In this blog post, I’m sharing some of my favorite PowerPoint tips and templates to help you nail your next presentation.

What makes a good PowerPoint presentation?

In my opinion, a great PowerPoint presentation gets the point across succinctly while using a design that doesn't detract from it.

Here are some of the elements I like to keep in mind when I’m building my own.

1. Minimal Animations and Transitions

Believe it or not, animations and transitions can take away from your PowerPoint presentation. Why? Well, they distract from the content you worked so hard on.

A good PowerPoint presentation keeps the focus on your argument by keeping animations and transitions to a minimum. I suggest using them tastefully and sparingly to emphasize a point or bring attention to a certain part of an image.

2. Cohesive Color Palette

I like to refresh my memory on color theory when creating a new PowerPoint presentation.

A cohesive color palette uses complementary and analogous colors to draw the audience’s attention and help emphasize certain aspects at the right time.

It‘s impossible for me to tell you the specific design ideas you should go after in your next PowerPoint, because, well, I don’t know what the goal of your presentation is.

Luckily, new versions of PowerPoint actually suggest ideas for you based on the content you're presenting. This can help you keep up with the latest trends in presentation design .

PowerPoint is filled with interesting boilerplate designs you can start with. To find these suggestions, open PowerPoint and click the “Design” tab in your top navigation bar. Then, on the far right side, you'll see the following choices:

This simplistic presentation example employs several different colors and font weights, but instead of coming off as disconnected, the varied colors work with one another to create contrast and call out specific concepts.

What I like: The big, bold numbers help set the reader's expectations, as they clearly signify how far along the viewer is in the list of tips.

10. “Pixar's 22 Rules to Phenomenal Storytelling,” Gavin McMahon

This presentation by Gavin McMahon features color in all the right places. While each of the background images boasts a bright, spotlight-like design, all the characters are intentionally blacked out.

What I like: This helps keep the focus on the tips, while still incorporating visuals. Not to mention, it's still easy for me to identify each character without the details. (I found you on slide eight, Nemo.)

11. “Facebook Engagement and Activity Report,” We Are Social

Here's another great example of data visualization in the wild.

What I like: Rather than displaying numbers and statistics straight up, this presentation calls upon interesting, colorful graphs, and charts to present the information in a way that just makes sense.

12. “The GaryVee Content Model,” Gary Vaynerchuk

This wouldn‘t be a true Gary Vaynerchuk presentation if it wasn’t a little loud, am I right?

What I like: Aside from the fact that I love the eye-catching, bright yellow background, Vaynerchuk does a great job of incorporating screenshots on each slide to create a visual tutorial that coincides with the tips. He also does a great job including a visual table of contents that shows your progress as you go .

13. “20 Tweetable Quotes to Inspire Marketing & Design Creative Genius,” IMPACT Branding & Design

We‘ve all seen our fair share of quote-chronicling presentations but that isn’t to say they were all done well. Often the background images are poor quality, the text is too small, or there isn't enough contrast.

Well, this professional presentation from IMPACT Branding & Design suffers from none of said challenges.

What I like: The colorful filters over each background image create just enough contrast for the quotes to stand out.

14. “The Great State of Design,” Stacy Kvernmo

This presentation offers up a lot of information in a way that doesn't feel overwhelming.

What I like: The contrasting colors create visual interest and “pop,” and the comic images (slides 6 through 12) are used to make the information seem less buttoned-up and overwhelming.

15. “Clickbait: A Guide To Writing Un-Ignorable Headlines,” Ethos3

Not going to lie, it was the title that convinced me to click through to this presentation but the awesome design kept me there once I arrived.

What I like: This simple design adheres to a consistent color pattern and leverages bullet points and varied fonts to break up the text nicely.

16. “Digital Transformation in 50 Soundbites,” Julie Dodd

This design highlights a great alternative to the “text-over-image” display we've grown used to seeing.

What I like: By leveraging a split-screen approach to each presentation slide, Julie Dodd was able to serve up a clean, legible quote without sacrificing the power of a strong visual.

17. “Fix Your Really Bad PowerPoint,” Slide Comet

When you‘re creating a PowerPoint about how everyone’s PowerPoints stink, yours had better be terrific. The one above, based on the ebook by Seth Godin, keeps it simple without boring its audience.

What I like: Its clever combinations of fonts, together with consistent color across each slide, ensure you're neither overwhelmed nor unengaged.

18. “How Google Works,” Eric Schmidt

Simple, clever doodles tell the story of Google in a fun and creative way. This presentation reads almost like a storybook, making it easy to move from one slide to the next.

What I like: This uncluttered approach provides viewers with an easy-to-understand explanation of a complicated topic.

19. “What Really Differentiates the Best Content Marketers From The Rest,” Ross Simmonds

Let‘s be honest: These graphics are hard not to love. I especially appreciate the author’s cartoonified self-portrait that closes out the presentation. Well played, Ross Simmonds.

What I like: Rather than employing the same old stock photos, this unique design serves as a refreshing way to present information that's both valuable and fun.

20. “Be A Great Product Leader,” Adam Nash

This presentation by Adam Nash immediately draws attention by putting the company's logo first — a great move if your company is well known.

What I like: He uses popular images, such as ones of Megatron and Pinocchio, to drive his points home. In the same way, you can take advantage of popular images and media to keep your audience engaged.

Tips for good PowerPoint Presentations

If you know how to do it, it's actually not that difficult to create and give a good presentation.

