When we talk about communication, we refer to the idea that we need to share our thoughts and feelings with the people around us. It is important to, for example, let people know when you do not like the way that they have done something so that they do not do it the same way again, especially when it directly or indirectly affects you. If you don’t tell them about it, how will they know how you feel about it?

Problems arise in relationships because we often forget that none of us are mind readers and we cannot simply predict or figure out what a person is thinking just like that. To take another example, if you want to borrow a book from someone but haven’t told them that, and they give it to someone else before you tell them, it will be your mistake for not having communicated with them about the same earlier.

Communication and human life go hand in hand because human life and social life go hand in hand. Human life is all about communicating with one another, talking about things like the weather and the government and many other things. Amidst this, we may sometimes find that two humans disagree about something rather than communicating the reason and reasoning behind why it becomes easier to verbally pounce on another and engage in conflict. Wouldn’t it be simpler to merely communicate? The downside is that communicating with a person puts you in a vulnerable position because it requires a person to open up and speak out about what they want and how they feel. Vulnerability is uncomfortable for most people, and that’s why relationships often go down the drain because people are unable to get past their insecurities.

Talking about things is the best way to let your feelings out, or at least this is how it works when talking about the feelings surrounding the various relationships you have in your life. Imagine that you have a significant other in your life, someone who you are in a romantic relationship with, and you disliked something they said about you to someone else. On the one hand, you can pretend like it did not bother you, so you go about as you were, but the emotional turmoil will remain in your mind. On the other hand, if you communicate to your significant other about how they said bothered you, you can talk about it, they will apologise to you, and the air will be cleared. Isn’t this a much better option than to carry around anger or any other negative emotion?

We must all learn how to communicate with one another because life can become very difficult for all of us without communicating. As mentioned before, humans and their social lives go hand in hand. We are social creatures by creation – we are born into and live with our families, interact with people in educational and occupational institutions, and have people around us all the time, no matter where we are. Thus, it is incredibly important to learn what we can now call the art of communication. It is okay to be vulnerable, and it is okay to let out your emotions and feelings when they become too overwhelming, and communication helps us do that.

There are so many different kinds of communication that we have to go through every day. We have to communicate with our parents, teachers, siblings, colleagues, classmates, friends, etc. We even have to communicate with people we don’t even know, such as the bus conductor to buy a ticket from him when we are going somewhere, or asking someone for directions on the road when we are lost some or another form of communication. However, this is just everyday communication, and there’s much more to communication and just how important it is in incidents which are closer to our personal lives.

With every relationship we share, we need to make an effort to communicate well. How will the other person even know what we are thinking and feeling if we do not do so? It is highly understandable that putting everything you think and everything you feel out there for another person to come and listen to you can be quite a scary thing to do – placing yourself on that pedestal of vulnerability and trusting someone enough to keep your thoughts and feelings safe in their minds… Yes, it takes a lot of courage. But without communicating, there is no possible way for us to enjoy good relationships through and through. Without communicating, conflicts and problems will always arise in the relationship, whether the relationship is with your family, friends or even the people with whom you share your workplace.

In talking about the workplace, imagine what would happen if people in offices did not communicate. So many people would miss so many important meetings, so much work would be left behind because no one was informed to do it, and even you are probably able to think of all the catastrophes that could come with not communicating at the workplace efficiently. In offices and companies with great city views and board rooms in the workplace, without communication, these places will fall apart.

Now that we have realised this let’s think about what happens when we apply the same to our lives. Imagine that someone cooks something for you, but you just cannot stand the taste of it. To be nice, you tell this person that you love what they cooked, and then they start making it for you very frequently. With this, to prevent hurting someone you love by not telling them that you did not like what they cooked for you, it will fill you up with some sort of turmoil in your head, which might just explode one day out of nowhere that you wouldn’t know where it came from. That’s what happens when you bottle things up, and the metaphorical bottle inside you explodes. It is better to have just communicated the same in the first place rather than prolonging it to the point that there is more hurt caused by it.

