Maisterintutkielman tallentaminen, arviointi ja julkaiseminen E-thesiksessä

Oikeustieteellinen tiedekunta, ennen palautusta.

  • Kaikissa tutkielmissa tulee olla kansilehti ja tiivistelmäsivu. Maisterintutkintoon kuuluvana kypsyysnäytteenä toimii tutkielman tiivistelmä.
  • Tutkielman tekijä tallentaa tutkielman E-thesis-järjestelmään viimeistään jättöpäivänä klo 23.59.

Maisterintutkielman tallennusohjeet

Tämän ohjeen avulla lähetät maisteritutkielmasi tarkastukseen ja tallennat työsi pdf-version. Jos tarvitset lisäohjeita, tutustu sivun lopussa oleviin linkkeihin.

  • Muunna tutkielmasi yhdeksi saavutettavaksi pdf-tiedostoksi, joka sisältää myös kansilehden ja tiivistelmäsivun siten, että ensin on kansilehti, sitten tiivistelmä ja lopuksi itse tutkielma. Jos käytät Helsingin yliopiston mallipohjaa, sisältää se jo tiivistelmän. Nimeä tiedosto (ilman ääkkösiä tai erikoismerkkejä esim. Meikalainen_Maija_maisterintutkielma_2023) ja tallenna se. Tarkista että pdf tiedosto on tekstimuotoinen, helpoiten näet sen siitä, että tekstiä pystyy valitsemaan/maalamaan hiirellä.
  • Aktivoi Office 365 -posti , mikäli et ole sitä vielä tehnyt. tutkielmaa ei pysty palauttamaan ilman toimivaa helsinki.fi -sähköpostiosoitetta. (HUOM! Aktivointiin menee yksi yö.)
  • Täytä lomakkeen kentissä pyydetyt tutkielman kuvailutiedot.
  • Huomaathan, että tiivistelmä liitetään sekä tutkielmatiedostoon että tallennuslomakkeelle tekstinä kohtaan "Tiivistelmä". Tekstikohdasta tiivistelmä saatetaan avoimesti saataville julkaisuarkistoon (Helda).
  • Liitä tutkielman pdf-tiedosto.
  • Tarkista vielä, että tiedot ovat oikein ja päätä tallentaminen - tai korjaa tietoja tarvittaessa.
  • Onnistuneen tallennuksen jälkeen työsi on tarkastus- ja arviointiprosessissa, johon sisältyy plagiaatintunnistus Ouriginal- järjestelmässä. Onnistuneen tallennuksen jälkeen saat järjestelmistä (E-thesis & Ouriginal) automaattisen vahvistusviestin.
  • HUOM! Kun tutkielma on jätetty E-thesis-järjestelmään, ei sitä enää voi muokata. Olethan huolellinen!
  • Tallennuksen jälkeen tutkielmallesi lisätään tarkastajat ja vasta tämän jälkeen tutkielmasi siirtyy tarkastajille.
  • Kun tarkastus on valmis, saat järjestelmästä viestin, jonka liitteenä on arvosanaehdotus. Arvosanaehdotus tulee ennen tiedekuntaneuvoston kokousta.
  • Kun tiedekuntaneuvosto on arvioinut tutkielman, pyritään tutkielman ja kypsyysnäytteen suoritusmerkinnät kirjaamaan opintotietojärjestelmään mahdollisimman pian.
  • Kun suoritusmerkinnät on kirjattu, saat järjestelmästä viestin, jonka avulla voit antaa luvan verkkojulkaisemiseen Helsingin yliopiston avoimessa julkaisuarkistossa Heldassa .
  • Huom. Tiedot tallennetaan ja sähköpostiviestit lähetään käyttäjälle, jonka tunnuksilla on kirjauduttu järjestelmään. Älä koskaan luovuta tunnuksiasi tai salasanojasi muiden käyttöön!

Verkkojulkaisu

Helsingin yliopistossa ylemmän korkeakoulututkinnon tutkielmat julkaistaan Helsingin yliopiston avoimessa digitaalisessa arkistossa HELDAssa . Kun työsi on hyväksytty tiedekunnassa, saat sähköpostiviestin, jossa on linkki verkkojulkaisulupaan. Verkkojulkaiseminen kannattaa, koska työsi saa silloin pysyvän julkaisupaikan ja pysyvän verkko-osoitteen. Voit jakaa työsi verkko-osoitetta vapaasti haluamallasi tavalla ja eri tahoille. Tutkielman tiivistelmä ja kuvailutiedot julkaistaan aina Helsingin yliopiston kirjaston avoimessa julkaisuarkistossa.

