How to Use Notability with Zoom

If you’ve ever been on one of my webinars and wondered how I manage to draw on my iPad and have it appear on the screen during a Zoom webinar, you’re in luck.

It’s actually a fairly simple process, and it all starts with an app called Notability.

Notability is a note-taking app that allows you to draw and make handwritten notes on your iPad. You can also import PDFs and other documents to mark up and annotate. This makes it a great tool for presenting and teaching, as you can highlight important points and draw attention to specific details.

Here’s how to use Notability with Zoom:

Download Notability to your iPad. The first step is to download the Notability app from the App Store. You’ll need to create an account and sign in before you can use it.

Upload your presentation to Notability. Once you have Notability installed, you can upload your presentation to the app. This can be a PDF of a PowerPoint presentation or any other document that you want to annotate.

Connect your iPad to Zoom. When you’re ready to start your Zoom webinar, choose the “Share Screen” option in Zoom. From there, select the “iPhone/iPad” option and click “Share.”

Connect your iPad to your laptop. To connect your iPad to your laptop, swipe in from the top right corner of your iPad screen to access the Control Center. Look for the icon with two overlapping squares, and click it. This will show you the Wi-Fi network you’re on and what you can connect to. Select your laptop from the list of available devices.

Start presenting and drawing on your iPad. Once your iPad is connected to Zoom and your laptop, you can start presenting and drawing on your iPad. Any drawings or notes you make will be visible to your audience on the Zoom call.

Using Notability with Zoom is a great way to make your presentations more engaging and interactive. With just a few simple steps, you can draw on your iPad and have it appear on the screen during a webinar. Give it a try and see how it can enhance your presentations!

Online Learning Series: Advice from Teachers

Before using Notability, I searched endlessly looking for an app that would meet all my needs, namely, having a board with plenty of customization.

Before using Notability, I searched endlessly looking for an app that would meet all my needs, namely, having a board with plenty of customization. Now I am hooked. Here is how I use Notability daily.

In the Classroom

In class, we have smart boards that connect with our iPads. I present and teach through my iPad daily. It allows me to show my notes on the screen, while I have another document open or more importantly for my math classes, my graphing calculator app. I can work out problems with all my tools visible. This is something I couldn’t do just writing on the board and then switching to my calculator. Now I can do both simultaneously.

The Virtual Classroom

Since our world changed due to Covid-19, our school has gone online. I have been using Notability in conjunction with Google Meet and Zoom. Both work seamlessly with Notability. I have had to use a workaround in order to be able to manage the class and present. The iPad cannot present my screen and allow me to have my comment window open in Google Meet or Zoom, so I actually join the meeting on my laptop and my iPad. I turn my mic off on my iPad. I then present my screen from my iPad and keep my comment section open on my laptop to see students and their comments.

Once I start broadcasting from my iPad, I then press the home key and select Notability, opening the designated file to present.

The red recording button appears at the top right letting you know that it is presenting to all those in the meet. The new presentation mode allows me to use a red pointer in my document.

Using the “Note Switcher” in Notability has allowed me to work out problems while having the problem posted on another document. In math, we need a lot of space so sometimes having the option of a clean sheet to expand the work is needed.

You also have the option to switch between documents by selecting one of the recent files. To open two documents at the same time, select the three dots and choose the location: “View on Left” or “View on Right”

Multi-Note feature on Notability

With two notes open at once, you can simply tap to switch screens and write on either one. The note will appear to “come forward” letting you know you are now editing this note.

I sometimes even show three screens. I can have two notes opened and have my split screen with another app.

All of these options are able to run while I am presenting in Google Meet or Zoom.

Make and Edit Assignments

Now with our virtual classrooms, I need to use Notability to grade math tests. I post my tests and worksheets on Google Classroom. Students then download these into Notability and complete them as a Note. They upload them back into Google Classroom when completed. Then I can open these from Google Classroom to Notability. I can grade them there and either individually email them as completed, or reupload them to the Classroom.

Tip: For more personal, detailed feedback I can include an audio recording on the assignment to send back to students.

I do not know how I could teach remotely, without such a well-thought-out tool like Notability. It is the easiest app to use and the most intuitive that I have tried. Believe me, I have tried them all!

Advice From an “Old Fart”

I have been teaching mathematics at the high school and college level for 34 years. Although I am old, I have loved technology since the early devices in the 80s. I try to remain relevant and am willing to experiment. It is never too late.

Our current events have forced many of us teachers to rely on technology — embrace it. You can’t break the device by pressing the wrong key! Try it out. Don’t be afraid.

When in doubt, Google it! Everything is “Googlable”! You can always find a response and if not, reach out to the developers. The Ginger Labs support team is amazing. I have asked them for assistance many times, and no question is ever treated as silly or unimportant.

Create a good support team with your colleagues. My colleagues are great. We are always troubleshooting together and finding solutions through trial and error.