Communication is not merely telling someone about which food you like and which you don’t. No, a deeper level of communication also requires a person to open up, explain why they feel certain things, talk about their traumas, and the happy incidents in their life – it’s allowing someone to get to know you. Without communication, what is there to life rather than mere superficial relationships?

It is of such grave importance that we learn to communicate with one another well, not only to avoid conflict but also to better our relationships at an increasing rate. Good communication means that everyone can be happy because of feeling heard, and isn’t that what we all want at the end of the day, for someone to listen to us and understand us? This essay defines effective communication and puts forth its importance in everyday life with the help of a few examples. It also explains miscommunication that occurs when a message is not communicated clearly. An example from Madagascar: Escape 2 Africa is used to show how miscommunication can happen. This paper refers to works of Angeliki Tzanne and Julia T. Wood to get a better insight into effective communication. Learning theories and principles of effective communication can help to make communication in everyday life more effective. Therefore, theories of communication as explained by Claude Elwood Shannon and C. S. Lewis have been briefly discussed here. Keywords: effective communication Effective communication is a two-way process; it refers to the transfer and receipt of information from one person to another or from one point to another. The communication process, therefore, must include at least two people or points to play the role of the sender and the receiver. To complete this process, the message conveyed by the sender must be understood by the receiver of the message. This is true of all methods of communication: verbal, non-verbal, written and electronic. According to author C. S. Lewis, effective communication requires clarity of expression on the part of the sender and accuracy of understanding on the part of the receiver for whom the message is intended. The “rhetoric” used by the sender must be clear for the receiver to understand and interpret, and shared meaning must be achieved to make the communication complete and effective. Otherwise, miscommunication and not effective communication has occurred.

Miscommunication

Miscommunication is defined as the failure to clearly communicate either because of problems in hearing or understanding the rhetoric of the sender. Angeliki Tzanne states that a miscommunication can result in “partial or ambiguous understanding”, “nonhearing” (Grimshaw, 1980) or “nonunderstanding” (Zaefferer, 1977). Let’s look at an example of miscommunication from the computer-animated comedy film Madagascar: Escape 2 Africa. Recall the scene where the monkeys make a monkey-chain by holding hands and rescue Alex, the lion, from the tourists’ colony. In this scene, Alex and his father Zuba are inside the bucket that the plane has dropped, with the monkey-chain holding onto it. When he sees Nana, the old lady, Alex says “She’s got a gun! Let’s get out while we can!” and asks the monkeys to pass on his message up the monkey-chain. Alex’s message gets miscommunicated by the monkey called Mason and what Marty, the zebra, gets is the message “Let’s have some fun and take out the dam.” Marty, therefore, asks the penguins who are flying the plane to take out the dam. The old lady is adamant about eating Alex, stands on top of the dam and shoots many times to bring the plane down. Soon she is out of bullets. As a last resort, she waves her hand bag just before the bucket strikes the dam, breaks through it and sends the water back down the drying river. The animals in the reserve are overjoyed to see the water flowing toward the watering hole. They accept Alex as an alpha lion and nullify his banishment from the reserve.

Importance of Effective Communication

This is a rare case where miscommunication has proved to be useful. In everyday life, both personal and professional, this is not the case; miscommunication between family members, friends and colleagues can cause chaos, confusion and arguments. Therefore, communicating to family members, friends or colleagues should not be taken for granted, because it is an everyday activity. Effective communication has become all the more important in today’s multicultural world. Julia T. Wood lists “long-distance friendships, romantic relationships, public speaking, interviewing, classroom learning, and productive group discussion” as contexts where effective communication is important. Let’s take a look at a family of four where effective communication on a daily basis is vital. Anshula is a senior consultant working with an E-learning solutions provider in India. Her job responsibilities include communicating with the company’s overseas clients and subject matter experts. Though it is a nine-to-five job, she usually needs to carry work home. She lives with her eight-year old son and mother-in-law. Her husband works for an oil and gas company in the Middle East. The company follows an on-and-off-duty schedule; when on duty, her husband stays away from home for forty consecutive days and when not on duty, he stays at home taking care of a family business. As a family, they get less time to spend with each other and communicate. To keep miscommunication at bay, Anshula has made it an everyday activity to call her son and chitchat with him after he reaches home from school. The family also considers dinnertime an occasion to sit together and listen to one another. She also sends short messages to her husband as frequently as possible giving him updates on their son’s activities at home and school.

