Why Microsoft PowerPoint so popular?

Microsoft PowerPoint is incredibly popular for several reasons, making it the go-to presentation software for individuals and businesses worldwide. Its widespread adoption can be attributed to its user-friendly interface, comprehensive feature set , and ability to create visually appealing and informative presentations.

User-friendly interface

PowerPoint's intuitive and straightforward interface makes it accessible to users with varying levels of technical expertise. The drag-and-drop functionality, familiar menus, and clear visual elements enable users to navigate and utilize the software effortlessly . This simplicity has been a key factor in its widespread adoption, particularly among non-technical individuals who need to create presentations.

Comprehensive feature set

PowerPoint boasts a robust feature set that caters to a wide range of presentation needs. Its extensive library of templates and themes provides a foundation for professional-looking presentations, while its design tools allow for customization and personalization. Additionally, the inclusion of multimedia elements, transitions, animations, and interactive features enhances the visual appeal and engagement of presentations.

Visual appeal and informational content

PowerPoint's ability to combine text, images, videos, and other multimedia content makes it an effective tool for delivering information in a visually engaging and impactful manner. Users can effectively communicate their message through a combination of visual elements and clear, concise text . This combination of visual appeal and informational content holds the audience's attention and enhances the overall effectiveness of the presentation.

Widespread familiarity and compatibility

PowerPoint's widespread use and familiarity among individuals and organizations have made it the de facto standard for presentation software. This commonality ensures compatibility across platforms and organizations, facilitating collaboration and knowledge sharing. Moreover, PowerPoint's integration with Microsoft Office suite further enhances its practicality and accessibility.

Global adoption and educational usage

PowerPoint has become an essential tool in educational settings , empowering instructors to effectively deliver lectures, presentations, and course materials. Its versatility enables teachers to incorporate various multimedia elements, interactive exercises, and collaborative activities to enhance student engagement and learning outcomes.

Business and corporate use

In the business world, PowerPoint is indispensable for meetings, presentations, and communicating information to clients, partners, and stakeholders. Its ability to visually present complex data, highlight key points, and engage the audience makes it a valuable tool for effective communication and decision-making .

Microsoft PowerPoint's enduring popularity stems from its user-friendliness, comprehensive feature set, ability to enhance visual appeal and informational content, widespread familiarity, and exceptional compatibility across platforms and organizations. Its versatility makes it a preferred choice for individuals, educators, and businesses worldwide, cementing its place as the industry standard for presentation software.

Minor tweaks

A small batch of updates for Microsoft PowerPoint irons out some kinks on specific workflows. Saving a file no longer auto-fills the Title field within the File Info menu, a minor detail yet helpful in managing your files. Plus, working with linked charts from SharePoint gets a lot easier. The Change Source dialog now defaults to the chart's current location , saving you time digging through outdated paths. Finally, the Edit Photo Album option is now accessible in Slide Sorter for quicker photo adjustments while organizing slides.

Final words about the app

Microsoft PowerPoint for Windows is a powerful tool for creating presentations. It is easy to use, offers a wide range of features, and can help you create presentations with a professional look and feel. However, PowerPoint is a paid software application and can be limited in terms of creativity.

  • Ease of use
  • Wide range of features
  • Professional look and feel
  • Collaboration
  • Limited creativity

Hi, Office Insiders, my name is Mohit Anand, and I’m a Program Manager on the PowerPoint team. I’m glad to share that a new scenario  is now available in Word for the web .  You can now export  Word document s   in to PowerPoint presentation s .

Word document s  to PowerPoint presentation s

Have you  ever  wished you could easily export an existing  Word document into a great PowerPoint presentation?  If so, the wait is over!

When you use the Export command, it creates a  presentation  based on   all   the summarized sections of the document.  It also  adds   imagery, icons, videos, themes, and fonts  using  AI.