That's why we have some examples of good PowerPoint presentations for you and tips that are going to make your next presentation a complete success.

1. Speak freely

One of the most important points in good presentations is to speak freely. Prepare your presentation so well that you can speak freely and rarely, if ever, need to look at your notes. The goal is to connect with your audience and get them excited about your topic. If you speak freely, this is much easier than if you just read your text out. You want your audience to feel engaged in your talk. Involve them and tell your text in a vivid way.

2. Familiarize yourself with the technology

In order to be able to speak freely, it is important to prepare the text well and to engage with the topic in detail.

However, it is at least as important to familiarize yourself with the location’s technology before your presentation and to start your PowerPoint there as well. It is annoying if technical problems suddenly occur during your presentation, as this interrupts your flow of speech and distracts the audience from the topic. Avoid this by checking everything before you start your talk and eliminate any technical problems so that you can give your presentation undisturbed.

  • Don't forget the charging cable for your laptop
  • Find out beforehand how you can connect your laptop to the beamer. Find out which connection the beamer has and which connection your laptop has. To be on the safe side, take an adapter with you.
  • Always have backups of your presentation. Save them on a USB stick and preferably also online in a cloud.
  • Take a second laptop and maybe even your own small projector for emergencies. Even if it's not the latest model and the quality is not that good: better bad quality than no presentation at all.

3. Get the attention of your audience

Especially in long presentations it is often difficult to keep the attention of your audience. It is important to make your presentation interesting and to actively involve the audience. Try to make your topic as exciting as possible and captivate your audience.

4. Hold eye contact

You want your audience to feel engaged in your presentation, so it is very important to hold eye contact. Avoid staring only at a part of the wall or at your paper. Speak to your audience, involve them in your presentation and make it more exciting.

But also make sure you don't always look at the same two or three people, but address everyone. If the audience is large, it is often difficult to include everyone, but still try to let your eyes wander a little between your listeners and look into every corner of the room.

5. Speaking coherently

In a good presentation it is important to avoid jumping from one topic to the next and back again shortly afterwards. Otherwise your audience will not be able to follow you after a while and their thoughts will wander. Think about a rough color palette in advance, which you can then use in your presentation. Colors such as orange or neon green do not look so good in your PowerPoint. Use colors specifically to emphasize important information.

Black writing on a white background is always easy to read, while yellow writing on a white background is probably hard to read.

Even though it is often said that "less is more", you should not be too minimalistic in the design of your presentation. A presentation where your slides are blank and only black text on a white background is likely to go down just as badly as if you use too many colors.

Empty presentations are boring and don't really help to capture the attention of your audience. It also looks like you are too lazy to care about the design of your presentation and that you have not put any effort into the preparation. Your PowerPoint doesn't have to be overflowing with colors, animations and images to make it look interesting. Make it simple, but also professional.

8. Write only key points on the slides

If you want to create a good presentation, it is important to remember that your slides should never be overcrowded. Write only the most important key points on your slides and never entire sentences. Your audience should not be able to read the exact text you are speaking in your PowerPoint. This is rather annoying and leads to being bored quickly. Summarize the most important things that your audience should remember and write them down in short bullet points on your presentation. Then go into the key points in more detail in your speech and explain more about them.

9. Do not overdo it with animations

Do never use too many animations. It looks messy, confusing and definitely not professional if every text and image is displayed with a different animation. Just leave out animations at all or if you really want to use them then use them only very rarely when you want to draw attention to something specific. Make sure that if you use animations, they are consistent. If you use transitions between the individual slides, these should also always be kept consistent and simple.

10. Use images

Pictures and graphics in presentations are always a good idea to illustrate something and to add some variety. They help keep your audience's attention and make it easier to remember important information. But don't overdo it with them. Too many pictures can distract from your presentation and look messy. Make sure the graphics also fit the content and, if you have used several images on one slide, ask yourself if you really need all of them.

11. Choose a suitable font

Never combine too many fonts so that your presentation does not look messy. Use at most two: one for headings and one for text. When choosing fonts, you should also make sure that they are still legible at long distances. Script, italic and decorative fonts are very slow to read, which is why they should be avoided in presentations.

12. Do not use images as background

In a good presentation it is important to be able to read the text on the slides easily and quickly. Therefore, do not use images as slide backgrounds if there is also text on them. The picture only distracts from the text and it is difficult to read it because there is not much contrast with the background. It is also harder to see the image because the text in the foreground is distracting. The whole thing looks messy and distracting rather than informative and clear.

13. Never read out the text from your slides

Never just read the exact text from your slides. Your audience can read for themselves, so they will only get bored and in the worst case it will lead to "Death by PowerPoint". List key points that your audience can read along. Then go into more detail and explain more about them.

14. Don't turn your back

Never turn around during your presentation to look at your projected PowerPoint. Not to read from your slides, but also not to make sure the next slide is already displayed. It looks unprofessional and only distracts your audience.

15. Do not forget about the time

In a good presentation, it is important to always be aware of the given time and to stick to it. It is annoying when your presentation takes much longer than actually planned and your audience is just waiting for you to stop talking or you are not able to finish your presentation at all. It is just as awkward if your presentation is too short. You have already told everything about your topic, but you should actually talk for at least another ten minutes.

Practice your presentation often enough at home. Talk through your text and time yourself as you go. Then adjust the length so that you can keep to the time given on the day of your presentation.

