A cover letter is typically attached to a curriculum vitae or resume to provide a personal introduction of yourself and explanation why you believe you are suitable for the position based on your previous experiences and interests. Cover letters do not typically exceed one page and are written in a formal tone.

You've found the job you want and have spruced up your resume in hopes of getting it. Now all you have to do is submit it, right? Not so fast! Every resume should have a great cover letter to go with it. So what's a cover letter? And why do you need one? This lesson will help you answer these questions as you explore interactive examples. Specifically, you will learn the purpose of a cover letter , identify the main parts of a cover letter , find out what makes a cover letter effective , and use several cover letter dos and don'ts as you write your own cover letter.

What is a cover letter?

As discussed in our Resume Writing tutorial, prospective employers use your resume to learn about your education, skills, and work history, as well as who you are and how to reach you. Your cover letter has a slightly different purpose.

As the name implies, a cover letter is a document that introduces you and accompanies your resume. It is what a hiring manager will see first.

In a competitive job market, hiring managers may get hundreds of resumes for only one position. Going through all of them can be time consuming. To alleviate the time strain, most hiring managers will quickly read over or scan cover letters to decide which resumes to read more closely.

Cover letters provide YOU with an opportunity to:

  • Demonstrate how well you express yourself and that you have researched the organization and position
  • Tell prospective employers what position you’re interested in, why you are interested in it, and how you came to know about it
  • Highlight a few key skills that demonstrate your qualifications for the specific organization and position
  • Thank the hiring manager in advance for her time and consideration

Cover letters provide HIRING MANAGERS with a chance to:

  • Decide whether to look at your resume
  • Select a small number of resumes to read more closely

Both resumes and cover letters should be customized for each specific job opportunity . If you see a job posting that requests a resume, send both a cover letter and resume.

Include a cover letter every time you submit a resume for a job, even if you are emailing it or uploading it to a job board!

What are the parts of a cover letter?

A cover letter is really just a formal business letter that acts as an introduction to your resume. Because it is a formal business document, it should be in block business letter format . In this format, text is left justified (aligned on the left-hand margin).

  • Date : This is the date the letter is written. We recommend using the Month Day, Year format, such as January 27, 2009.
  • Address : For the address, you should provide your home mailing address followed by the hiring manager's address .
  • Greeting: The greeting is an important part of your cover letter. It establishes who you are sending the resume and cover letter to. We recommend that you try to find the name of the hiring manager to use here. If you can't find a name, use a generic term like Staff Selection Team or Hiring Manager .
  • Body : The body is the main part of your cover letter. This is where you explain what job you are interested in and how you learned about it . It should also present you as the best possible candidate for the job, and explain what actions you will take next.
  • Close : Use a polite and professional phrase here, such as Sincerely, Respectfully , or Kind Regards .
  • Signature : This area should contain your name, a written signature (if you're mailing the letter), and another way to contact you (such as a phone number or email address ).
  • Enclosure line : Use this line whenever you include a separate item in the same envelope or email message. It will tell the recipient to look for the enclosed attachment, which will usually be your resume, but could also be samples of your previous work.

If you're sending a cover letter via email , you don't need to include the date , return address , or mailing address at the top of the page. Just include your own address and other contact information, such as your email or phone number, below your name in the signature area .

Writing an effective cover letter

To be effective, the body paragraphs of your cover letter must really sell you as the best candidate for the job. This area should highlight your accomplishments and qualifications, as well as explain how you can benefit the company. It should be easy to read and have a positive tone.

Each paragraph of your cover letter has a different purpose, and there are strategies you can use to make each paragraph effective.

First paragraph

The first paragraph can start with an introduction, but it should always start by stating which job you are applying for . Include the job name and number (if applicable). You should also mention where you found the job posting .

Try to include some details about the company you found while researching the job. This kind of detail can help to demonstrate your interest in the position.

Another good strategy in the opening paragraph is to explain your relationship with the company (if you have one).