How it works

To turn your Word document into a PowerPoint presentation:

  • Open any document  you want to convert into a presentation  in Word for  the  web.
  • Click  File   >   Export > Export to PowerPoint presentation .
  • When  prompted ,  choose a design theme for your presentation.
  • Click  Open presentation  to  re view  the results  in PowerPoint for  the   w eb.
  • The presentation  w ill  be  created  in the OneDrive  root folder  of the user who used this option.

PowerPoint Presentations

Scenarios to try

  • Open a Word document and explore the available PowerPoint themes.
  • Open a Word document that is mostly text and see  which AI-backed assets are  added  by clicking on  Export .

Known Issues

  • This feature is currently only available in English.
  • It is not available in the Internet Explorer  and Safari  browser.
  • We only support text content for the transformation to presentation, other media content support is not  currently  available.   You can add your own media to the presentation after  you have  exported  your Word document.

Availability

Export  your document to  PowerPoint presentation is rolling out to  all Word for the web users shortly .

Features are released over some time to ensure that things are working smoothly.  Therefore, we highlight features that you may not have because they’re slowly releasing to larger numbers of Insiders. Additionally, sometimes we remove elements to further improve them based on your feedback. Though this is rare, we also reserve the option to pull a feature entirely out of the product, even if you, as Insiders, have had the opportunity to try them.

Feedback

If you have any feedback or suggestions, you can submit them by clicking  Help > Feedback.

Learn more about what  other information you should include in your feedback  to ensure it’s actionable and reaches the right people.

4 ways to download PowerPoint straight from Microsoft

4 ways to download PowerPoint straight from Microsoft

PowerPoint is the most popular slideshow presentation app in the world. It is developed and sold by Microsoft as part of its Office suite, together with other productivity apps such as Word, Excel, Outlook or Access. However, it is also available online as a web app. Unless you have already worked with PowerPoint, you might wonder how and where to download it. If you go online and search for it, many of the search results you get are misleading, so we thought it would make a good idea to show you a few ways in which you can download PowerPoint safely, straight from Microsoft:

What you should know before downloading powerpoint, 1. download powerpoint from the office.com website, when you have an office 365 subscription, 2. download powerpoint mobile from the microsoft store, for free, 3. download powerpoint from the office website, when you own a license for microsoft office 2019, 2016 or 2013, 4. download powerpoint using the microsoft windows and office iso download tool, bonus: you do not need to download powerpoint. use it for free, online, what is your favorite way to download powerpoint.

Before we go ahead and show you how to download PowerPoint on your PC straight from Microsoft, we must first tell you something important: PowerPoint is an app that is offered by Microsoft only as part of the company's productivity suite called Office. That means that to be able to download and install the full version of PowerPoint, you must own the Microsoft Office suite or have a subscription to Office 365 .

Installing Office 365

However, if you are not ready to spend money, there are two alternatives that you might like and which you can find in the second and last methods from this guide. The first one lets you download and install PowerPoint Mobile, which is a free and lightweight version of PowerPoint. The last one does not involve downloading PowerPoint but lets you use it nonetheless, legally, for free.

If you have a valid Office 365 subscription or if you want to install a trial version of Microsoft's productivity apps, including PowerPoint, open your favorite web browser and visit office.com . Click or tap Sign in .

The Office.com website

Authenticate yourself with the Microsoft account that you used to buy the subscription to Office 365.

Signing into Office.com

After you have signed in, you should see a webpage like the one in the screenshot below. On the right side, immediately under the header, there should be a link called Install Office . Click or tap on it.

Install Office link

This action opens a new tab in your browser, where you can see your Office 365 subscription. Among other information, you should also see a section that's called "Install Office on all your computers" or something similar. Click or tap the Install Office button.

The Install Office button

Choose the version and language that you prefer, and then click or tap Install .

Choosing the version and language for Office 365

The previous action gives you an executable file that you can use to install Office 365, including PowerPoint.

Saving the Office installer file

Download the file, run it, and install the Office apps, including PowerPoint.

Installing Office 365, including PowerPoint

There is another way to download PowerPoint on your PC, for free. If you are using Windows 10, you can use the Microsoft Store to download and install PowerPoint Mobile. It's not the full-fledged version of the PowerPoint you get in Office 365 or Office retail editions, but it lets you use every basic feature. If you're looking for the free PowerPoint, this is the method you should use.