Importance of Learning Communication Theories

Like Anshula, we rely on effective communication on a daily basis to connect and bond with our family members, friends and colleagues. Knowing a theory or two on effective communication can help us to be more effective in communicating with others. For instance, Anshula has insight into the communication that maintains the bond between family members; so she is able to keep the family together despite the limited time they get to spend as a family. She knows how to listen better to her son; it helps her to find out if anything is going wrong at home or in school. She knows how to manage time so that she can take time out of her busy schedule for her family. Knowing a few communication theories and following a few principles of effective communication have helped Anshula to maximize her abilities as an effective communicator, both in her personal and professional life.

Shannon’s Theory of Communication

Claude Elwood Shannon, known as "the father of information theory", explains human communication system. According to him, human communication system consists of a sender that is the source of information, a transmission medium that has a noise source and a receiver that reconstructs the message. Shannon explains the system with the help of a schematic diagram. Recall the rescue scene from Madagascar: Escape 2 Africa again. The scene is useful to understand Shannon’s theory of communication. An information source (Alex) produces a message to be communicated to the receiving terminal; a transmitter (monkeys in the monkey-chain) produces a signal suitable for transmission over the channel and the channel (monkey-chain) transmits the signal from the transmitter to the receiver. Finally, the receiver (Mason) reconstructs the message from the signal and pass it on to the destination (Marty) for whom the message is intended. Shannon adapts his theory to analyze ordinary human language. He states that it is redundant to use more symbols and words than necessary to convey messages. Michael McCrary when doing research on C. S. Lewis’ estranged relationship with his father Albert Lewis discovers that when “verbally disciplining his young children, he often became intoxicated by the very words he chose, which prompted him to use more of them.” He quotes C.S. Lewis, "all the resources of his (Albert Lewis) immense vocabulary were poured forth". Therefore, later when C.S. Lewis comes up with his theory of communication, he emphasizes that the sender of the message adheres to two principles of effective communication: brevity and clarity of the message. He adds that when communicating the message clearly, the sender should also know the abilities of the receiver to understand the message.

It is clear that a person does not have to be an eloquent speaker or a certified communicator to communicate more effectively in everyday life. McCrary writes that C.S. Lewis, “one of the most effective communicators of this century” and Albert Lewis, “an eloquent court solicitor and public speaker known for his gift of simple exposition” have failed to communicate with each other throughout their lives and thus failed to show their genuine love for each other. To communicate more effectively, we just need to understand how the human communication system functions and follow these basic principles: brevity and clarity of the message on the part of the sender and accuracy of understanding on the part of the receiver. When a message is composed, the sender should also know the abilities of the receiver to understand the message so that shared meaning is achieved.

Communication has always been an essential element of every aspect of human life. Very much depends on the person’s ability to communicate with others and to apply efficient communicative skills to achieve their goals. In general, it is possible to state that the ability to communicate constructively shapes the major part of the individual’s success in his or her personal life, at work, and in other spheres.

There are many jobs that involve constant communication with clients, provision of some consultative or advisory services, which are almost solely built on the principles of communication and interaction with people. Business affairs are as well impossible to be accomplished without making business agreements, holding negotiations, and instructing the personnel on the goals to pursue. There is a great multitude of examples of the need for communication skills in daily life, so it goes without saying that business operations require well-developed communication abilities and demand their application on a daily basis.