Second paragraph

The second paragraph should work to position you as the ideal candidate for the job . It should also describe your career accomplishments , demonstrate that they meet or exceed the job requirements , and explain how you will be an asset to the company .

Bulleted list

You may want to use a bulleted list to make this section easier for the hiring manager to scan.

Third paragraph

The third paragraph should request an interview or meeting, provide your preferred contact information , and thank the hiring manager for considering your application.

The following are some tips to make your cover letter the best it can be.

Gather all necessary information first

This includes the job description, name of the hiring manager, and any other research you have gathered about the company.

Follow directions

Some employers may want you to provide additional materials, such as writing samples, with your resume. Others might not accept applications that are sent via email. Before you respond to any job posting, read the directions carefully so you can provide exactly what is required.

Address your letter to a specific individual

If this is not possible, use a gender-neutral greeting, like Dear Hiring Manager or Staff Selection Team .

Write a rough draft

Focus on the purpose of each paragraph:

  • In the first paragraph, introduce yourself, indicate the desired position, and explain how you came to know about the position.
  • In the second paragraph, sell yourself as the ideal candidate by matching your experience with employer needs.
  • In the final paragraph, request action on the part of the employer or explain what actions you will be taking to progress in the job search process.

Use good writing techniques

Characteristics of good writing for cover letters include:

  • Using bullet points or bold text to highlight your qualifications
  • Using concise and clear language; keep it to one page and focus on what you have to offer an employer
  • Using correct grammar; have at least two strong writers edit and proofread your cover letter, and do not rely solely on a spell checker
  • Using active verbs in the present tense to illustrate your skills; for example, I consistently exceed customer expectations by offering personal attention and product expertise.
  • Varying your word choice; for example, if your specialty is product line management , try to find another phrase for the same function, such as family branding

Format your cover letter to be easy to read

This should be done only after you are completely satisfied with the content of your rough draft.

  • Use default margins (1.25” for the right and left margins, 1” for the bottom margin).
  • Single-space paragraphs.
  • Double-space after the date, each address, the greeting, and each paragraph.
  • Leave enough space for your signature.
  • Use bold for emphasis and quick reading. Hiring managers will be skimming the letter, so anything you can do to make your qualifications stand out will help focus their attention on you.
  • Use a default font that is easy to read, such as Times New Roman, Arial, or Tahoma.

Consider using resume paper

If you want to make your application look extra nice, you can print your cover letter and resume on resume paper. Resume paper is sometimes also known as business or specialty paper, and it is thicker and rougher than regular printer paper. However, it's also more expensive, so you may not want to use it for every job application.

Mistakes to avoid

There are several things job seekers can do in their cover letters that can actually hurt their chances of getting an interview. You will want to avoid these mistakes.

  • Don’t write “To Whom It May Concern” or "Dear Sir or Madam". If you don't know the person's name, use something generic and gender neutral, like Candidate Selection Team or Dear Hiring Manager.
  • Don’t use slang , like I crushed the highest sales in my region three years running .
  • Don’t use correction fluid or make corrections after a letter is printed. Reprint your letter if necessary.
  • Don’t write a letter that's longer than one page .
  • Don’t provide false information about yourself or your qualifications.
  • Don't include erroneous information about a company.
  • Don’t include personal information (avoid references to religion, family, etc.).
  • Don’t write poorly (avoid using cliches, exaggeration, and typographical or grammatical errors).
  • Don’t use form letters and mass mailings . Each letter should be tailored to a specific job.
  • Don’t include photos unless it's specifically requested.
  • Don’t confess weakness or apologize for lacking a qualification.
  • Don’t use an improper tone (angry, demanding, desperate, confessional, or too enthusiastic).
  • Don’t include salary information unless it's requested .

Enter your own information into the document as you progress through this activity by replacing the text inside the [brackets] . Remove the brackets as well.

The top of your cover letter

Refer to the picture below as you make changes to the top portion of your cover letter.

  • Replace [ Month] [Day], [Year] with the current date.
  • Replace [Your First and Last Name] with your own name.
  • Replace [Your Street Address] and [City], [ST] [Zip Code] with the address where you live and receive mail.