Start the Microsoft Store by clicking or tapping on its shortcut from the Start Menu .

Starting Microsoft Store

Then search for PowerPoint: when the results are shown, click or tap on PowerPoint Mobile . If you don't see it in your results, you can use this direct link to PowerPoint Mobile . On the app's page, click or tap on Install .

Installing PowerPoint Mobile from the Microsoft Store

Wait for PowerPoint Mobile to download and install. It shouldn't take long, as it doesn't have a large size: only about 50MB.

Waiting for Microsoft Store to download and install PowerPoint Mobile

When the installation is over, click or tap on Launch to open PowerPoint Mobile . Later on, you can start it using its shortcut from the Start Menu .

Launch PowerPoint Mobile

This is what PowerPoint Mobile looks like:

The PowerPoint Mobile app for Windows 10

As you can see, it's not the full-fledged version of PowerPoint, and it's clearly addressed to mobile users who prefer touch, not to desktop PC or laptop users who are used to using a keyboard and mouse.

If you do not like subscriptions and you preferred to buy a license for Microsoft Office 2019, 2016 or 2013, use this method to download PowerPoint on your PC: open a web browser on your PC and visit setup.office.com . Once it loads, click or tap Sign in and authenticate using your Microsoft account, or create a new one if you do not have one already.

The Office retail webpage

The webpage asks you to enter your Office product key. If this is the first time you have used it, you can enter it and tie it to your account. However, we assume that you have already done that in the past. To get to the download links, although it Is not intuitive, click or tap the Office icon from the top-left corner of the page, and then the " Install from your Microsoft account " link under your name.

Install from your Microsoft account

Then, you can see all the Office standalone products that you have bought in the past. You can go ahead and click or tap on the Download button from the Office product you prefer. That lets you download Office and PowerPoint with it.

Downloading the retail Office edition we own

If you have a retail license for Microsoft Office 2019, 2016, 2013, or 2010 and want a faster way to download PowerPoint, you should consider using the Microsoft Windows and Office ISO Download Tool . You can get it from the heidoc.net website . It is a free app that lets you do just that: download Windows and Office using direct links to Microsoft's servers. Find out more in this tutorial . If you choose to use it, it is good to know that this method also lets you download just PowerPoint instead of having to get the entire Office suite.

To download Office or PowerPoint only, open the Office tab on the right side, select the edition and the language you want, and then click or tap Download .

Using Windows ISO Downloader to download PowerPoint 2019

Finally, for those of you who do not have a license to use Office and do not want to use trial versions or PowerPoint Mobile, you should know that you do not need to spend any money to use PowerPoint. Instead of trying to download it on your PC, you can use its online version. Microsoft provides a PowerPoint web app that, although is not the full-fledged software, offers all the basics you need.

To get to the online version PowerPoint, visit office.com and log in using your Microsoft account. Then, click or tap PowerPoint . Alternatively, you can also use this direct link: PowerPoint Online .

Opening PowerPoint Online

PowerPoint Online loads and lets you create the presentation you need.

What PowerPoint Online looks like

These are the ways we know for downloading PowerPoint straight from Microsoft. Some of them are easier than others, and some of them work only for some types of Office editions. Which one did you use? Do you know other methods to download PowerPoint? Do not hesitate to let us know in the comments below.

Microsoft Office Apps Provide a New Path for Hackers

If your pc won't run windows 11, here are 5 great linux operating systems to try instead, 6 ways to improve your microsoft word formatting, quick links, double-click format painter, use version history, use the in-app search bar, use the mobile apps, password-protect your work, check accessibility, use the onedrive personal vault.

With the Microsoft 365 suite being such a comprehensive collection of complex programs, sometimes it's easy to miss some of the handiest tricks. I've brought together a few that I find the most useful, and hopefully, they'll make your Microsoft 365 experience more secure, efficient, and enjoyable.