Jos tutkielmasi osana on lehdessä julkaistava artikkeli tai tutkielmasta on tekeillä artikkeli, tutkielmaa ei välttämättä voida sellaisenaan julkaista avoimesti. Artikkelin kustantajalta on usein mahdollista saada tietoa avoimen julkaisemisen ehdoista. Jos tarvitset lisätietoa julkaisemisesta, voit ottaa yhteyttä palveluosoitteeseen [email protected].

Tallennus arkistoon

Jos työsi sisältää sellaista tietoa, jota ei julkaista avoimesti verkossa, ota yhteyttä tutkielmasi ohjaajaan. Jos et hyväksy verkkojulkaisemista, tutkielmasi pdf-versio arkistoituu siten, että sitä voidaan käyttää vain paikallisesti kirjastossa kirjastokioskeilla (vain tiivistelmäteksti tulee julkiseksi julkaisuarkisto Heldassa). Tutkielmasi arvosanalausunto arkistoituu päättävän tahon pöytäkirjan liitteeksi.

Ouriginal-plagiaatintunnistusjärjestelmä

Tallennettu tutkielma käsitellään Ouriginal-plagiaatintunnistusjärjestelmällä. Tästä syntyy raportti, jonka tarkastaja lukee. Raportti ei tule automaattisesti opiskelijan luettavaksi. Kun Ouriginal-järjestelmä on tuottanut raportin, saat siitä viestin sähköpostiisi. Viestissä olevan linkin kautta voit päättää, tallentuuko työsi osaksi Ouriginalin tietokantaa. Helsingin yliopisto suosittaa Ouriginaliin tallentamista, sillä näin opiskelija voi ehkäistä omaan työhönsä kohdistuvaa plagiointia jatkossa. Voit tallentaa työsi Ouriginaliin, vaikket antaisikaan lupaa sen avoimeen julkaisuun verkossa. Opiskelijalla on oikeus nähdä pyynnöstä omasta työstään syntyvä Ouriginal- raportti.

Mistä aiheista voit suorittaa tutkinnon Helsingin yliopistossa?

Kandiohjelma on alempi korkeakoulututkinto, jonka laajuus on 180 opintopistettä. Maisteriohjelma on ylempi korkeakoulututkinto, jonka laajuus on 120 opintopistettä. Kandiohjelma suositellaan suoritettavan noin kolmessa vuodessa ja maisteriohjelma noin kahdessa vuodessa.

Voit rakentaa tutkinnon laajan monitieteisten opiskeluvaihtoehtojemme avulla. Suomen- ja ruotsinkielisten ohjelmien lisäksi Helsingin yliopisto tarjoaa myös englanninkielisen kandiohjelman ja yli kolmekymmentä englanninkielistä maisteriohjelmaa.

Moderneihin ja monimutkaisiin ilmiöihin, kuten tekoälyyn ja kvanttiteknologiaan liittyvä tutkimus kehittyy koko ajan ja maailma tarvitsee sen takia uusien alojen asiantuntijoita.  

Kursseilla opit mm. teknologiasta, avaruudesta, kestävästä kehityksestä, tilastotieteestä ja tekoälystä. Meillä opit katsomaan näitä aiheita eri näkökulmista, sillä tieteenalamme tutkivat ja opettavat yhdessä.  

Sinusta voi tulla asiantuntija, jolla on taidot rakentaa eettisempi digitaalinen maailma. 

Jos olet kiinnostunut luonnontieteistä, nämä ohjelmat voisivat sopia sinulle:  

Millainen on oikeudenmukainen yhteiskunta, johon kaikki voivat osallistua? Yhteiskunnallisissa ja humanistisissa tieteissä tutkitaan esim. miten eriarvoisuus lisääntyy terveydessä, koulutuksessa ja osallistumisessa ja miten se vaikuttaa yhteiskuntaan ja näkyy ihmisten arjessa.  