My last piece of advice is one that has always worked for me. Don’t be afraid to not know something. I am humbled by how much my students serve as a great support for me at this time. Be patient with each other. WE and our students are trying to figure this out in the midst of so much uncertainty outside our little virtual classroom. Be mindful, that our classroom has been altered drastically, so keep an open mind, and a growth mindset for yourself as well as your students. Flexibility is a must!

What is Notability?

  • Notability is a note taking app for the IPad and Iphone. You can handwrite, type, or record notes and set up an outline. You can even annotate pdf files, imported files from your Google Drive, and imported images.
  • Note: Notability is not a free app.

Why Notability?

  • While Notability was designed for notetaking, it can also be used as a presentation and sharing app regardless of the subject you teach.
  • Any image or pdf can be drawn or typed on for instructional purposes.

Connect to Google Drive

Click on the gear icon to customize Notability and to connect the app to your Google Drive account.

Use your entire email address to log into Google Drive.

Auto-Backup

If you would like to set up your Notability files to backup automatically to a web based drive (Google Drive, Dropbox, etc.), do this in Settings.

Standard Notes

Getting Started with a New Note

Click the blue button with the white pencil in the upper right hand corner of the screen.

A new note will appear with a toolbar at the top of the screen.

Palm Rest and Zoom

Click on the hand to get a palm rest that protects you from accidentally writing with the rest of your hand.

To zoom into a section of the document, touch the section you wish to magnify with two fingers and then move the two fingers apart. Alternately, click on the magnifying glass or tap and hold anywhere in the document.

The file name can be changed in the note by simply deleting and retyping the bold text in the upper left-hand corner.

Writing and Highlighting

  • Tapping the pen or highlighter once will select the tool.
  • Tapping the pen or highlighter a second time will allow you to change width, color, and style of your pen or highlighter.
  • Tap the “t” will bring up the keyboard that has a toolbar at the top. Type as normal.
  • If you press and hold anywhere in the screen above the keyboard, you will get a textbox that you can move anywhere in the note.

Outline options

If you would like to type an outline, tap the outline options button and choose your outline style. Type your note, hitting enter at the end of each item.

To change a heading to a subheading or a subheading to a heading, just press the right indent or left indent buttons.

Setting Font Favorites

  • Notability allows you to set three customized fonts. To set, select the typing option at the top of the screen and then click and hold on one of the hearts.
  • Select font, style, size and color. Tap outside of the pop up menu to close or just begin typing.
  • Tap heart A, B, or C to select your customized font before you begin typing.

Click the plus sign to add media to your note.

Use Web Clip to take a screenshot of a web page and insert it into Notability.

Stickies are specialized text boxes. Tap or drag to add to your note.

Photo takes you to the photo albums on your IPad. Just tap to insert photo.

Figure takes you to a simple drawing tool to create a figure to insert in your note.

Working with Media

Tap and drag the blue buttons to resize the note.

Tap and drag the gray tab to move the note.

Change background

  • If you wish to edit a media item later, use two fingers to select.
  • All of the original editing options will be made available again.

The Library

Library Layout

  • Your notes Library can be organized using dividers and subjects found on the left of the home screen.
  • On the right side of the Library are the notes in the selected subject.

Organizing Notes

  • To move a note from one subject to another, just tap and hold the picture of the note and drag drag it to the new subject.
  • To change the order or color of the subjects, tap Edit.

Use the handle to reorder the Subjects by dragging.

Use the gears to change the name or color of the subject.

New Subjects and Dividers

  • Click on the plus sign to create a subject or to create a divider. Dividers allow you to group Subjects - similar to folders.
  • Drag the Divider above the Subjects that you wish to put into the Divider.
  • You can tap on Edit to change your Dividers.

Importing Files

  • To import a file is to pull files from another source into Notability.
  • PDFs, RTFs, and Note files can be imported from a variety of sources including Dropbox and Google Drive.

Google Drive Files

  • Using Google Drive, you can also import the following file types into Notability: DOC, PPT, and XLS.
  • Tap on the import icon in the Library.
  • Choose Google Drive and tap on the file you wish to import.

Sharing Files

Sharing and Open in...

  • Notability files can be shared or opened using a variety of methods including email and Google Drive.
  • Sharing means a copy of the note is sent as a PDF, rich text, or Note file.
  • “Open Note in” opens the note in another app on your iPad.

To Share or Open

  • Click on the arrow in a note, choose your sharing destination or Open in. For sharing, choose your file type.
  • Click the blue button at the bottom of the window (Send to, Open Note in, Email Notes.)
  • For Open Note tin, choose the destination app.

Sharing to Google Drive

If you are sharing to your Google Drive, you can choose the destination folder by navigating through your Drive folders and selecting “Export to [folder name]”. You will still be able to edit your format after choosing the folder.

    Don't know about presentation mode, but the zoom box didn't work with finger while connected with apple pencil. This might not mean much to most people but I've been waiting forever for the single page mode.