If you do not have a contact name, you can omit this section or include a line that indicates what the letter is in response to, such as RE: Office Manager postion (Craigslist posting CR-01004-OM) . This can help the person handling the mail pass your cover letter and resume on to the correct person within the company.

  • Replace [Endearment] [Social Title] [Hiring Manager Last Name], with an appropriate greeting, such as Dear Mr. Grantham or Ms. Keaton . Use social titles (e.g., Mr. or Ms.) ONLY when you know for certain an individual's gender. If you do not have a contact name, you can use something generic and non-gender specific such as Dear Staff Selection Team or Dear Hiring Manager . However, resume experts recommend trying to find the name of the person who will be hiring for the position.

The body of the cover letter

Refer to the picture below as you make changes to the body of your cover letter.

  • Write your first body paragraph , replacing the text within the brackets with your own text. Include your name and the position (job name and number) in which you are interested. Explain how you came to know about the position. Make a personal or business connection to the company, if you can, or show what you know about the company.
  • Write your second body paragraph , replacing the text within the brackets with your own text. Point out your accomplishments and qualifications that make you the best choice for the job. Focus on what benefits you will bring to the position or company. Think of it as what you can do for them . You may want to use bold text or a bulleted list to emphasize your strong points.
  • Write your third body paragraph , replacing the text within the brackets with your own text. Tell them what you would like to have happen next. For example, I look forward to discussing how my expertise in customer service can benefit ABC Company. If I do not hear from you by March 3, I will be contacting you to ensure you have received and reviewed my resume. Don't forget to include a way for someone to contact you. For example, You can reach me at the phone number below after 4 p.m. daily if you have any questions or would like to further discuss my qualifications. Remember to thank the hiring manage for his or her time and consideration!

The bottom of the cover letter

Refer to the picture below as you make changes to the bottom portion of your cover letter.

  • Replace [Close], with a polite and professional closing, such as Regards,.
  • Hit enter several times to leave enough space for your signature, then delete [Your Signature] . When you have printed the final copy of your cover letter, be sure to sign your name neatly in this area.
  • Replace [Your Name (typed)] with your full first and last name. Then, replace [A way to contact you] with either a telephone number or an email address, whichever you prefer as a means of communication.
  • On the enclosure line, enter your own name (or the file name if you are submitting your resume electronically) in place of [Your Name] .

Don't forget to have several people review your cover letter before you send it out!

Your guide to documentclass latex: types and options, what is documentclass latex.

Every LaTeX document starts with a \begin{document} command and ends with an \end{document} command. LaTeX ignores anything that follows the \end{document}. The part of the source code file that precedes the \begin{document} declaration is called the preamble .

The first command of the preamble has to be \docummentclass (although technically it can be preceded with prepended files). This command takes a single mandatory argument that is one of the predefined classes of document that LaTeX has built-in. In this tutorial, we are going to explain and see the differences and similarities of these document classes , and what should each one be used for. We will also talk about the multiple optional arguments that the \documentclass command takes, and that can be used to customize the appearance of our document .

There are also third-party document classes that are written and distributed as external packages. Some of these classes, like beamer to make presentations and memoir to extend the functionalities of the book class , are very popular and useful, but we won’t cover them here, since they are much more sophisticated and complex than the predefined classes.

LaTeX document classes and their use

The document classes available in plain LaTeX are reported in the following table:

To produce articles for scientific journals, short reports, program documentation, and, in general, any kind of short document that doesn’t need a complex division into chapters and parts.
A kind of long article that can contain several chapters. It is usually used for small books and thesis.
Used to typeset real books, includes all the kinds of typesetting standards that one may expect from a printed book: chapters and parts, two kinds of pages, a front matter, etc
It was used to produce slides, although the external package is much more powerful for this purpose.
For writing letters.
  • The first two document classes are the basic ones; if you don’t know what document class you should use, always start with article .
  • The report class is very similar, the main difference with the article being that you can insert chapters with \chapter, while in the article class the highest element in the hierarchy of titles is the \section command .

LaTeX book class

In typographical standards, books differ from reports mainly in their front and back matter. The front matter of a book usually includes:

  • a half-title page,
  • a main title page,
  • a copyright page,
  • a preface or foreword, and a table of contents.

It may also contain:

  • acknowledgments,
  • a dedication,
  • a list of figures,
  • a list of tables,
  • a list of other books in the same series, and other editorial or promotional content.

The back matter usually includes an index and may contain an afterword, also acknowledgments, a bibliography, a colophon, and so on.

The book document class provides some commands to produce the logical structures previously discussed, that the report class isn’t able to deal with by default . However, it does not try to yield tools to all of them. Individual publishers usually have their own packages with additional commands to typeset the structures according to their manual of style.

Front matter, main matter and back matter commands

The front matter, main matter (which contains the main body of the book, starting at the first chapter or part and ending at the appendices), and back matter are begun with the three commands \frontmatter, \mainmatter, and \backmatter, respectively.

In the standard book class, front matter pages are numbered with roman numerals; main and back matter pages are numbered with arabic numerals.
In the front and back matter, the \chapter command does not produce a chapter number, but it does make a table of contents entry; this can be used, for example, to produce a preface or acknowledgments section. Inside these kind of chapters, only the starred versions of other sectioning commands (mainly \section* and \subsection*) should be used.

You can see the table of contents produced by the previous book in Figure 1. Observe how the numbering of the pages and the sectioning commands change according to the part of the book we are in.

Odd and even pages in Book class

When printing books, odd and even pages are not structured in the same way. Margins, and usually also headers and footers, change to provide better readability when the book is bound. This is taken into account in the book document class, where you will see that:

  • left pages have a larger left margin, the page number at the top left of the page, and the title of the current chapter at the right, while
  • right pages have a larger right margin and only the page number at the top right of the page. Also, new chapters start always at the right page and the page head is emptied, leaving only the page numb er at the center on the foot of the page.

No built-in abstract

There is one more difference between the book class and the article and report classes : it doesn’t have a built-in abstract environment .

This environment is used in academic articles, and also reports, to give a brief description of the contents that will be treated along with the document. It is customary for this introduction to have special typesetting, with “Abstract” written in bold over it, and also it is common to find it printed just after the title and before the table of contents. As said, this environment is not implemented in the book document class.

Memoir class

It is worth mentioning here that there is a popular extension of the book document class, called memoir, written by Peter Wilson.

This package aims to integrate multiple design-related packages with the LaTeX book class. It provides:

  • a larger range of permissible font sizes,
  • a large number of page styles, and well
  • over a dozen chapter styles to choose from, as well as
  • methods for specifying your own layouts and designs.
  • It also integrates the functionality of over thirty popular packages.

LaTeX letter class

As with the slide document class, the letter is slightly old-fashioned. This class is used to make traditional letters, the ones that are put in an envelope and mailed, a somewhat obsolete way of communication (since the email was invented and generalized) but still used in certain official matters. Although the class was designed for traditional letters, still today there are certain documents that have the structure of a letter such as:

  • a letter of recommendation, or
  • a letter of presentation

and for which this document class may be useful. So let’s briefly discuss the details that characterize this particular document class!

With it, you can make any number of letters with a single input file:

  • Your name and address, which are likely to be the same for all letters, are specified by special declarations.
  • The return address is declared by an \address command, with multiple output lines separated by \\ commands (which is the common line-breaking command in LaTeX).
  • The \signature command declares your name, as it appears at the end of the letter, with the usual \\ separating multiple lines.

These declarations are usually put in the preamble because they are common to all letters, but they are normal declarations with the customary scoping rules and can appear anywhere in the document. In particular, this means that you can change the return address and signature at any point.

Each letter is produced by a separate letter environment, having the name and address of the recipient as its mandatory argument.

  • The letter itself begins with an \opening command that is used to generate the salutation.
  • The main body of the lecture is ordinary LaTeX input.
  • The letter closes with a \closing command that is passed the closing sentence and automatically generates the signature.

