragons, but if you want to be an author, you need to develop idea generation skills.

The good news is that you don’t need to be a manic super-genius to be creative. The crux of creativity is combining existing things in new ways. Sure, your plot may still be boy-meets-girl, but then add in something unexpected, unrelated. Corporate espionage. A shoe factory fire. A surly uncle come back from the dead. And even here, you don’t have to do it all on your own. Be a collector. If you see something interesting and inspirational in a newspaper, cut it out, and make an ideas box for future reference.

Creativity isn’t just something people are born with, it’s a skill that any author can develop.

Writer Trait: Excellent Observational Skills

One thing that every single successful author has in common is a deep interest in people and the workings of other people’s minds. Even if you want to write hardcore science fiction, you need to create characters that will catch your readers’ attention and hearts to go alongside the robots and rocket ships.

Listen to the way people talk when you’re out by yourself. Overhear conversations on the bus and in coffee shops and start to make up your own scenarios about other people and their inner worlds. Trying to make sense of those inner worlds and creating stories based off them is a habit worth developing. Who knows, perhaps you might become the next Sherlock Holmes.

Writer Trait: Perseverance

A lot of amateur writers only write when the “muses” visit them or when they feel inspired, but if you’re serious about completing a book that does justice to your inner vision, you need be determined enough to make writing your everyday job. Writing isn’t just something you enjoy; it’s something that you need to do no matter how you feel.

It’s a good idea to have a weekly quota of words that you must hit — five hundred words a day may not sound like much but it means that you’ll have written a novel in a year.

The first step to completing your book is… actually writing it. A thought that kept me going during the many difficult stages of writing Aloha Wanderwell my last book was that there were, at any given moment, literally thousands of writers around the world thinking I would rather apply sunscreen to a stranger’s back than write one more sentence . In other words, you’re not alone.

Writer Trait: A Thick Skin and a Supporting Cast

Related to the above, virtually every writer experiences rejection. JK Rowling and the Harry Potter series was rejected by dozens of literary agencies and publishers before it found a home and its immense success. You must remember that it’s important to get constructive criticism. By nature we are emotionally attached to our work. It may hurt to rip it apart, but you need to view it with objective eyes and take other people’s advice into account. I can’t begin to tell you how many fantastic, beautifully written and totally unnecessary sentences I had to delete.

Having your writing critiqued can hurt but it’s a necessary process to go through multiple times on the road to publication.

Writer Trait: A Love of Writing

Every wannabe author needs to sincerely love writing. No, you won’t be burning up the keyboard every day. Some days will be painful and some will be dreary, but you need to love writing and literature and the stories that you’re telling. Writing is not a way to make millions (darn). But it is a fantastically powerful way to communicate what’s in your mind and your heart to your readers.

In other words, play. Have fun. Go ahead and make writing your job but don’t let it just be work . Read some Jabberwocky and fall in love with the transcendent loveliness of words on paper.

What Makes Someone a Good Writer?

In the end, the most important thing about being an author is that you must keep writing — through rejections and through writer’s block just get those words down on the page. Day by day you’ll get closer and closer to the goal of completion. Before you know it, you’ll have a book you’ll be proud to sign.

Writing style is how a writer expresses themselves. It includes spelling, grammar and punctuation, as well as aspects like sentence length and word choice. Style may vary with the type or purpose of writing. For example, you may come across academic writing , journalistic writing and business writing , all of which have different purposes and characteristics. Style may also vary with period (age) and nationality.

However, all styles of writing can be described as either formal or informal.

This page covers the key aspects of formal and informal writing styles, to enable you to distinguish between the two, and use them appropriately.

Understanding Formal and Informal Styles

What do we mean by ‘formal’ and ‘informal’?

Some definitions

formal , adj . stiffly polite rather than relaxed and friendly; said of language: strictly correct with regard to grammar, style and choice of words, as distinct from conversational

informal , adj. without ceremony or formality; relaxed and friendly; said of language, clothes, etc: suitable for and used in relaxed, everyday situations.

Informal language and writing, then, is suitable for use every day .

It is, effectively, how we speak and write to our friends and families. It will include slang and colloquialisms (defined as phrases that are used in informal but not formal language). The recipient may tolerate some spelling and grammar mistakes.