16. Avoid a complicated structure

The structure of a good presentation should not be complicated. Your audience should be able to follow you easily and remember the essential information by the end. When you have finished a part, briefly summarize and repeat the main points before moving on to the next topic. However, if the whole thing gets too complicated, it can be easy for your audience to disengage after a while and not take away much new information from your presentation.

17. Choose appropriate clothes

On the day of your presentation, be sure to choose appropriate clothing. Your appearance should be formal, so avoid casual clothes and stick to professional dress codes. Think about who your audience is and adapt your presentation to them. Find out how much they already know about the topic, what they want to learn about it and why they are here in the first place. Even if it is not easy for many people, try to deliver your speech with confidence. If you are enthusiastic about the topic yourself, it is much easier to get your audience excited about it.

You can’t start creating a presentation without a central message and a theme. While everything around your presentation revolves around the former, your slides are designed per the latter. This can be a broad term, extending from color scheme to branding to even subtle details like typography and illustration style. Choose an appropriate theme for your topic. It’s not a good idea to have a presentation about the wonders of nature but accent your slides with a black color scheme.

While it doesn’t need to appear in every slide, it does mark where you are in terms of your whole presentation. It can also denote that a specific slide is noteworthy. Subtitles, to a degree, extend a title and branch out to other points, but it also doesn’t have to be ubiquitous. Knowing when or when not to put a title maximizes the impact of the slide on the audience. Be clever with it. Wit is always appreciated.

Think “ death by PowerPoint .” Walls of text are to be avoided, of course, but having little to none on your slides can and does pay off.

Pictures solicit or trigger strong emotional responses from anyone in a heartbeat. If your “less is more” with text can’t be achieved, try using an image that encapsulates and describes what words can’t do efficiently. You will see the results immediately. Since humans are visual creatures , they process and react much faster to an image compared to words that are then read and understood. It’s, literally, seeing a bigger picture. All it takes is one look to make a point.

Cold, hard figures are exactly that. Cold. And boring. Instead of plainly showing numbers and percentages, use charts or graphs, even the occasional diagrams, to show your data in a more entertaining—and by extension more educational—manner. The more creative your chart or graph is, the more lasting the impression that the data makes. Think of how infographics use design to show statistics: with creativity, wit, and humor. Employ the same to your slides. Now you could be thinking, “I need all seven in just one slide? This is madness!” No, you just need a couple, like a combination of Background, Text, and Effect. Some can stand on its own, for example, Title or Image. It will only be a distraction to put all seven, so only put what you need. Lastly, as already said above, the most important element of any slide is the overall message of your presentation. Each part of your visual aid should point toward, support, and strengthen the crux of the whole exercise. You wouldn’t be onstage talking about your advocacy then jumping to a different matter altogether just because. Everything about your PowerPoint presentation should revolve around your message. Any combination of the elements above serve as parts of a whole, all working in harmony to inform and educate your audience. And that is the key factor to wowing your audience.

4 Keys to Great Presentation Design

Presentations are a great way to educate others about a new idea, or persuade an audience that your opinion is the right one. They are effective tools for communicating with large groups of people; it’s one thing to communicate your thoughts on a new project to your coworker, and quite another when you are talking to your whole department.

Seventy-four percent of respondents to the 2017 Annoying Presentation Survey stated that they were seeing about two presentations created in Microsoft’s PowerPoint per week. That’s roughly 104 presentations a year! How can a presenter ensure their audience retains the information they worked so hard to collect?

There are four keys that will help your audience follow along and remember your presentation: content , audience , structure , and consistency .

Choose your content

When developing a presentation, the first thing to do is decide on what you’re presenting. Choose a single subject; by focusing on a small amount of information, you won’t overwhelm your audience. This also gives them the time and opportunity to really understand the position or reasoning on why you are giving a presentation in the first place. 

Start by creating a high-level outline that captures three main ideas about the topic you are presenting on. At this stage, you don’t have to get too into the weeds on what your presentation will include; just sketch out the idea and some supporting statements. This information can later inform what topics to include or ignore, visuals, and, in the end, how many slides you’re aiming for.

Do note that many people often say “less is more” when it comes to the number of slides in a presentation. There is an oft-cited myth that humans have a limited attention span thanks to technology—this is false! You will not lose your audience’s attention because they are unable to focus; you will lose their attention because you have a boring or confusing presentation.

By knowing your message, you’ll be able to create a powerful presentation that focuses on the essentials.

Understand your audience

People change their way of speaking when talking with a child versus when talking with an adult. It’s the same in the workplace; you might be more informal with a coworker with whom you are close. Then you would speak another way with your boss or the company’s CEO.

Taking some time to think about how your audience will react to the information tells you how it should be presented. If your audience is brand new to the subject, you might want to take some time discussing background information. Let’s walk through an example: talking to a group of executives about web design . They will probably be unfamiliar with UI/UX, back end versus front end, or what a server is. Educating them about these terms can help support an argument that spending more time on the UX will result in more sales simply because your audience understands you.

If you were to give the same presentation to a group of web designers, you’ll probably bore them to death, and instantly have all eyes dropping to phone screens the moment you reveal your cover slide. Understanding your audience will tell you what areas are of most importance and should have some of your valuable presentation time. It will also tell you what is unimportant and should not be included in a presentation.

Develop the structure

Once you know the what and how, you can plan out your presentation. This is where you decide what content will go on each slide, in what order. Some good rules of thumb:

One idea, one slide

Keep the content of each slide focused on a single idea that supports the subject you’re discussing. This information should be straightforward and easily summarized by a visual. More information has the potential to easily become too much text, which can become a problem of its own. One big complaint mentioned in the 2017 Annoying Presentation Survey was that presenters often ended up simply reading their own slides. When that happens, you know the presentation should have been an email.

Cut down on the text

Continuing the same thought from above, less text means there’s less of a chance that your audience will become overwhelmed and mentally check out, constantly looking at their watch for when your presentation will end. Trying to include too many thoughts on one slide is the fastest way to intimidate and scare away your audience. Keep it simple, and keep it focused.

Clear is more

As we said before, don’t concentrate on keeping the number of slides in your presentation to a minimum; use as many slides as are needed to fully explain the idea. A good rule to work by is one slide per minute you have to present in; so if you have 30 minutes, use 30 slides. The important thing to focus on is ensuring your slides themselves do not overwhelm the audience with content.

Provide a map

One great way to keep your audience focused on your presentation is to tell them where you all are within the presentation. This can be done with slides that are structured like a document’s table of contents, or a high-level agenda. They can be placed between sections to show what has come before, and what’s still to come; or they can be included in the design of the slides themselves, such as in a header or footer on the slide.

This way, if you do end up having a presentation with a lot of slides, your audience won’t be staring at the ceiling; they’ll be staring at your presentation, curious about where all of this is leading.

Visuals, visuals, visuals

You know that saying that a picture is worth a thousand words? It might be a cliché at this point, but that doesn’t make it any less true. Visuals can say a lot in just one glance that would otherwise take readers some time to understand. And when you know your topic, you can create really impactful visuals—whether using charts, icons, or graphics, you can bring your presentation to life and wow your audience with something beautiful to look at. 

One such tool that can be extremely effective in creating striking visuals is an image background remover. This can be used to  isolate the subject of a picture , thereby removing any distractions within the frame. By doing so, you simplify the image and draw attention to the part that truly matters. This can be particularly useful when you're trying to highlight or emphasize a certain point in your presentation.

Be consistent

One of the most important things in the presentation development process is creating a presentation theme that is consistent. When your slides vary in size, display, or structure, audiences can become confused or distracted, which means they’re not paying attention to your message. You can create a consistent theme by doing the following:

Choose a color scheme

Choosing a good color scheme might be one of the most important parts of developing a good presentation, right under understanding your content and your audience. Differing colors are a great way to draw your audience’s attention, and incite particular emotions when discussing different ideas. However, this doesn’t mean you should use whatever color strikes your fancy all at the same time. Choose a handful of colors for a particular and impactful color scheme. 

Colors should be complementary, and draw the eye to particular parts of the screen that you want your audience to pay attention to. Choose your colors purposefully! And if the text will sit on top of a particular color, ensure that the two don’t cancel each other out. You want colors that work together that still allow text to be read and ideas understood.

Use readable fonts

Picking a great font is very important; aside from visuals, text is the other way you’re going to get your message across. There are two types of fonts: serif and sans-serif. Serif fonts have small, decorative flourishes, whereas the sans-serif fonts do not (thus, “sans” serif, or without). 

Choose a font family that is easy to read; san-serif fonts are typically easier to read when it comes to presentations and digital content because of the dots per inch (DPI). Printed works have 300 DPI, whereas computer monitors typically have 100 DPI. This makes serif characters more difficult to read because of their complex shape.

Stick with the same layout

The way content is structured on a page is often called a grid, frame, or layout. When developing your presentation, it’s good to use consistent layouts for the same kind of slides. For example, use one type of layout for the cover slide; keep all section intro slides consistent; and all content slides consistent. This way, your audience knows where to look, what information is important, and can follow along easily as you present. If your audience is constantly searching for pertinent information on the slide in front of them, that means they’re not listening to you talk!

Anyone can create a presentation, but not everyone can create an effective presentation. We all know some of the basic rules of PowerPoint presentation – use bullet points, keep texts and multimedia to a minimum, etc. But unfortunately, this information can only help you create mediocre presentations. Here’s how you can avoid a PowerPoint disaster and create professional-quality presentations . Use these tips the next time you decide to make a PowerPoint presentation:

Keep Texts To A Minimum:

Slides should supplement your presentation; do not use long sentences, or, repeat what you have to say. Do you copy chunks of texts to the presentation; instead, opt for short and catchy sentences. Nothing irritates an audience more than presenters reading from their slides. If you have to use sentences, limit them to a single line

Use The Right Font Size And Style:

Use sans serif fonts like Arial, Helvetica, or Arial Narrow. Presentations are usually made to an audience that is away from the screen; fonts with serif are not clear when viewed from a distance. Use a minimum of 24 pt font size so that the text is visible even when viewed from 15 to 20 feet away. Avoid using fancy fonts like comic sans or papyrus. Stick to using only two types of fonts – one for the titles and headers and another for body text.

Keep The Presentation Consistent:

Consistency is very essential for a professional presentation. For example stick to using a subset of colors throughout the presentation. And as we said earlier, do not use more than two or three fonts – using too many of them distracts the audience from the intended message. And if you are using images, remember to pick pictures and clip arts that are similar in style. Slides that use different formatting styles look disjointed and extremely unprofessional. Spend time to make sure that the images, animations, fonts, etc. are consistent throughout the presentation.

Contrast Between Background And Text Color:

Black on white or white on black are the safest color contrasts, but you cannot use them always.  Use color contrasts effectively so that audiences can read the text clearly, or do not have to complain about the colors being too bright. Gradients are commonly used when explaining a flow diagram. But light texts on light gradients can be difficult to read. Use darker colors when starting with the lighter gradients, or use darker texts for the lighter objects and then gradually shift to lighter text colors for darker gradients. Some colors are rarely visible when projected on the screen. And some color contrasts cause headaches and even make people nauseous.

Use High Quality Images:

Agreed, a picture can speak a thousand words, but using too many of them or using the wrong image can make your presentation look horrible. For one, do not use pixilated images or those that have watermark on them – they look absolutely unprofessional. Use visuals that can be seen clearly. For example, if you have to use an image with a slide that has a lot of texts, rather than using a smaller image, use half the slide for images and other half for texts. Presentations with too many slides can be overwhelming and deviate users from the intended message; use them only when relevant. And the most important aspect of all – do not use cliparts.

Know your audience before you plan a PowerPoint presentation . If you are targeting a specialized audience that knows the topic well, but not about the aspect that you shall be presenting, work accordingly. But if the audience needs more than an initiation into the topic, focus on in-depth slides.

One ingredient common to top salespeople is the ability to consistently deliver effective presentations. An effective presentation moves a customer from their current position to a position of action.

Effective presenters use the following Methodology Selling(TM) techniques to move customers to action.

1. Preparation - Establish a very clear vision or goal. Ensure your thoughts and ideas are clear as to how you will move the customer's position from where they are now to a position of action.

2. Educate And Create Interest - The audience needs to focus on you the presenter not on themselves. Inform the audience as to why you are there and the purpose of your presentation. Understand the customer's needs and pain. Clearly define your resolution to their dilemma. The first few minutes of the presentation are vital. These few seconds can determine the success of the presentation.

3. Clear Presentation - Present in a clear simple manner. Avoid using this venue as an opportunity to show the audience how much you know. Keep it simple and focused. Present points one at a time and make sure each point is understood before moving on.

4. Listen To Your Audience - Listen and watch for the prospects response. Determine if hot buttons have been pushed.

5. Touch Their Emotions - Remind the customers of their needs and their pain. They need to feel their pain to want to move away from it.

How much time do your employees and co-workers spend creating and updating PowerPoints every day? With millions of users of PowerPoint, a lot of time in the business world is spent creating and using PowerPoints. Is your PowerPoint template correctly defined or does it cause a lot of daily headaches for users, contributing to organizational inefficiency?

A PowerPoint template is a silent and powerful engine that works in the background, making it easy to create good looking and brand compliant slides in a timely manner. A correctly defined PowerPoint template file needs a defined Master slide, theme fonts, a custom color scheme and formatted slide layouts. If any of these four aspects of a template is not defined, your PowerPoint template might be a time thief as well as the cause of less appealing slide content in your organization.

What are the five crucial parts of a correctly defined PowerPoint template?

What is a PowerPoint template?

1. A defined Master slide

The most important part of a PowerPoint template is the Master slide. The Master slide is the top slide you see when you open the presentation’s Slide Master View. This is where you would add a logo or any graphics you want repeated on all slides, set the background for all the individual slide layouts, decide if your headlines should be all capitalized, what your bullets should look like, the spacing of text, where your footers and slide numbers should be placed etc. If these things are not defined on the slide Master, it has to be done manually on each slide layout and the template has lost the capability to truly rule the content added, which is really the beauty of using a template. And importing slides from outside your organization will become a hassle.

Unfortunately, we see so many “template files” with an empty Master slide, where all formatting has been done on the individual slide layouts. An incorrectly defined Master slide will make a PowerPoint more time consuming and less efficient to use for users.

2. Defined Theme Font

PowerPoint comes with the capability to define theme fonts – a font for headings and a font for the body text. The theme fonts automatically define the text in any placeholder, graph, text box, SmartArt etc in a presentation. The theme fonts that have been defined for a presentation can be seen at the top of the font menu on the Home tab.

The default font setting in PowerPoint (from 2010 and later) is Calibri. If the theme fonts have not been defined or used for text in all placeholders, any text the user adds to the slides (like a floating text box) or any slides imported to the template will use Calibri, as that is still the theme font for the template. However, if the template uses the theme fonts setting correctly – your presentation will stay brand compliant using your corporate font (which most likely is not the standard Calibri) throughout your presentation.

3. Defined Theme Colors

A PowerPoint file comes with 10 colors defined (+2 colors for hyperlinks). If you don’t define your custom colors for your template, your created graphics in PowerPoint (graphs, SmartArt, tables) will use the default Microsoft colors. This means that even though you might have added background graphics such as a logo to your slide Master in your corporate red color, if this red color has not been added to your slide template’s theme colors, the user of the template will not have access to that red color for any other graphics.

We’ve seen great, beautiful designed “templates” using corporate colors for the background graphics but in which the PowerPoint color theme has not been defined with these corporate colors.

4. Theme Effects

PowerPoint comes with a set of theme effects that can be applied to a file or a template. The theme effects influences fills, lines, shadows, bevels and special effects of graphic objects created in PowerPoint. PowerPoint 2013 and 2016 comes with 15 effect themes (PowerPoint 2010 has 40!), each with a different set of effects. Once applied, the variants of that effect theme is available to the users when they are creating shapes, tables, SmartArt and charts so make sure you have applied an effect theme where all variants in the effect theme fit your brand.

5. Empty and custom slide layouts

A raw PowerPoint file consists of 9 standard slide layouts. How headlines and text in placeholders are formatted on these slide layouts depends on the settings on the Master slide. You can add custom slide layouts in addition to the 9 standard layouts – and you should. The 9 standard slide layouts often do not cover the main ways users create slides. You might want an agenda slide, a team slide with photo placeholders, or end slide with contact information. You don’t want your users to constantly create their own versions of commonly used slides.

You can also add multiple masters with different backgrounds to a template, like a Master with a dark background to complement a daily used light background.

A slide layout can have different types of placeholders (multipurpose, text, image, graphs, table etc). These placeholders should be empty of text except the short, instructional help text that will disappear when you click on the placeholder to add text (or an image, table etc depending on the type of placeholder). This help text is defined in the individual placeholders on each slide layout in the master.

Good practice is to create a separate PowerPoint “user handbook” where the template and its usage is presented with instructions, maybe with slide layouts filled with “lorem ipsum” text to show how text should be placed. The actual template and its placeholders should be left empty and ready to use.

A real template has a correctly defined master slide, defined headings and body fonts, 10 defined corporate colors and empty slide layouts, all nicely packaged and saved as a .potx file with a preserved Master saved as a theme (.thmx).

5 Elements of PowerPoint

PowerPoint's many features can be overwhelming to new presenters. As you work with the program, it can be useful to create a list of the PowerPoint elements you use most often. Consider the operations you perform in PowerPoint, as well as the content and data that those operations impact. A benefit of listing PowerPoint's elements is that you can concentrate on learning one element at a time. Here’s a sample element list that you can use as a template for making your own: PowerPoint’s user interface, slides, content, formatting, and presentation playback.

User Interface

The most visible element of PowerPoint is its user interface—the screens, dialog boxes, buttons, panes, and other parts of the application window. The biggest part of the interface is the pane for creating and editing slides. The toolbar, called the Ribbon, is another big chunk of the application window. Unlike versions of PowerPoint older than 2003, the Ribbon's tabs may change depending on the command you’re running. For example, if you insert an arrow shape on a slide, the Ribbon will display a new tab: "Drawing Tools." This tab is filled with previously unavailable commands for formatting the arrow.

The slide is the PowerPoint element on which you insert text, graphics, audio, video, and animations. You can create new slides by pressing “Ctrl-M” or by clicking “New Slide” on the Home tab. Delete slides by selecting them in PowerPoint‘s left pane and then pressing the “Delete” key. Arrange slides by dragging them in the slide thumbnail pane. Change slide dimensions by clicking the "Page Setup” button on the Design tab.

PowerPoint's content types include static text and graphics, audio, video, and animation created inside PowerPoint itself. Most of the commands for creating content are on the Insert tab. For example, the Media Clips group has a "Movie" option for importing videos. Use the Animation tab for creating new animations, such as entrance and exit effects on a slide's graphics and text.

Formatting commands are the PowerPoint element with which you decorate the content on your slides. The Home tab, for example, has many of the same formatting commands as Microsoft Word, including character-level tools such as "Bold," and paragraph-level tools that include "Align Text Left." Another tab, "Design," has a group of commands called Themes that let you apply font and color changes to all of the slides in your presentation at once.

Presentation Playback

The final slide presentation will be the only PowerPoint element that your audience sees, if you’ve saved the presentation with the extension PPSX. In that case, clicking the PPSX file brings up the presentation directly, and not the PowerPoint interface you used to create the presentation. But if you’ve saved the presentation with the PPTX extension, the PowerPoint interface will appear—if PowerPoint is installed on the computer. Computers without the main PowerPoint application can still run PowerPoint presentations by using Microsoft's free PowerPoint viewer.

How to Structure a PowerPoint Presentation

Think of a movie that has breathtaking special effects but no storyline. Does it have any chances of becoming a blockbuster? Of course not. The same is true with a PowerPoint presentation. No matter how beautiful the visuals of your slide deck are, it will never be a success if it doesn’t follow a logically sound structure.

In this post, we’ll cover the typical presentation structure in PowerPoint – what sections it should include – and provide some practical tips on how to arrange the slides and implement these ideas technically. Use these practical guidelines to organize your slides in a clear and simple way and save time on their development. But first, let’s see why your PPT deck needs to be guided by a structure.

Why Is Structuring a PowerPoint Presentation Important?

A sound deck structure is crucial for audience understanding. When the information is presented logically, it’s much easier for a viewer to get the message. The research supports this idea – it shows that people are 40% more likely to retain structured information than unstructured information.

If you’re going to accompany your slideshow with an oral presentation, a good structure is also important for you as a speaker. It will help you feel confident, stay on topic, and avoid any awkward silences, so you’re more likely to win your audience over. 

What Is the Typical PowerPoint Presentation Structure?

A good PowerPoint presentation always has a story to tell and, like any narration, it consists of three basic parts: introduction, body, and conclusion. Let’s look at each part in greater detail with some examples. 

Introduction

The introduction sets the tone for the entire presentation and explains what the audience will come away with after viewing it. Here are the multiple slides you may need to add in the intro: 

Title of the PPT presentation

This is the main part of your presentation, which should keep the promises you made in the introduction. This is where you explain your topic and present all your information. 

Depending on the nature of your presentation, divide it into segments/points. Arrange your points in a logical order and then provide information to support each of them. There are many different ways to organize your key points, for example:

  • Number your points according to their priority (1, 2, 3, …)
  • Place the points in a time frame (past, present, future)
  • Use narration (tell a story from beginning to end)
  • Present the points with a problem-solution dynamic (state a problem, describe its impact, offer ways to solve the issue)

A good conclusion summarizes the key points you made or highlights what the audience should have learned. It clarifies the general purpose of your presentation and reinforces the reason for viewing it. Here are the slides you may want to include:

  • Summary. List what goals your audience have achieved, what knowledge they got, and how this information can help them in the future.
  • Conclusion. Here you can thank your audience for viewing the presentation.

Tips for Structuring a Presentation in PowerPoint

Now that you know which parts a typical presentation should consist of, let’s see how to structure it in PowerPoint. 

1. Combine slides into sections

When working with a large PowerPoint presentation (PPT), you can create sections that can be collapsed and expanded. This will help you keep presentation slides organized and facilitate navigation in editing mode. To do that, follow these steps:

  • To shift a section, right-click on its name and use the Move Section Up and Move Section Down options.
  • To collapse or expand a certain section, click on the collapse icon to the left of the section name. You can also minimize and maximize all sections at once by right-clicking on the section name and choosing Collapse All or Expand All .

As well, you can access these settings by choosing Slide Sorter under the VIEW tab.

This kind of segmentation is a great way to overview the logical flow of your slides all at once and see if there are any changes required. For example, you may decide to break one slide into two or three, or the other way around.

2. Use the Outline View

One other way to structure a PowerPoint presentation in the editing mode is to use Outline View . You can choose it from the VIEW tab.

This view doesn’t display sections, but it shows the title and main text of each slide, which can give you a quick overview of the presentation contents. Here you can go through the entire text and edit it instantly. You can also work with text (on the left) and slides (on the right) simultaneously, as the latter is shown on the right side of your screen.

Note that, to be displayed in an outline, text needs to be typed in a text placeholder, not a text box . A text placeholder is a box with the words “Click to add text” or “Click to add title”, and it appears when you choose a standard layout.

You can also use Outline View to promote bullet text to titles and the other way around. To do that, right-click on a relevant title or text and select the Promote or Demote options.

Be attentive about demoting a title, as this will delete the original slide and move its title and text to the adjacent slide.

PowerPoint only allows users to promote and demote text, not entire slides. Therefore, there’s no possibility to change the hierarchical order of slides.

3. Create a table of contents

All the aforementioned tips help you organize a presentation when formatting it. However, it’s crucial that your viewers can easily navigate through entire presentation too. One sure way to provide them with this opportunity is to create an interactive and structured table of contents.

Though there’s no native automatic outline in PowerPoint, it can be created manually:

  • Press Ctrl+A to select all the names, and Ctrl+C to copy them. 
  • Then Press Ctrl+V to paste the copied titles on the desired slide. In case there are too many titles and they don’t fit onto a single page, you can divide the table of contents into two columns or place it on two slides.

You’ll need to repeat this procedure to link all the chapters to corresponding slides. For more information, read this step-by-step guide on how to add a hyperlink in PowerPoint .

Now all the chapters can be accessed from a single table of contents, which is very convenient. However, you will also need to link them back to that unifying page. You can do this by inserting an Action Button on every slide of your presentation in Slide Master mode:

Now there is a single page from which all the other pages can be easily accessed. As well, it’s possible to go back to the table of contents at any time with the intuitive Home button.

Depending on the size of your presentation, the time it takes to create an interactive outline may vary, as you will need to add hyperlinks to every chapter manually. Be aware that if you rename a slide or simply delete it, these changes will not be automatically registered in the table of contents. For example, if you delete a slide, its title will still be displayed in the table of contents, but clicking on it won’t lead the viewer to another point in the presentation.

A Better Way to Structure a PowerPoint Presentation

Creating a table of contents manually might be fine for a small presentation, but if you have 122 slides, it would require too much time and energy to do so. That’s why, instead of manually creating a table of contents, we took advantage of iSpring Suite and simply enabled the automatic outline.

As you can see, the new presentation has a pop-up outline and a navigation panel, which make it possible to move to any slide at any time without leaving the slide show mode. 

How to set up navigation

To create navigation in your presentation, follow these simple steps:

  • Get a free trial of iSpring Suite.

  • When you’ve configured the Slide Properties settings, click on Save & Close in the upper-left corner.

How to configure an outline

Whereas PowerPoint requires the outline to be designed manually, iSpring Suite has already prepared it for you. At the same time, you don’t have to stick with the standard outline template, as you can easily customize the player’s final look and feel:

We recommend leaving Enable Search marked, as this will allow viewers to search for any content at any time, including the texts on the slides. This is especially useful for large presentations with a lot of text.

If you have previously arranged slides into multiple levels in the Slide Properties, then leave Multilevel outline marked. That way, the outline will display the nesting structure of the presentation, facilitating navigation. You can learn more about the other outline options here .

  • When you have finished configuring the player, click on Apply & Close in the upper-left corner.
  • Now you can publish your enhanced presentation either to HTML5, to make it easily accessible via browser on any device, or MP4 video format. If you’re going to upload your presentation to an LMS, you can publish it to any eLearning format: SCORM, AICC, Tin Can, or cmi5. 

While a standard PowerPoint slideshow is straightforward and limited, iSpring Suite saves viewers from having to follow a strict slide order. An interactive and searchable outline allows non-linear navigation, where any information can be accessed at any time at a glance.

3 Key Components of a Perfect PowerPoint Slide

PowerPoint slides have become the standard for many business presentations, academic reports, and other presentations. While a PowerPoint presentation is an effective way to highlight key information, you can still risk losing your audience if your slide design falls short.

There are three critical components to take note of with each  PowerPoint slide design . You will want to pay attention to the structure, simplicity, and emphasis on each slide. Carefully crafting effective slides and presentations could mean the difference between securing a big business deal and walking away empty-handed. Let’s look at the three components of a perfect PowerPoint slide.

1. Structure

Every effective PowerPoint slide has a good structure. Structure refers to the design components that are used across the slide deck. Each slide should be easy to read and maintain a consistently clear message. The best way to accomplish this is with a structured slide layout. One of the most important aspects of slide structure is consistency. When slides are consistent in terms of fonts, colors, and content, they create a cohesive message across the entire presentation. Visual consistency gives your audience the impression that each slide is part of a larger story.

Good structure also includes having logical and precise visual alignment. Alignment helps create order on the slide and organizes your content by grouping relevant items. Creating good alignment in your slides will make your presentation easier to understand and reduce the effort required to comprehend each slide. The other part of creating a good structure is finding balance on each slide. Balance refers to how things are arranged on the slide, and it is closely related to alignment. Each slide is meant to be a visual accompaniment to the verbal presentation. As a result, you don’t want to create text-heavy slides with an overload of information that has to be read in great detail.

If you have ever heard of “ death by PowerPoint ,” these kinds of overloaded slides directly contribute to that phenomenon. If you find that you cannot reduce the amount of content, you might consider dividing it up among several slides for a simpler presentation. Your audience’s attention will remain active if you explain the main point over several slides rather than a single stop that takes several minutes.

To help reduce the amount of information on your slide, you might consider using infographics and other visuals to explain information. If you are reporting on quarterly gains, it might be more impactful to show your audience a chart or graph rather than a text box full of numbers. Visual elements aid with learning and understanding and can help you keep your slides simple.

3. Emphasis

The goal of your PowerPoint is to present key information or persuade your audience to agree with a certain point. To do this more effectively, each slide should be designed with emphasis. This is an important component because it helps your critical information stand out. By intentionally using elements like color, size, and placement, you can guide your audience’s attention to the main ideas and key points.

Five tips to set yourself apart.

Never underestimate the power of great communication. It can help you land the job of your dreams, attract investors to back your idea, or elevate your stature within your organization. But while there are plenty of good speakers in the world, you can set yourself apart out by being the person who can deliver something great over and over. Here are a few tips for business professionals who want to move from being good speakers to great ones: be concise (the fewer words, the better); never use bullet points (photos and images paired together are more memorable); don’t underestimate the power of your voice (raise and lower it for emphasis); give your audience something extra (unexpected moments will grab their attention); rehearse (the best speakers are the best because they practice — a lot).

A PowerPoint slide is the fundamental building block of a Presentation. A PowerPoint presentation is simply a collection of different slides arranged in a logical manner to effectively communicate a story.

So then, what are the main components of building a slide?  We look at the 5 most important elements which needs to be there on any slide.

1.  Slide Title

Always start creating a powerpoint slide with the Slide Title. Think of it as the key message or insight that you would like to present on the slide. Ideally , there should be only 1 main message on each slide. The slide title should be crisp and concise to effectively communicate the key message. It should be written in a powerful way such that the audience understands the message without having to read the main content of the slide. The slide title should present the slide synthesis of the main so what from the content on the slide. Remember, not a summary regurgitating the same facts which are on the slide but helping the audience move from facts to the most important so what from that single slide.

2. Charts/Graphs

There are a number of data related PowerPoint charts that is in-built to represent numerical information. Use them extensively to illustrate numbers and quantitative information. You can choose from a number of chart options like Line Chart, Pie Chart, Waterfall chart, Bubble Chart, etc. Be careful to use the right chart for the right data. Using the right charts for financial data helps to enhance the visual communication of the powerpoint slide. 

3. TEXT

Gone are the days where you would use a PowerPoint slide to put lots of text on it. No one reads those slides anymore. Instead, use TEXT comments sparingly to only indicate the main point. Choose a big font size of at least 24 to ensure your audience can easily read the slides. If you must use bullets, not more than 3-5 bullets on a slide. You can also use Smart-Arts to represent text based information on the slide. Ensure you follow basic presentation tips that will make the reader engaged with reading the information on your slide.

4. Images/Icons

Use Images and Icons to reinforce a point and not just to jazz up the powerpoint slide. Images are a great way to capture the attention and effectively communicate with the audience. There are a number of websites that allow you to download high quality images and icons. So, make the most of them. Sometimes you many need a paid subscription to access these images but there are lots of free websites as well that will allow you stock images for free. 

5. Footnotes/Source:

Be sure to add any important footnotes or source on the slide. Footnotes and source complete a slide with any extra information that the audience should be aware of. If there is a source of information that you would want to call out on a slide, footnotes are the best place to put it. They serve to improve the authenticity of the presentation with the right attribution provided.

So as you can see, the above 5 elements are extremely crucial to make a slide in PowerPoint. These 5 elements are part of any slide and if we do each of them well, the overall slide looks compelling and helps us to convey the right piece of information to the audience.