These may seem a lot of commands, but they are all very easy to use, and also very powerful since LaTeX automatically will take care of the formatting of the letter, without you having to worry about it at all.

In case you are not convinced yet, let me show you a clarifying example where all the commands are put into practice so that you can use it as a template for your letters:

You can see the letter generated in Figure 2. Note how LaTeX automatically formates everything, and even inserts the current date without you asking for it. I find generating letters with LaTeX easier than doing it by hand!

We said that the date on the letters is automatically inserted by LaTeX and that it uses today’s date. We can, however, change this behavior by redefining the \today command, which is where LaTeX saves the name of the day. For example:

\renewcommand{\today}{12th of October of 1492}

will make \today print the content “12th of October of 1492”. This declaration can either be used on the preamble, to affect all letters or inside a certain letter environment, to only affect that letter.

documentclass latex options

As was stated in the introduction, there are some optional arguments that can be passed to the \documentclass command. Here we are going to explain these options:

The options 10pt, 11pt, and 12pt choose the normal type size of the document. The default value is 10pt. This option is not recognized by the slides class.

The paper size can be selected between the following options:

  • letterpaper (8.5in × 11in)
  • legalpaper (8.5in × 14in)
  • executivepaper (7.25in × 10.5in)
  • A4 (210mm × 297mm)
  • A5 (148mm × 210mm)
  • B5 (176mm × 250mm)

By default, the paper size is letterpaper.

The landscape option causes the output to be formatted for landscape printing on the selected paper size. Effectively, this option interchanges the width and the height dimensions of the paper size.

If TeX has trouble finding good places to break lines, it can produce lines that extend past the right margin (which produce the output warnings called “overfull hboxes”). The draft option causes such lines to be marked by black boxes in the output. The final option, which does not mark these lines, is the default.

Two sides printing

The oneside and twoside options format the output to be printed on one side or both sides of a page, respectively. The default is oneside, except for the book class, for which it is twoside. However, the twoside option is not available with the slides document class.

Opening page of chapters

If the openright option is used, then all chapters will begin on a right-hand page. Instead, with the openany option you can make them start on any page. These options apply only to the report class (whose default is openany) and the book class (whose default is openright).

Two column pages

The option twocolumn specifies two-column pages. The default is onecolumn, for one-column pages. The twocolumn option cannot be used with the letter or slides classes.

Page for the title

The titlepage option causes the \maketitle command to make a separate title page and the abstract environment to put the abstract on a separate page. The default is titlepage for all classes except article, for which it is notitlepage. hese options, however, are not recognized by the letter class.

Open bibliography style

openbib causes the bibliography to be formatted in an open style. This option is not recognized by the letter and slides classes.

Numbered formulas

The option leqno puts formula numbers on the left side, instead of the right, which is the default.

Formulas alignment

The option fleqn left-aligns formulas, which by default are centered.

Writing the Cover Letter

What are the objectives of a cover letter.

A good cover letter puts your résumé in context and persuades the prospective employer that you are a good match for the position in question. If your cover letter does its job, the prospective employer will begin to consider your candidacy and go on to review your résumé in detail.

Your cover letter also serves as a sample of your organizational and communication skills. For this reason, it's essential to spend time writing and organizing the content, and to proofread it carefully. The time and care that you devote to constructing and writing your cover letter and résumé will demonstrate to the prospective employer that you're capable of producing high quality work.

Finally, your cover letter expresses your interest in the particular position or particular organization. Cover letters should be individually tailored for each job prospect. Your letter should convey to each prospective employer that you have an understanding of the job, and that you've done some thinking about how you could fit in to the organization and contribute to its goals.

How should I approach the writing task?

Your cover letter is your opportunity to market those aspects of your skills, abilities, education, training, background, and experience which are most relevant to the position you're seeking. This means that you will need to begin by doing some thinking about your skills and background and how these relate to the position for which you're applying. (For more information about skills, visit the Humanities Academic Services Center website .) Your cover letter should reflect your individuality, but remember that you are "introducing yourself" for the first time to a stranger: it's best to err on the side of professionalism.

Read the job announcement carefully. What are the most important qualifications being sought? How can you best demonstrate that you have them? Try to put yourself in the prospective employer's position: What would you want to know about a candidate for this particular job? What information would be most important to you? Include only the most relevant attributes and experiences you possess which specifically match the job for which you're applying.

Research the company or organization: What does the employing organization do? What are its goals? What is its history? How does it fit in to its industry? What characterizes the organization's culture (e.g., is it casual, conservative, highly structured, diverse, traditional, modern, fast-paced, etc.)? Some information, such as the organization's mission, purpose, clients, partners, and a sense of its "style" can be found on its website (if it has one). There are also industry and employer directories available on the web, in the libraries, and at UW Career Center in 134 Mary Gates Hall. Local and national newspapers, industry-related publications and journals, and the Washington Occupational Information System are also good resources.

Address the letter to a specific individual. As with all writing, it's important to identify your audience. Taking the time to find out the hiring party's name and correct title is another way to demonstrate your interest in the position.

How should I format my cover letter?

Your cover letter should be three to four paragraphs in length and limited to one page. Like an essay, its content can usually be divided up into three parts:

The introduction states the position you're seeking, explains how you learned about the position, and indicates your interest. It often also contains a brief statement of your qualifications (education, experience, and skills).

The body highlights the most important qualities you can offer to this particular employer , related to the position that you're seeking. Because you will be attaching your résumé, this is not the place to go into great detail. What you are attempting to do is to get the employer's attention and interest him/her in your candidacy. This is also the place to present other relevant information about your characteristics or background that may not be evident from your résumé. Here’s the standard way that a cover letter should be formatted and what to include:

The header. The header of your letter is where you should input all of the contact information for yourself and the hiring manager . Do you best to address it directly to the person who’ll be reading the letter — typically either the hiring manager or HR manager.

Traditionally, you should include both your name and address and the employer’s name and address. However, as the majority of applications are online, the employer’s address is often omitted. But a traditional cover letter’s heading would look like this:

Avoid using generic greetings such as “To whom it may concern” as it’ll look like you didn’t bother to personalize the letter (even if you did.) That particular phrase has become somewhat controversial as well, so if you need to put a generic address — if you can’t find the hiring manager’s name, for instance — use something else, such as:

Opening paragraph. The opening of your professional cover letter should instantly grab the attention of your reader . Try to lead off with one of your most relevant and impressive accomplishments.

Open strong . Open with a statement other than your name or stating your interest in the position. Lead with an interesting experience or achievement that directly relates to the new position.

Convey your personal value. There are always other qualified applicants with similar skills, so it is key to express why you personally would bring value to the organization. Give specific details as to the value you brought in a previous position, and how that could transfer to the new role.

Show your enthusiasm. Recruiters want to hire candidates who are excited about the position. Express enthusiasm and convey why you are passionate about the role. This is another opportunity to share a quick personal anecdote related to the job.

Keep it short. All of these points in your opening paragraph shouldn’t be more than a sentence or two each. You don’t want your introduction to be too long, as you want the reader to be able to quickly go through your cover letter.

Sending mail with USPS is easy! Our video will help you with most letters, cards, and postcards you send domestically (inside the U.S.), including U.S. territories and military bases in the U.S. and abroad.

Send Mail: Step-by-Step Instructions

Envelope and postcard

Step 1: Choose Envelope or Postcard

Envelopes are for sending flat, flexible things, like letters, cards, checks, forms, and other paper goods. For just 1 $0.68 First-Class Mail ® Forever ® stamp , you can send 1 oz (about 4 sheets of regular, 8-1/2" x 11" paper in a rectangular envelope) to anywhere in the U.S.!

No. 10 envelope compared to the minimum and maximum envelope sizes

Envelopes must be rectangular and made of paper to qualify for letter prices. Your envelope can be a maximum of 11-1/2" long x 6-1/8" high. (A standard No. 10 envelope is 9-1/2" long x 4-1/8" high.) You can fold what you put in your envelope, but it needs to stay flat—no more than 1/4" thick.

If you want to send letter-sized papers without folding them, you can use a large envelope (called a "flat"); the postage for flats starts at $1.39 . If your large envelope is nonrectangular, rigid (can't bend), or lumpy (not uniformly thick), you'll have to pay the package price.

TIP: If your envelope can't fit through USPS mail processing machines, or is rigid, lumpy or has clasps, string, or buttons, it's "nonmachinable" and you'll have to pay $0.44 more to send it. ( See additional postage in Step 3 .) You'll also have to pay more if your envelopes are square or vertical (taller than they are wide).

Postcards are for short messages that you don't need to put in an envelope. Save money using a $0.53 postcard stamp to send a standard-sized postcard anywhere in the U.S. Standard postcards are usually made of paper, are between 5" to 6" long and 3-1/2" to 4-1/4" high, and are between 0.007" and 0.016" thick.

Step 2: Address Your Mail

Envelopes: Write your address (the "return" or "sender" address) in the top left corner. Write the delivery address (the "recipient" address) in the bottom center.

Postcards: Postcards come in different formats, so write the delivery address in the space it gives you (on the same side you write your message and put the stamp).

Print your return address and the delivery address clearly, in the correct spots, to make sure your mail is delivered on time.

Address Format Tips

  • Use a pen or permanent marker.
  • Do not use commas or periods.
  • Include the ZIP+4 ® Code whenever possible.

Write Sender Address

Write your address (the "return address") in the top-left corner. Include the following on separate lines:

  • Your full name or company name
  • Apartment or suite number
  • Full street address
  • City, State, and ZIP+4 Code

Write Delivery Address

Write the delivery address (the "recipient" address) in the bottom center of the envelope. Include the following on separate lines:

  • Recipient's full name or company name

If the apartment or suite number cannot fit on the delivery address line above the city, state, and ZIP+4 Code, place it on a separate line immediately above the delivery address line.

Write the sender's address in the top-left corner. Include the following on separate lines:

  • Full street address and apartment or suite number, if applicable

  • Do not include the city or country name when you send something to an APO/FDO/DPO address in another country. This keeps your mail out of foreign mail networks.

When you're done addressing your envelope, put what you're sending inside the envelope, then close and seal it (using the envelope's glue or tape).

Step 3: Calculate Postage (& Add Insurance or Extra Services)

A First-Class Mail ® Forever stamp costs $0.68 and goes in the upper right corner of the envelope. (You can also use any combination of stamps that adds up to $0.68.)

If your letter is heavier or bigger, or if you want to add insurance or extra services like Certified Mail ® service, you'll pay more.

A standard postcard stamp costs $0.53 . (Large or square postcards will cost more.) Put the postcard stamp in the space provided near the delivery address.

Postage for letters mostly depends on weight and size/shape. You can weigh your letter with a kitchen scale, postal scale , at a self-service kiosk, or at the Post Office ™ counter.

TIP: As a rule of thumb, you can send 1 oz (4 sheets of printer paper and a business-sized envelope) for 1 First-Class Mail ® Forever ® stamp (currently $0.68).

The postage for a large envelope (or flat) starts at $1.39 for 1 oz.

Where Can I Buy Postage?

  • The Postal Store ® Shop online for all stamps and add-on postage for oversized or heavier envelopes.
  • Post Office Locations Buy stamps at Post Office locations , self-service kiosks , or at National Retailers such as grocery and drug stores.

TIP: If you're sending larger envelopes (flats) using Priority Mail ® or Priority Mail Express ® service, you can use Click-N-Ship ® service to pay for and print your own postage online.

Additional Postage

If your envelope weighs over 1 oz, you can buy additional postage in the amount you need:

  • Each additional 1 oz is $0.24, for letters up to 3.5 oz and large envelopes up to 13 oz.
  • Nonmachinable items, including envelopes that are lumpy or rigid, or have clasps, string, or buttons will cost $0.44 more to send. You'll also have to pay more if your envelopes are square or vertical (taller than they are wide).
  • You can also buy 1¢, 2¢, 3¢, 4¢, 5¢, and 10¢ stamps at The Postal Store .

TIP: Put the stamp on last; that way, if you make a mistake at any other point, you won't waste a stamp.

If you want insurance, proof of delivery, signature services, or other optional services, you'll have to pay extra.

  • Certified Mail ® : Get proof that you mailed your item and that the recipient signed for it.
  • Registered Mail ® : USPS's most secure mail service–mail is processed manually, handled separately and securely, and signed for along every step of its journey. The recipient must sign for the mail to confirm delivery (or attempted delivery).
  • Return Receipt: You'll get a printed or emailed delivery record showing the recipient's signature. You can combine Return Receipt with other services, including Certified Mail, Registered Mail, Priority Mail Express ® service, and more.
  • Adult Signature Required: Only an adult (age 21+) can sign for the mail after showing a valid government ID .

Postage Options

There are several ways to get postage for your envelope.

  • The Postal Store ® --> ® and Priority Mail Express ® envelopes.
  • Post Office ™ Locations --> ® such as grocery and drug stores.

Send your letter or postcard from your mailbox, a blue collection box, or Post Office.

Step 4: Send Your Mail

Once your envelope or postcard has the correct addresses and postage, you can send it several ways, including putting it in your mailbox or dropping it in a blue collection box or at a Post Office ™ location.

  • Put your letter inside your mailbox and raise the flag (if you have one).
  • If you have a cluster mailbox, drop it in the outgoing mail slot.
  • Drop it off in a blue collection box.
  • Take it to a Post Office lobby drop.

Important Note: If your envelope has postage stamps and weighs more than 10 oz or is thicker than 1/2", you can't put it in a collection box; you have to give it to an employee at a Post Office location. See more details on What Can and Cannot be Deposited in a Collection Box?

Bonus: Sending Mail Pro Tips

The Postal Service uses high-speed sorting machines to help process and deliver 425.3 million mail pieces each day. Here are some extra tips to improve your mail sending experience:

  • Stay flexible : Don't send rigid (hard) objects in paper envelopes.
  • Sending embellished invitations (for weddings, graduations, etc.)? Get them hand-canceled or put them inside another envelope.
  • Need tracking? Learn about your options.

Flexible and flat items only (like paper or photos, less than 1/4 inch thick). Rigid or lumpy Items (like keys or flash drives) can tear your envelope.

Stay Flexible

Postcards, letter envelopes, and large envelopes (flats) all need to bend to fit through USPS ® high-speed sorting machines.

  • OK: Flexible, flat things like stickers, photos, trading cards, etc. should be okay—as long as your envelope stays flat, not lumpy, and less than 1/4" thick.
  • Not OK: Don't put rigid objects (like flash drives, coins, keys, hard plastic card cases, etc.) loose in unpadded paper envelopes: They could get torn out of the envelope, jam the sorting machines, cause a delay, or even get lost.

Instead, for rigid and odd-shaped objects (or things you don't want to get bent), we recommend using a padded envelope or small box and sending it as a package .

Sending Embellished Invitations (for Weddings, Graduations, etc.)

If you want to send a specially decorated envelope (like some wedding invitations):

  • You can pay the extra fee for nonmachinable First-Class Mail ® items, bring your mail to the Post Office™ counter, and ask the retail associate to hand-cancel your embellished invitations.
  • For externally decorated invitations: If you use wax seals, strings, ribbons, etc. on your envelopes, don't try to send them exposed. Instead, to make sure your envelopes arrive looking the way your designer intended, put them inside another envelope .

Need Tracking?

Tracking is not available for First-Class Mail items. If you'd like to get tracking information for your letter:

  • You can pay extra to send your letter using Priority Mail Express ® or Priority Mail ® service.
  • You can get delivery confirmation by adding Certified Mail ® or Registered Mail ® service. (You can even combine it with Return Receipt if you want the recipient's signature.)