Opinnoissa opit analysoimaan yhteiskuntaa ja sen ilmiöitä sekä politiikan että taiteen ja historian näkökulmasta.   Opiskelemalla hyvinvointia ja terveyseroja, hyvää työelämää, demokratiaa ja oikeusvaltiota sekä yhteiskunnan moninaisuutta, kuten kieliä ja kulttuureja, tulet alan asiantuntijaksi ja opit rakentamaan hyvää yhteiskuntaa ja ymmärtämään merkityksiä ja ihmisyyden moninaisuutta.

Tutkimuksen ja tiedon avulla pyrimme löytämään keinoja taistella ilmastonmuutosta vastaan ja siihen sopeutumista.  

Opintojesi aikana opit lisää mm. luonnon resurssien kestävästä käytöstä, luonnontieteistä, kestävän tulevaisuuden edistämisestä, ympäristönmuutoksesta, tiedon prosessoinnista ja optimoinnista.  

Meillä sinulla on mahdollisuus muokata tulevaisuutta ja olla mukana rakentamassa kestävämpää maailmaa. Tulevaisuuden ammattilaisena voit olla eturintamassa luomassa kestävämpää tulevaisuutta.  Jos olet kiinnostunut ympäristöstä, biologiasta tai ravintotieteistä nämä ohjelmat voisivat sopia sinulle:  

Meillä opit tulevaisuuden taitoja, kuten miten opimme paremmin ja miten digitaalisuus voi auttaa oppimisessa. Näet myös oppimisen ilmiöitä uudessa valossa esim. aivotutkimuksen myötä. Suomalainen koulu on rakennettu pitkäjänteisellä panostuksella tutkimukseen perustuvaan tietoon, tasa-arvoon ja koulujärjestelmän selkärankaan – opettajiin.  

Pääset myös perehtymään, miten kestävä kehitys ja yhdenvertaisuus kehittyvät osaksi kouluarkea. Ammattitaitoiset osaajat ovat avainasemassa koulutuksen kehittämisessä.

E-thesis is a system for submitting and assessing theses. In addition, it exports theses into the University of Helsinki’s repository Helda.

When you have submitted your thesis in E-thesis, academic administration staff will send it to the designated examiners for assessment. Once they have assessed it, you will be emailed the grade. 

Approved theses are archived in the E-thesis system. All approved theses can be read on the terminals available at Helsinki University Library. Thesis abstracts are always public and can be accessed in the open repository.

From 1 August 2024, two versions of E-thesis will be available. User instructions for the new version can be found on this page. Instructions for its predecessor are available in the  old E-thesis .

User instructions for examiner are available in Instructions for teaching . 

See the list below for the system you must use to submit your thesis.

The following faculties use the  old E-thesis   for submitting bachelor’s theses:

  • Faculty of Educational Sciences  
  • Faculty of Medicine  
  • Swedish School of Social Science  
  • Faculty of Theology

Until 31 December 2024, the following faculties will use the old E-thesis for submitting master’s theses, licentiate theses in veterinary medicine and advanced studies theses in medicine :

  • Faculty of Medicine
  • Faculty of Law

The following faculties will use the old E-thesis for submitting master’s theses until 31 July 2024, after which they will use the  new E-thesis :

  • Faculty of Biological and Environmental Sciences

  • Faculty of Arts
  • Faculty of Educational Sciences
  • Faculty of Agriculture and Forestry
  • Faculty of Social Sciences

At the Faculty of Science , theses will be submitted in either the new or the old system, depending on the degree programme. The  new E-thesis  will be used to submit master’s theses in the following degree programmes from 1 August 2024:

  • Master’s Programme in Data Science
  • Master’s Programme in Geology and Geophysics
  • Master’s Programme in Atmospheric Sciences

  • Master’s Programme for Teachers of Mathematics, Physics and Chemistry (Study Track in Physics, Study Track in Chemistry)

The  old E-thesis  will be used until 31 December 2024 in the other Faculty of Science master’s programmes and the Study Track in Mathematics in the Master’s Programme for Teachers of Mathematics, Physics and Chemistry.

User instructions for the new e-thesis.

The redesigned E-thesis for submitting and assessing theses will be introduced gradually during the 2024–2025 academic year. Although initially used to submit only master’s theses, the system will gradually come to encompass bachelor’s theses as well.

Please note that these instructions apply to the new E-thesis. Instructions for theses are available on the Instructions for Students website.

Logging in to E-thesis

Begin by logging in to the new E-thesis through either the button in the top right corner or the welcome window. E-thesis uses a similar login to other University of Helsinki services. Once you have logged in, your first and last name will appear in the top right corner.

Beginning thesis submission

To begin the submission process, click on the ‘Start’ button under your thesis title.

Selecting your degree programme and valid right to study

At the beginning of the submission process, you must select the degree programme under which you will submit your thesis. If you hold the right to study in only one degree programme, the system will select it automatically. Once you have selected the programme, click on ‘Start’.

If you do not hold a valid right to study, the system will not allow you to begin the submission process. You can check your right to study and registration status in Sisu .

If the system cannot find your valid right to study, please send an email to [email protected] .

Verifying your personal details

Next, check your personal details. If you find errors, edit them in Sisu before submitting your thesis.

You can save any submitted thesis data and suspend the submission process by clicking on ‘Continue later’ and return to edit the data later. For information on incomplete and complete submission processes, click on ‘My theses’ on the E-thesis frontpage.

Next, enter the required thesis information and descriptive data.

Thesis author(s)

Check your personal details (first and last names, student number) once more.

Co-authored thesis

If you have co-authored your thesis, select ‘Yes’ and enter your co-author’s name.

Thesis responsible person

In some degree programs, a person responsible for theses is appointed, and you can find this person in the thesis plan. Add the person responsible for your thesis, if one has been appointed.

Thesis supervisors

Enter your supervisor’s first and last name and email. If you have another supervisor, you can enter their details by clicking on ‘Add another supervisor’.

Thesis information

Under ‘Thesis information’, enter basic information on your thesis, such as its language, title, subtitle (if any) and abstract. If you wrote your thesis in Finnish or Swedish, add an English-language translation of the title and abstract. If you wrote your thesis in a language other than Finnish or Swedish, add a Finnish- or Swedish-language translation.

For any translations required, see the instructions issued in your degree programme.

Based on the thesis abstract, the system generates keywords automatically. You can select appropriate thesis keywords from the suggestions by clicking on them.

You can also add your own keywords by entering them in the text field and pressing Enter or clicking on ‘+ Add keyword’ next to the text field. Please note that you can add only one keyword at a time.

Maturity test

Enter information on your maturity test, that is, the language of your secondary education, the language of your maturity test and any first- or second-cycle degree previously completed in Finland.

If you have previously completed maturity tests and their information can be found in Sisu, the system will retrieve it.

Thesis publication

Descriptive data about all University of Helsinki theses are published in the Helda repository. Read more about thesis publication on the Instructions for Students website.

You can permit the open access publication of your thesis, but remember to first read the publication agreement . If you permit the publication of your thesis, a menu for CC licences will appear below. You can select a suitable CC licence or accept none of them, in which case you will retain all rights to your thesis.

Even after submitting your thesis, you can change its publication permission until the status of its assessment is ‘Complete’.

If necessary, you can request an embargo period for the publication of your thesis. Please note that you can do so only during thesis submission. 

On the ‘Files’ tab, you can add your thesis file and any other attachments. In addition, you can add links relevant to your thesis, such as videos or computer programming.

After uploading files, double-check that they are correct. 

Confirm and save

The ‘Confirm and save’ tab contains a summary of your thesis information. On the ‘Summary’ tab, you can check that you have completed all the required information correctly. You can always return to edit a specific section by clicking on the ‘Return to edit’ button next to it. 

When you have ensured all the information is correct and all the necessary files have been added, you can submit your thesis by clicking on ‘Send’ at the bottom of the tab.

After submitting your thesis, you will receive an email confirming that your thesis has been received. 

‘My theses’ and thesis statuses

On the ‘My theses’ page, accessible from the E-thesis frontpage, you can view the theses you have submitted and any incomplete submissions.

You can resume your incomplete submissions, shown at the top of the page, or, if unnecessary, remove them.

In addition, the ‘My theses’ page allows you to monitor the progress of your thesis assessment under the ‘Status’ column and to review submissions.

Grade proposal messages

You will receive an email about the grade proposed for your thesis at least one week before its approval. The email will include a link to the ‘My theses’ page. You can view your grade proposal by clicking on ‘Show’.

You can then download the thesis assessment as a PDF file from the ‘Summary’ page.

As long as you have a valid helsinki.fi account, you can read the statement for the grade proposal in E-thesis. Please note that you will be unable to save the PDF file after your account expires.

Assessment decisions

When your thesis has been approved and the grade is in Sisu, you will receive a message about the assessment decision. The system will export your thesis directly to the Helda repository in accordance with the publication permission you have granted.

Currently available versions of this resource

This corpus contains the University of Helsinki’s master’s theses as well as the doctoral theses and their summaries in the following languages: English, Finnish, French, German, Russian, Spanish and Swedish, published at https://ethesis.helsinki.fi by September 2016. The corpus is divided in subcorpora, one for each language mentioned above.

Please note: Due to a known bug in the automatic conversion process that was applied on this corpus, there are some missing characters in the text, i.e., some individual words may have been erroneously truncated or split. The bug has probably affected every 129th character in the original text. This problem will be fixed in the next version (1.1) of the corpus.

Of this language corpus different versions/subcorpora are published in the Language Bank of Finland. The versions are available through the Language Bank Download Service and/or through the Korp concordance tool . The links to the different versions can be found from the list above.

The E-thesis system is used to assess second-cycle theses at the University of Helsinki.

Once assessed, theses are transferred from E-thesis to the Helda repository, where they are displayed for open or limited access. Further information on  public access to and publication of master’s theses  is available on the Instructions for Teaching website. 

From 1 August 2024, two versions of E-thesis are available.  Here you can find user instructions for the new version. If you have submitted your thesis in the old E-thesis, read  these user instructions . 

Please check the list below for the system used for thesis assessment in your faculty and degree programme.

The following faculties use the  old E-thesis   for submitting bachelor’s theses:

  • Faculty of Educational Sciences  
  • Faculty of Medicine  
  • Swedish School of Social Science  
  • Faculty of Theology

Until 31 December 2024, the following faculties will use the old E-thesis for submitting master’s theses, licentiate theses in veterinary medicine and advanced studies theses in medicine : 

  • Faculty of Veterinary Medicine
  • Faculty of Medicine
  • Faculty of Law

From 1 August 2024 , the following faculties use the new E-thesis for submitting master's theses :

  • Faculty of Biological and Environmental Sciences
  • Faculty of Pharmacy
  • Faculty of Arts
  • Faculty of Educational Sciences
  • Faculty of Agriculture and Forestry
  • Faculty of Social Sciences

At the Faculty of Science , theses will be submitted in either the new or the old system, depending on the degree programme. The  new E-thesis  is used to submit master’s theses in the following degree programmes from 1 August 2024:

  • Master’s Programme in Particle Physics and Astrophysical Sciences
  • Master’s Programme in Data Science
  • Master’s Programme in Geology and Geophysics
  • Master’s Programme in Atmospheric Sciences
  • Master’s Programme in Urban Studies and Planning
  • Master’s Programme in Life Science Informatics
  • Master’s Programme in Geography
  • Master’s Programme for Teachers of Mathematics, Physics and Chemistry (Study Track in Physics, Study Track in Chemistry)
  • Master’s Programme in Theoretical and Computational Methods
  • Master’s Programme in Computer Science

The  old E-thesis  will be used until 31 December 2024 in the other Faculty of Science master’s programmes and the Study Track in Mathematics in the Master’s Programme for Teachers of Mathematics, Physics and Chemistry.

Assessment process in the new e-thesis.

Below is a short description of the assessment process in the new E-thesis and the automated messages sent by the system.

  • A student submits their finalised thesis in the system by the deadline. They receive a message about the receipt of their thesis. Student Services receives a message about the submitted thesis.
  • Student Services designates the thesis examiners and sets the assessment deadline.  The status of the thesis changes automatically to ‘under assessment’. The assigned examiners receive an email about the thesis to be assessed.
  • The examiners assess and approve their assessments by the deadline.  The status of the thesis changes automatically to ‘assessment complete’. The system sends a message to all examiners about the completion of the assessment process. Student Services is informed of the assessed thesis.
  • Student Services transfers the thesis assessment to await the dean’s decision.  The status of the thesis is changed to ‘awaiting decision’. The student is informed of the grade proposal by email.
  • After the dean’s decision, Student Services marks the thesis as approved.  The thesis status is changed to ‘complete’, and the system exports the thesis to Helda. The student receives a message about the thesis assessment decision.