In this article, I'll cover six of the most commonly used Microsoft 365 apps—Word, Excel, OneNote, PowerPoint, Outlook, and Teams—and explain which hacks work best with each app.

Works in Excel, Word, OneNote, and PowerPoint.

The Format Painter is an invaluable time-saver, as it allows you to duplicate formatting from one element to another. However, if you need to duplicate that formatting to many other elements, clicking the Format Painter tool each time takes too long.

Instead, there's a way to keep the Format Painter active as you go through your work and apply the copied formatting to anything you click. First, select the text, cell, image, or graphic containing the formatting you wish to duplicate (such as bold, border, and font size), and then double-click "Format Painter" in the Home tab.

An Excel sheet with a cell selected, and the Format Painter in the Home tab highlighted.

Then, click the text, cell, image, or graphic where you want that formatting to apply, before repeating the process on all the other required elements.

You'll notice that your cursor will remain a Format Painter, and the Format Painter button will remain selected, until you press a key on your keyboard or click the Format Painter button again.

An Excel sheet with the Format Painter selected via a double-click, and other items being formatted accordingly.

As of August 2024, you can't format text in To Do, the double-click Format Painter doesn't work in the early-2024 Outlook release. You can't use the Format Painter in Teams, because it's not a necessary tool for this program.

Works in Word, Excel, and PowerPoint.

Accessing a file's Version History can be a vital capability of the Microsoft 365 suite in various situations:

  • You might remember and prefer a previous version of the work you are creating.
  • If you made a significant mistake and want to revert to the pre-mistake copy of the file.
  • If you have shared a file and want to see the changes made, you can do so with Microsoft 365's Version History.

If you have a Microsoft 365 Personal or Family account, you can view up to as many as 25 previous versions of a file. However, this feature only works for files stored in your OneDrive or SharePoint. If you sign in with a school or business account, the number of versions will depend on your administration settings.

To access your version history first, ensure you have the relevant file open. Then, click the file name at the top of your screen, and click "Version History."

A Word document, with the Version History option highlighted.

You can then click through the changes using the right and left arrows in the Version History sidebar, and you'll also see a list of the people who have made changes and when they did so.

Word's Version History sidebar, with the navigation arrows highlighted.

When you choose and click a version in the sidebar, Word will show you a comparison between the latest version and the previous version you selected. If you're happy, click "Restore" in the yellow bar that appears along the top of your screen.

A Word document, with the option to restore a previous version selected.

Since Outlook doesn't save individual documents and files to OneDrive, it's not necessary to restore historical versions, but you can restore deleted items from the relevant Outlook folder . To restore deleted lists in Microsoft To Do, open the Outlook desktop app, go to "Deleted Items," right-click the task, and click "Restore." It is not possible to restore deleted Teams chats, but you can restore deleted documents in your SharePoint .

Works in all apps, but more comprehensively in Word, Excel, PowerPoint, and OneNote.

The search bar in Word, Excel, PowerPoint, and OneNote is more comprehensive than in the other apps:

  • You can search for an action, such as "Paste," " Multilevel list ," or " View Macros ."
  • The search bar will also let you find words, numbers, or characters within the file.
  • The third result lets you view more comprehensive Help articles, which open in the sidebar on the right of your screen. OneNote also searches your Sticky Notes for the same search teams.

The Search bar in OneNote, with the word Paste typed, and the results showing underneath.

You can also access search bars in To Do, Outlook, and Teams, but these only let you search for content within the file, not actions or more comprehensive support. However, this can be particularly useful if your file contains large volumes of content.

You can get mobile apps for Word, Excel, OneNote, PowerPoint, Outlook, and Teams.

Eight Microsoft 365 mobile apps showing on a mobile phone.

I use the mobile apps all the time, because it's great to be able to do work and home stuff on the go. Whether it's jotting down an idea on OneNote, sending an email on Outlook, viewing your accounting Excel spreadsheet, or re-reading an instructional PowerPoint, it's really convenient to have the apps in your pocket at all times. Just make sure you log in using the same account you used on your PC or tablet, and everything will sync nicely (providing you have internet—if you don't, the app will save any changes you make and sync when you re-establish a connection).