It is enough to mention the ever-growing globalization of the world and business together with it, so interpersonal and cross-cultural communication acquires key importance in the contemporary world. It is for this reason that one needs to pay close attention to the issue of communication skills in the process of learning business communication and related topics.

Communication, no matter how simple and familiar it may seem, appears to be a complicated and multi-dimensional concept that needs thorough consideration and hard work in the process of acquiring the basic skills necessary for success. It does not correspond to a casual notion of talking as the communication process – it is much deeper in its goals and strategies to accomplish these goals. With the purpose of understanding the phenomenon of communication itself and communication skills in particular it is necessary to pay attention to the following concepts and terminology that will enhance the reader’s understanding of the issue: conscious and unconscious competence, reflective learning, motivation, motor skills, and social skills.

As for conscious and unconscious competence, Ellis (2003) believes that “it implies knowledge of the what (for instance, the core professional concepts) and knowledge of the how (the ways in which we put these concepts into practice)” (p. 2). It may be applied at both levels, as the definition suggests. Reflective learning is an essential element of the process of acquiring communicative skills – it implies not only fulfilling a certain set of tasks but reflecting on the results and trying to introduce change or improvement (Ellis, 2003, p. 3).

Motivation goes without saying – it is the innate wish of the person to act in an innovative way that makes him or her take steps forward in personal development. Motor skills, in the opinion of Hargie (1997), are organized and coordinated, learned actions serial in nature supposing the person’s making some physical actions, i.e. they are formed at the biological and subconscious level to be applied in life (p. 9). Social skills differ in nature and involve interpersonal actions, interaction with other people (Hargie, 1997, p. 9-10).

Motor skills are not the subject of the present paper because they refer to daily actions, routine, and mechanic activities of people they may not even realize. Social skills, on the contrary, have to be thoroughly thought over and trained, as a result forming a communicative personality being able to achieve his or her communication goal and succeed in communication. These skills are multiple; however, the present work will focus only on four of them: listening, negotiation, explaining, and self-disclosure. Listening is one of the most important skills of a good communicator because it has been proven to be a treasure too few people possess.

In the process of a constructive communicative act, it is important not only to clearly express one’s own thoughts and intentions but to give an opportunity to the communication partner to voice his or her opinion. Listening has been always neglected in the process of business communication as there have hardly been any doubts in the employees’ abilities to listen to others speak. However, the recently discovered notion that deserves separate attention and appears to be substantially different from the issue of hearing is active listening. As Ellis (2003) notes, “Successful listening (as opposed to the more passive hearing) is to do with actively processing the incoming information and doing some work – hence the term active” (p. 17).

No doubt active listening represents a challenge for a person willing to undertake it because it involves much extra work being done – first of all, the process of active listening, according to Ellis (2003), involves overcoming a three-stage task of recognizing the gap in understanding, locating it and trying to overcome it (p. 17). There is a set of barriers to active listening as well that prevent the listener to follow the guidelines of active listening and diminish the degree of mutual understanding, e.g. attention span, familiarity with material, negative or stereotyped attitudes to the matter or to the interlocutor, environmental considerations and physical inconvenience (Ellis, 2003, p. 18-19).

The second strategy that should be mastered by the communicator in order to conduct communication activities successfully is negotiation. There is no need to explain how important the process of negotiations is for any business organization – it goes without saying that it is the profitability and at times the very existence of an organization that depends on the result of negotiations with business partners. Thus, it is crucial to pay adequate attention to the way communication skills have to be developed to facilitate the negotiation skills of an individual. Negotiation is a comprehensive activity that demands a wide set of skills from the negotiator to be successful and accomplish the stipulated task. It involves active listening that has already been analyzed, assertiveness in actions and messages, and skillful questioning (Ellis, 2003, p. 57).

It is essential not to forget that negotiation first of all implies exercising certain influence on people with whom negotiation is conducted, which also depends on the ability to express one’s opinion and judgment in a specific way. Besides, as emphasized by Ellis (2003), negotiation is also a creative process including such elements as finding the balance between parties, finding the approach to the specific partners in the negotiation, conducting problem-solving activities, and engaging partners in long-term relations (p. 58). For these reasons, all efforts of the negotiator as well as his or her negotiation skills have to be focused on these major goals.