Logging in to E-thesis

E-thesis is available at  https://ethesis2-prod.it.helsinki.fi/en .

When academic administration staff have designated the thesis examiners, they will receive an email about the thesis to be assessed. The system can be accessed through the link in the email or from the system  frontpage .

Examiners can log in to the system in two ways:

  • Via the link in the email or from the system frontpage, using UH credentials
  • Via the email login link (external examiners)

NB! If an examiner has several active email addresses (e.g.,  hus.fi  and  helsinki.fi ), they must log in to the system using the address to which they received information on the thesis to be assessed. If the examiner received the information to an external email address (e.g., hus.fi), they must log in to the system via the login link provided in the email.

1. Login with UH credentials

If you received a message about a thesis to be assessed to a University of Helsinki email, you can log in to the system through the link in the email or from the  system frontpage .

Once you have logged in, click on ‘For examiners’ at the bottom of the frontpage.

2. Login by external examiners

If you received a message about a thesis to be assessed to an email outside the University of Helsinki (e.g., a hus.fi address), you can log into E-thesis only by clicking on the login link in the message.

The login link in the email is valid for 30 hours.

If the link has expired, you can request a new one from the  login page for examiners  under ‘Logging in using an external email address’. 

In the designated field, enter the email to which the original assessment invitation was sent and click on ‘Send a new invitation’.

Task queue for examiners

After login, the theses assigned to you are displayed on the frontpage.

The theses whose assessment is incomplete are shown in the task queue ‘Theses to be assessed’.

The ‘Assess’ button appears next to the theses awaiting your assessment.

If the button ‘Edit or view the assessment you have approved’ appears, you have assessed the thesis but it is awaiting assessment by the other examiners.

Begin assessment

You can assess a thesis by clicking on ‘Assess’.

Once you have checked the thesis information, you can begin the assessment by clicking on ‘Begin assessment’ at the bottom of the tab ‘Thesis information’.

By clicking on ‘Show assessment instructions’, you can directly access the instructions for the relevant faculty or degree programme at  The examination and grading of master’s and licentiate theses .

Approval of maturity test

An official at Teaching and Learning Services has reviewed the student’s answers to questions about their maturity test. Based on the answers, the system indicates whether the maturity test must be examined only for content or also for language proficiency. Further information on maturity tests is available on the  Instructions for Teaching  website.

The approval of a student’s thesis requires the approval of their maturity test.

The maturity test is usually examined by the coordinating thesis examiner. If you will not examine the maturity test, you can skip its approval.

Assessment of thesis areas

Next, assess the thesis areas numerically and, if necessary, in writing. The number of areas assessed varies by faculty. Check the assessment instructions of the relevant faculty or degree programme by clicking on ‘Show assessment instructions’ in the top right corner.

Numerical assessment 

You must enter a numerical assessment of each area on a scale of 0 to 5. The other examiners’ numerical assessments are displayed under ‘Other examiners’. If the grade for any area is 0, the thesis cannot usually be approved.

Written assessment

The written assessment of thesis areas is voluntary. The examiners use the same ‘Written assessment’ field . A written assessment can be added by clicking on ‘Add written assessment’.

Please note that written assessments are always displayed to the student alongside the grade assigned for the area.  Save only text intended for the student in this field.

If you edit another examiner’s written assessments of thesis areas and then approve your assessment, the system will ask the other examiner to accept your changes. Further information is available at Changes to written assessments .

Enter your written assessment in the field appearing on the screen, and click on ‘Save’.

NB!  If another examiner has already assessed the thesis areas and you agree with them, you can confirm the assessment by selecting ‘Confirm the submitted assessment’. This will lock the numerical and written assessments. You can return to enter your own assessments by deselecting the above.

Once you have entered your numerical and written assessments of all thesis areas, you can proceed to enter a grade proposal and statement by clicking on the relevant button at the bottom of the page.

The ‘Grade proposal’ tab

A summary of the assessments of thesis areas is shown at the top of the ‘Grade proposal’ tab.

Next, enter your grade proposal for the thesis. This proposal is required . You can see the other examiners’ proposals under ‘Other examiners’.

Examiners should aim to agree on the grade proposal.  If this is impossible, see the instructions at Different grade proposals.

Next, write a statement on your grade proposal. This statement is required . The examiners use the same statement field . If you edit another examiner’s written statement and then approve your assessment, the system will ask the other examiner to accept your changes. Further information is available at  Changes to written assessments .

NB!  If another examiner has already entered their grade proposal and statement and you agree with them, you can confirm the assessment by selecting ‘Confirm the submitted assessment’. This will lock the proposal and statement. You can return to enter your own assessments by deselecting the above.

To save your incomplete assessment and continue later, click on ‘Save’ at the bottom of the page.

If your assessment is complete, click on ‘Approve assessment’.

Assessment summary

The ‘Assessment summary’ tab shows a summary of the thesis assessment.

If the thesis is awaiting other examiners’ assessments, it will not be marked as assessed until all the examiners have assessed it.

If all the examiners agree on the assessment and have approved their assessment, the status of the thesis will change to ‘assessment complete’ and administrative staff will receive a message about the completed assessment.

You can return to your task queue by clicking on ‘Return to theses to be assessed’.

Changes to written assessments

If you edit another examiner’s written assessments or statement and then approve your assessment, the system will ask the other examiner to accept your changes.

The other examiner will receive a message about the changes awaiting approval. The changes can be reviewed by clicking on the link in the message.

You can check your original assessment by clicking on the triangle at ‘Previous versions’.

The system will display the different versions of the written assessment, and their comparison will allow you to review the changes.

Likewise, the changes to the statement can be reviewed by comparing the versions.

You can continue to edit the assessment, in which case any changes you make will be returned to the other examiner for approval.

If you agree on the examiner’s changes and no longer wish to edit the assessment, you can approve it again by clicking on ‘Approve assessment’ on the ‘Grade proposal’ tab.

Different grade proposals

If the examiners propose different grades for a thesis, the system will indicate this.

The examiners should primarily reach a consensus on the grade proposal.

You can save your assessment by clicking on ‘Save’, and continue discussing the grade proposal outside the system (e.g., via email) with the other examiner.  You can find their email address on the ‘Thesis information’ tab.

If you cannot agree on the grade proposal, click on ‘Approve assessment’.

The system will then send a message to all of the examiners about their different grade proposals.

Please note that if you have edited written assessments or the thesis statement, the changes will return to the other examiner for approval after you have clicked on ‘Approve assessment’.

The system will send a message about different grade proposals to administrative staff as well.  Faculty practices for different grade proposals vary. Further information is available in the instructions for specific degree programmes on the Instructions for Teaching website.

Once the final grade has been decided by the faculty, administrative staff will enter it into the system.

Message about completed assessment

When all examiners have agreed on the grade proposal and approved their assessments, they will receive a message about the completion of the assessment process.

At the same time, the status of the thesis will change to ‘assessment complete’, and administrative staff will receive a message about the completed assessment.

The staff will move the thesis to await the dean’s decision, and the student will receive an email about the grade proposal.

Assessment statement (PDF)

To download the thesis assessment as a PDF file, log in to the E-thesis service through the email link or the service frontpage.

In the task queue, click on the ‘Assessment summary’ button next to the relevant thesis.

On the ‘Assessment summary’ tab, you can download the thesis assessment as a PDF file by clicking on ‘Download file’.

Instructions for the old E-thesis

The examiner (called ‘reviewer’ in the E-thesis system) receives an automatic message from the E-thesis system when the examination stage begins. The message is sent to the email address that the E-thesis official at the Student Services on-site service point has entered into the system. The examiner must log in to E-thesis with the email address to which the message has been sent and to which the thesis has been submitted for examination. This means, for example, that theses sent to a hus.fi address can only be found if the examiner logs in to the system by clicking on Authentication with email address and password. For users that don’t have University of Helsinki’s credentials. Theses to be evaluated are always associated with the email address attached to them. 