We are therefore likely to use an informal writing style when composing emails and letters to friends and family. Blogs and other online copy are also often written in a more informal, conversational style.

Formal writing needs much more care.

It is the style of writing used for business and other official purposes. It needs to be correct in terms of grammar, spelling, punctuation and usage.

A more formal style may also be appropriate for some letters, for example, if you are making a complaint to an organisation.

Characteristics of Formal and Informal Writing

When you look at a piece of writing, it is possible to distinguish whether it is written in a formal or informal style from several different aspects.

The main characteristics of an informal writing style are:

Colloquial language and terms. Informal writing is similar to a spoken conversation. It may therefore include slang, figures of speech, broken syntax, or asides.

A personal tone as if you were speaking directly to your audience (readers). Informal writing is often very conversational in style. The writer often uses the first person (I and we), and will also address the reader directly using the second person (you and your).

A simple structure and approach. As in conversation, both sentences and paragraphs tend to be shorter in informal writing. This is especially true in writing for the internet. Writers may also use incomplete sentences or ellipses (…) to make points.

Contractions and abbreviations within the text. Just as in speech, words may be shortened or abbreviated in informal writing. You will therefore see contractions (for example, I’m, doesn’t, couldn’t, it’s) and abbreviations (e.g. TV, photos) used much more in this form of writing.

Empathy and emotion. In informal writing, a writer will often show more empathy towards the reader. They may, for example, explain a more complex thought more clearly. This is linked to the more personal style in informal writing, which is more suited to conveying emotions.

The main characteristics of a formal writing style are:

A more complex structure. Formal writing often uses longer sentences. However, this is changing slightly with a growing understanding that clarity is important. In formal writing, you will also see a more structured approach generally, with points clearly introduced, explained and concluded. Formal pieces of writing are often carefully planned, revised and reviewed several times to ensure that they are as clear as possible, and make all the necessary points.

Complex should not mean incomprehensible

Some people equate formal writing with the use of longer words and complex sentence structures.

It is true that formal writing can be like that. However, this is neither essential nor desirable .

Any writing needs to convey your point to the reader as clearly as possible.

Using simpler language and sentence structures is usually a better way to do this. Long words do not make you sound cleverer, especially if you use them incorrectly.

An objective approach. In formal writing, the writer uses a more objective approach. Main points are usually stated and then supported with arguments. Formal writing is less likely to be emotional in style. It therefore avoids emotive punctuation such as exclamation points or ellipsis, unless they are being cited from another source.

Use of full words rather than contractions. As a general rule, no contractions should be used to simplify words in formal writing. Abbreviations should generally be spelt out in full when first used. There are a few exceptions to this rule, for example, when the acronym is better known than the full name (BBC, ITV or NATO for example) or where it has become part of the language (for example, AIDS).

Writing in the third person. Formal writing is not a personal writing style. The writer often aims to sound dispassionate about the topic. It is usually not appropriate to use the first person (I or we) or second person (you). However, there are some exceptions to this (see box).

First or third person in academic writing?

In academic writing, it was traditional to use the third person and the passive voice. For example:

“The authors are not aware of any other studies that have used this approach.”
“The reagents were added together carefully to avoid any cross-contamination.”

However, this type of language is quite hard to read. Many academic journals therefore now encourage the use of the active voice, and the first person, but within a style that is considered formal.

Examples of this use of language are:

“As far as we are aware, no other studies have used this method.”
“In total, we enrolled 65 people onto the study over a period of six months. They completed the initial questionnaire during April 2021.”

When to Use Formal and Informal Writing

A formal writing style is not necessarily “better” or “worse” than an informal approach.

There is a time and a place for both. They have very different purposes. You should therefore take care to choose the most appropriate style to use. There are several factors that may affect your choice.

Two of the key factors dictating the choice of a formal or informal writing style are your audience and your medium.

In general, writing for professional or work purposes is likely to require a formal style. However, you may be able to use a more informal style if you are writing to someone you know in person.

Emails also tend to use a less formal style than paper-based communications. However, this is changing slightly as more organisations use emails for all communications. You should therefore avoid the use of “text talk” or too much informality.

If in doubt as to how formal your writing should be, it is usually better to err on the side of caution.

Almost nobody is offended by too much formality. However, it is certainly possible to offend by being too informal in your approach.