The third communication strategy implying the multi-aspect application of communication skills is explaining. Hargie (1997) speculates much over the topic of the importance of explaining in the process of communication and arrives at the conclusion that this skill has been widely neglected and underestimated recently (p. 183). The reasons he sees for this are first of all the unwillingness of people to accept the authority of other people mixing it with the imposition of someone’s opinion and limiting their personality, and secondly, the way explaining is perceived and taken for granted as an indispensable part of communication (Hargie, 1997, p. 183).

However, in the same section, Hargie (1997) underlines the importance of explaining as a necessary link between such aspects of human cognition as understanding, language, logic, rhetoric, critical theory, and culture (p. 183). As one can see from the following list, explaining appears to be a much deeper concept than anyone would have suggested. This is what causes particular attention to explaining in the recent business communication literature and research – its importance is being gradually recognized and should be not underestimated in the conditions of the contemporary business process.

There are the following types of explanation detected by Hargie (1997): interpretive, descriptive, and reason-giving (p. 185). Interpretative explaining gives the broad answer to the question ‘What?’ and defines concepts, events, and processes in such a way so that the person to who they are explained would obtain a detailed understanding thereof and would be able to apply them in further activities. Descriptive explaining gives the answer to the question ‘How?’ thus explaining the manner in which things are done. People who have acquired descriptive knowledge of certain things are likely to be able to produce some actions or some things in the future, knowing the procedure and the peculiarities. Finally, reason-giving explaining should be focused on the justification of certain actions, events or notions – it gives the answer to the question ‘Why?’ and explains to people what this or that thing, process, or event is necessary.

The last communication strategy to be dealt with in the present work is self-disclosure. As admitted by McKay, Davis, and Fanning (2009), self-disclosure is a key component of human communication. It is present in every communicative process and is unavoidable:

“Self-disclosure makes relationships exist and builds intimacy. It clarifies and enlivens. Without self-disclosure, you are isolated in your private experience” (McKay et al., 2009, p. 24).

Despite its seeming unavoidability the issue that should worry a person in the process of communicating with others is the extent to which they should disclose themselves for this act to be appropriate and effective (McKay et al., 2009, p. 25). There is a huge number of situations, partners, and circumstances that demand different patterns of behavior and cause problems or lead to success.

The authors distinguish four types of self-disclosure among which a communicator should choose according to the situation, the individual profile of character and behavioral peculiarities, etc. They are open self (known to self, known to others), blind self (discoverable by others, known to others), hidden self (known to self, kept from others), and unknown self (unknown to self, unknown to others) (McKay, 2009, p. 25). Judging from the situation and the pursued goals the individual may choose from these alternatives and define the measure for self-disclosure for him- or herself.

Communication is a key element of human interactions, which acquires specific importance in the context of conducting business affairs. Communication skills are multiple in nature and application, so they have to be paid particular attention to in all business processes and should correspond to the particularly stipulated business goals. There are several communication strategies that involve the implementation of different communication skills and their proper combinations, thus the aspect of establishing efficient business communication with the application of communications skills should become the central focus of every organization’s daily functioning.

Communication skills are learned skills and they can be acquired be means of an efficient training schedule established in an organization. The importance of communication skills in the business process is a matter of agile interest nowadays, so they should be never underestimated or neglected in the business process both by employers and the staff of every company.

Importance of Communication

To ensure that you are able to convey your message effectively, you need to communicate properly with the other person. If you are not capable of communicating your message loud as well as clear to the other individual, he/ she will not be able to perceive the true meaning as well as motive behind your message. Communication plays a vital role in our everyday life with each one of us making use of different methods of communication for conveying our messages and for understanding the messages of others as well. Why good communication skills are important?

Communication can be both one way as well as two way depending on the number of individuals who are a part of the process. It is very important to have a good two way communication between your team, organization and even family members so that you are able to deliver your message and also get a chance to find out their apt response. One way communications usually have an individual communicating his/ her thoughts to the other person while the other person is simply listening to the message being conveyed to him. In other cases, one way communications are also seen in televisions as well as radios where the information is imparted to an individual or a large number of individuals via the satellite communication system with the people having no other pivotal role other than simply listening to the information.

The relevance of a two- way communication is usually seen in the case of speaking to people face to face. This is the case when two individuals are talking to each other and here an individual stops in between his sentences to get an appropriate response from the person he is talking to. In a two- way communication, both the parties are required to be equally involved so that the other person does not feel like he/ she is not being heard properly. Two way communications also hold relevance in the case of face to face as well as telephonic interviews when both the interviewer as well as the candidate are required to maintain healthy, direct as well as active communication with each other. In these cases, there is also the need for both the parties to maintain constant eye contact with each other.

We all live in relationship with many others at any given time, from our romantic partners to our children, our extended families, our close friends, other acquaintances, and work colleagues, to name a few. Meaningful relationships depend on effective communication and where relationships often fail is in a failure of communication.

There are many levels to communication, the most obvious being verbal through the words we speak. A deeper layer of communication is through body language , and it has been estimated that 95% of all communication happens in this manner.

Words can often get misconstrued and body language misinterpreted, so the question arises, how do we effectively communicate with each other? I do not have a simple answer to this question and all I can say is that it takes much patience and a willingness to listen deeply to the other person.

There is, however, a deeper level of communication that few of us ever venture to explore and this is becoming the one you are communicating with. What do I mean by this?

When we are engaged in communication with another, there is usually a reason behind it, whether we need something from them, we are trying to help or guide them or we are catching up on lost time. What most people fail to do when connecting with someone else is to put themselves in that person’s shoes.

What do I mean by this and why does it matter? I can best illustrate this with an example. I am a critical care physician and communicate a lot with nurses in the intensive care unit. Nurses come to me with many concerns about their patients who usually have multiple issues at any given time.

Early on in my career , I often did not take some of their concerns seriously, as I did not understand the importance of what they were trying to convey. One common nursing concern is a low urine output. When the cause of this is not obvious, it is easy to blow it off and ignore it at that moment. Sometimes, this is the right call, as I’ve seen this issue resolve with no specific intervention. More times than not, however, a low urine output is a sign of low blood pressure, sepsis, severe heart failure, medication side effects, or a number of other issues.

The cause is not as important as acknowledging it as a legitimate concern that needs to be addressed. I did not understand this until I was able to put myself in the nurse’s shoes. I started to realize that they are not only concerned for their patient’s well-being, but their license is on the line, which is why they must report every concern, even if I see it as insignificant. I was only able to do this by putting myself in the nurses’ shoes when engaging with them.

So how does one go about seeing a situation from another individual’s perspective?

This is a multi-step process, which proceeds as follows:

  • You must first seek to listen to the other person not only with your ears but with all your faculties, including your eyes, because body language and facial expressions communicate a lot that words often do not.
  • You need to ask clarifying questions in a compassionate and understanding manner when you don’t understand what the other person is trying to communicate to you.
  • You then reframe the other person’s ideas and concerns in your own words to affirm whether you understand them correctly.
  • You ask them how they are feeling about what they are conveying to you and try to discern this through scrutinizing their body language.
  • Express to them that you are trying to understand their point of view and ask them to help you do that.
  • Communicate what action you are going to take with the information that has been shared with you, and then act.
  • Follow up with the individual who originally communicated with you to see if their concerns have been adequately addressed.
  • If this is not the case, regroup, reframe their concerns and readdress the issues at hand until you reach a mutual understanding.

This will help to enhance all of your relationships, personal and professional, and take them to a higher level of understanding and empathy, two qualities that are severely lacking in our disconnected world.