The message comes from a no-reply address. The message contains a direct link to the main page of the thesis evaluation form. The message contains three links that lead to the main page and form in different languages. Please read the faculty guidelines on the language in which the thesis must be evaluated.

Another option for logging in to the E-thesis system is to use the front page. The front page is available at https://ethesis.helsinki.fi/en/ . You can find the Login link at the bottom of the front page.

You must then select the login method.

If you do not have University of Helsinki credentials and are using the E-thesis system for the first time, you must register in the system before you can receive theses to be examined. An official at the Student Services on-site service point sends external examiners a registration invitation through the E-thesis system to the email address supplied. You can then create a username following the instructions in the email message.

You can find links to the PDF version of the thesis and the Ouriginal report at the top of the main page for the thesis to be evaluated, together with information on the examination deadline and the faculty and degree programme associated with the thesis in question. The current content of the evaluation form is displayed on the main page. 

Examiners can write comments to each other, only intended for mutual communication. Such comments are only available to the examiners, and they will be deleted from the system after the examination stage.

Both examiners are assigned their own colour (orange and grey; see below). If the examiners agree on the evaluation of various areas of the thesis, the colour is black. If the evaluation form only accepts one value for each evaluation criterion (bachelor’s theses), the selected values are displayed on a grey background.

Examiners can edit the content of the form by clicking on Edit evaluation. Editing the evaluation locks the content for the logged-in user and prevents other examiners from editing the content of the evaluation. If an examiner opens the information on the thesis while the other examiner is editing the evaluation form, the former examiner will be shown a message about the locked content and the examiner editing the form. The content will be unlocked after the examiner has saved or cancelled the changes made to the evaluation form or after the form has been open for 30 minutes without being saved or cancelled. 

If the Approved column is ticked, it means that the examiner in question has approved the content of the evaluation form.

If you click on Evaluation help, you will be taken to the faculty instructions for the examination of theses on the Instructions for Teaching website. NB! On the Instructions for Teaching website, you must select the degree programme of the thesis you are examining.

The most important element in the Evaluation information section is the evaluation form and the related details. The E-thesis system contains several evaluation forms that also differ depending on whether the examination focuses on a bachelor’s or master’s thesis. The logic of the forms also varies. The evaluation forms of new master’s theses contain both examiner-specific sections and shared sections. The latter include the grade proposal, its grounds and any faculty-specific additional information.

The examiners edit the content of the evaluation one at a time, saving the form after each edit. The evaluation does not need to be approved immediately if the interim edits are to be used in the evaluation. In this case, the examiners can use the comment field to send each other messages on their edits.

When the evaluation has been completed, the examiner approves it by clicking on Approve evaluation. The approval of the evaluation means that the logged-in examiner no longer wishes, or is able, to change the evaluation. The evaluation must be approved twice by the examiner who saved and approved the evaluation first. The other examiner(s) must usually approve the evaluation only once.

Approving the evaluation locks the evaluation form for the logged-in user. However, the form opens again for editing if another examiner (or one of the other examiners) edits the content of the evaluation. In other words, both (or all) examiners must approve the evaluation in order for the thesis to be sent to the faculty, degree programme steering group or grading committee for consideration and approval. The Approve evaluation button is not activated if all selections are blank (-).

However, the examiner’s approval is cancelled if another examiner either edits their own evaluation section (radio button selections in the evaluation areas) or revises the shared evaluation section (grade proposal, faculty-specific additional information, grounds). When all examiners have approved the evaluation, the thesis is automatically sent on to the next stage, and the examiners receive an automatic email from a no-reply address. Attached to the email message is the content of the evaluation form as a PDF file.

The E-thesis official from the Student Services on-site service point then forwards the thesis for approval at the relevant meeting. This must be done at least one week before the meeting. The student will receive an automatic message from the system, attached to which is the content of the evaluation form as a PDF file. Once the thesis evaluation has been approved at the above meeting, a student adviser will separately record the thesis as completed in the student information system and submit the thesis to the E-thesis archive. The student will receive an automatic message about the grading decision and a link for allowing online publication.

The student provides information on the possible need for an embargo (delayed publication) at the beginning of the submission stage in the field Other notes on the submission form. This field is included in the master’s thesis submission forms of all faculties, with the exception of the Faculty of Social Sciences. The Student Services official confirms the embargo.