Works with Excel, Word, PowerPoint, and OneNote.

Password-protecting your work gives you extra peace of mind that it is safe, even if your device ends up in the wrong hands. And doing so is straightforward.

Click "File" in the top-left corner of your Excel, Word, or PowerPoint window, and choose "Info." Then, click "Protect Document," and "Encrypt With Password."

The Encrypt With Password option in Microsoft Word.-1

You will then be asked to type your password twice, and then you can click "OK." Remember to save your password somewhere safe!

The route for password-protecting in OneNote differs slightly. You can only password-protect a Section, not the Pages within a Section. To do this, right-click the relevant Section, and choose "Password Protect This Section."

The Password Protect This Section option in OneNote.

You can then enter the password (twice) by clicking "Set Password" in the right-hand sidebar that opens.

The Set Password option in OneNote.

In Outlook, you can encrypt outgoing emails, but you cannot add passwords to outgoing or received emails. You can't password-protect a Teams chat or folder, but you can limit file and folder permissions in SharePoint.

Works in Excel, Word, OneNote, PowerPoint, and Outlook (automatically).

Microsoft 365's Accessibility Checker ensures your work doesn't present possible issues for people with disabilities. It does this by setting certain rules, such as making sure all non-text content has alternative text, or that images or objects are in line with the text.

When activated, the tool returns errors (content that is impossible or difficult for some people to read), warnings (content that can be difficult to read), tips, and intelligent services (AI-automated accessibility-friendly content for you to review).

To use this vital tool, click "Check Accessibility" in the Review tab.

The Check Accessibility tool in the Review tab on the ribbon in Excel.

You will then see a report in the right-hand tab on your screen, where you can review the suggestions. An Accessibility tab will also open on the ribbon, where you can make changes to make your file more accessible.

The Accessibility tools in Excel.

In Outlook, the Accessibility Checker runs automatically in the background when you compose an email. If it detects accessibility issues, a MailTip prompts you to review and correct them before you send your email.

Teams does not have the Accessibility Checker tool.

You can store most file types in the Personal Vault, including files from all Microsoft 365 apps.

The OneDrive Personal Vault is a great way to store sensitive Microsoft 365 files (and other documents, such as a scan of your passport) with another layer of security. Once you've set up your Vault, you can access it through your fingerprint, facial recognition, or an additional passcode, and it will lock after a period of inactivity.

While you can add up to three files to your Personal Vault for free, a Microsoft 365 Personal plan will enable you to upload an unlimited number of items. You can access this on your PC or, as shown in the screenshot below, via the OneDrive app.

The OneDrive app showing the Personal Vault.

While many of the above hacks work on the apps' web-based versions, it's worth subscribing to Microsoft 365 , as the desktop apps offer more flexibility and a broader toolset than Microsoft 365 for the web.

Even though there's a whole argument about Microsoft vs. Google and which is the best productivity suite to use, it can't be denied that both are pretty big. Of course, while Google is generally free, if you rely on the Microsoft ecosystem, then you're likely to have to spend a pretty penny to get it. Luckily, there are some options to get Microsoft Office and Microsoft 365 for cheaper, with some solid deals across various categories and while you can get a ffree trial of Microsoft Word, that's not really the same, so be sure to check out our favorite deals below. Best Microsoft Office deals Microsoft Office is a pay once, receive once service. You don't have to pay recurring monthly fees to use it, but the software also never updates. For what it's worth, the Microsoft Office packages are labelled "2021", so they're all fairly recent but also ripe for a good deal. With the exception of AI integrations, not much has really changed in the past couple of years when it comes to your basic document creation and these programs should continue to be effective for years to come. Depending on what package you get, you'll get access to different apps, based on the needs of the target audience. For example, Microsoft Office Home & Student 2021 keeps it lean and cool and with Microsoft Word, Microsoft Excel, and Microsoft PowerPoint being the only apps included.

Here are our favorite deals for the classic Microsoft Office experience:
