What is a cover letter?

It’s a letter that accompanies your CV/resume that you send when applying for a job. It’s essentially a summary of your best points, including why you are suitable for the job and some of your career/work high points. It’s important to make your cover letter stand out with interesting information, as this may make the difference between being invited for an interview or not.

Is it the same as my CV/resume?

No. It is much shorter, and should be designed to get the attention of your potential employer with short, sharp and to the point information.

Are there different kinds of cover letters?

Yes. There are essentially three kinds:

  • An application letter – which is written in response to a job advertisement.
  • A prospecting letter – which asks about possible openings at a company.
  • A networking letter – which asks for information and possibly assistance in your job search.

What information should I have in my cover letter?

You need to have:

  • Your contact details
  • Your potential employer’s contact information (make sure you have their correct name and title)
  • A greeting (for example: Dear Mr Selassie)
  • The body of the cover letter, which lets the employer know what position you are applying for, what qualifications you have and what relevant experience you have
  • A conclusion, which generally thanks the potential employer for considering you for the position
  • A complimentary close 
  • Your signature

Can I send the same cover letter to any/all jobs I apply for?

No, this is not advised. You should write a specific letter for a specific job or opening, one which relates specifically to that job.

What should I avoid with my cover letter?

  • A casual, familiar style
  • Spelling mistakes and grammar mistakes
  • Lengthy text – keep it short and simple
  • Attaching a photograph
  • Exaggerating your achievements
  • Mentioning a salary

Try not to only focus on your abilities – think in terms of what would be good for the company you are applying to.

What should I keep in mind?

GOALis a non-for-profit organizationthat has been working in Ethiopia for over 30 years across all the region of the country towards ensuring the poorest and most vulnerable in our world and those affected by humanitarian crises have access to the fundamental rights of life, including but not limited to adequate shelter, food and livelihoods, water and sanitation, nutrition, healthcare and education. GOAL implements a range of multi-sectoral development, resilience, recovery and humanitarian responses Programmes by being sensitive to cross-cutting issues including gender, accountably, child protection, HIV/AIDS.

We envision a world where poverty no longer exist, where vulnerable communities are resilient, where barriers to wellbeing are removed and where everyone has equal rights and opportunities. GOAL Ethiopia’s main donors are Irish Aid, USAID/OFDA, EHF, ECHO and other private donors.

General Description of the Role

The Head of HR oversees human resource activities in Ethiopia, including recruitment and selection, review, update and implementation of HR policies and procedures, performance management, staff development and remuneration.

Key Areas of Accountability/Duties

HR Policies, Procedures and Adherence to Best Practices

  • Oversee the development, in accordance with GOAL international practices and local employment legislation, donor compliance and implementation of the GOAL’s HR handbook
  • Ensure HR policies and procedures aligns to HR functional areas and that programmes are in line with GOAL values and principles.
  • Provide support to managers on employee relations and performance management, ensuring that issues are dealt with in a fair and consistent manner. This may include overseeing disciplinary and grievance procedures.
  • Work with senior managers to optimize and forward plan organizational structures for maximum operational efficiency
  • Ensure confidentiality is maintained throughout the HR team.

Recruitment Planning and Staff Selection:

  • Ensure all recruitment are carried out in line with the recruitment policy and laws of the land.
  • Ensure a transparent, timely and efficient recruitment process.
  • Advertise/upload vacancies through GOAL recruitment greenhouse, Relief web, government agencies, networking and referrals.
  • Shortlist candidates, interview along with technical managers and support the selection of the best candidates.
  • Manage reference checks, ATCS and job offers.
  • Manage the HR orientation for all new staff.

Inductions, Training and Staff Development:

  • Oversee staff inductions.
  • Coordinate development of standard staff induction materials and group induction days
  • Develop and seek funding for staff development, aiming to ensure staff have appropriate training to keep performance at the top level.
  • Support line managers and department heads review training needs through assessments and review of performance appraisals and work with managers to organize training, development and mentoring initiatives to meet gaps,
  • Maintain a training tracking sheet to monitor trainings identified during appraisals and record all trainings completed
  • Conduct exit interviews with staff who are leaving and report to the line managers on key trends.

Staff Management

  • Line management responsibility of HR team based in Addis Ababa and field offices communicating clear expectations, setting performance objectives and workplans, providing regular and timey feedback to continue their professional development.
  • Strengthen and build the capacity of the Huma Resource team at head office as well as area offices

Performance management:

  • Develop and implementation of an effective and objective performance appraisal system
  • Ensure appraisals are being conducted regularly and appropriately
  • Support managers and supervisors with training in objective setting and conducting staff appraisals as required
  • Maintain a training database of agreed training requirements and work with line managers and supervisors to help ensure training are conducted within a reasonable timeframe.

Compensation and Benefits:

  • Regularly review of staff compensation package
  • Engage on Birches salary reviews and provide recommendation on adjustments of pay when necessary to ensure competitive pay
  • Monitor market conditions related to benefits to ensure national staff benefit levels are competitive
  • Ensure effective management of staff Pension schemes, Medical Insurance and processing compensations on accidents and other staff related insurance claims

Personnel Administration and Documentation:

  • Follow up the review the staff database and HR files on a frequent basis, ensuring they are maintained to the standard and kept up to date
  • Ensure audit issues are addressed as per the agreed timeline
  • Ensure staff contracts are kept up date and that all staff whose contracts are not going to be renewed are informed in line with the HR handbook.
  • Ensure that timesheets are completed monthly for all staff and confirm that all exiting staff have complete the process. Also share the timesheet tracker on 10th of every month.
  • Ensure all contract terminations are appropriately documented and all owed monies are paid to the departing staff member in a timely manner
  • Work with line managers and department heads to maintain leave plans for all staff, update the leave tracker on monthly basis and share with staff for better planning to avoid gaps where 2 staff members from same departments leaving the at same time.
  • In consultation with line managers, ensure that there is cover for staff going on leave.
  • Keep records in hard and soft copies of approved leave requests.
  • Ensure the timely processing of new contracts, contract extensions, staff transfers, promotions and other change of employment status.
  • Support head of HR in managing processes related to disciplinary actions, staff exiting and termination.
  • Respond to employee related queries and provide services to all HR related inquiries and requests.
  • Administer and participate in the review of the GOAL Ethiopia HIV and AIDS Workplace Policy
  • Ensure work/residence permits/Vaccinations is issued for all expat staff and other requirements. And ensure the trackers are maintained and kept updated/shared with expat team.
  • Liaise with the Legal advisor on labour issues at Ministry of Labour and the Courts

Safeguarding:

  • To foster an inclusive working environment which is non-threatening and safe for all. An environment that addresses safeguarding adequately in its processes and where the barriers to raise and discuss concerns about safeguarding issues are identified and where possible mitigated.

  • Keep track of issues relevant to HR such as the introduction of new policies.

  • Manage the HR & Admin team
  • Any other task assigned by the line manager.

Qualification & Requirement

  • Master’s degree in human resources, business administration, or related field.
  • At least 10 years of experience in human resources, preferably in a management role.
  • Comprehensive knowledge of Ethiopia Labour Law.
  • Fluent in English both writing and speaking
  • Competent computer skills; Microsoft Word/Excel/PowerPoint/Outlook
  • Excellent administration skills and a strong attention to detail.
  • High level of discretion and confidentiality
  • Calm, analytical with diplomacy and communication skills.
  • Organized, a self-starter and an enthusiastic team player.

Peace and security represent one of the key thematic areas of UN Women’s mandate. Based on UN Security Council Resolution 1325 and nine subsequently adopted resolutions, the Women, Peace and Security (WPS) Agenda, recognizes the gendered nature of conflict and peacebuilding. Accordingly, one of the goals of the WPS Agenda is to promote gender equality and strengthen the participation of women in all aspects of conflict prevention, peace processes, peace operations and peacebuilding. Participation of women in peacebuilding and conflict resolution is one of the four pillars of UNSCR 1325 and WPS agenda. Though efforts are being made to include Women in Peacebuilding and conflict resolution efforts, women are still absent from peace processes. This is due to absence of comprehensive response on the participation of women in peace and security among other hindrances such as gender inequality at all levels.

At the grass root level, different societies use customary dispute resolution mechanisms (CDRMs) to resolve conflicts. These include mediation, reconciliation, and arbitration. In different parts of Ethiopia these CDRMs are given different names like Shimglina, Jarsumma, mada’a in Afar, Afocha in Harari and etc. 

Recently the conflicts in Ethiopia have created rifts in the society disconnecting the friendly relationship among regions and people.  To deal with such conflicts, in addition to the formal legal system, the values of community participation is crucial. For these the CDRMs must be strengthened and utilized. This is true in Ethiopia where there is a multi-cultural and diverse society exists and the solidarity of the people based on the cultural and social values. The CDRMs emphasize the restitution of victims and reintegration of offenders; and aim at restoring the previous peaceful relationship within the community as well as maintaining their future peaceful relationships by avoiding the culturally accepted practices of revenge. Many CDRMs are patriarchal in nature and focused on the needs and experiences of men and hence reinforce existing gender inequalities.  The inclusion of a gender perspective (gender mainstreaming) in CDRMs is essential to ensure that they address the different ways in which conflict and disputes affect women and men, are accessible to them and respond to the needs and realities of both men and women in the communities.

To strengthen the customary resolution mechanisms and their gender perspective, three-day capacity building training is prepared on topic of ‘Using Costmary Dispute Resolution Mechanisms to Resolve Conflicts in Ethiopia’ in collaboration with Ministry of Women and Social Affairs. The aim of this capacity building training is to provide training to 55 participants from government, community leaders, elders, women peacebuilders and young women and men in post conflict reconciliation and mediation efforts in Afar, Amhara, Benishangul Gumuz and Southwestern regions. 

Duties and Responsibilities

The consultant will be reporting to Program Specialist, WPSHA, and will be supported by WPS Programme Officer, who will be the point of contact on the contract and payment issues. Inputs on the documents will be provided by UN Women and MoWSA.

Monitoring and including reporting requirements

The consultant will work closely with UN Women and MoWSA. The training content and materials will be shared in advance to UN Women and MoWSA for comments and close follow up. The reviewed content will be shared back to the consultant who will incorporate comments as a way forward proceeding to the training.

Description of Responsibilities /Scope of Work

The national consultant will be engaged in preparing and delivering the training and is expected to carry out the following tasks: 

  • Develop and design a three-day training Programme on using Costmary Dispute Resolution Mechanisms to resolve conflicts in Ethiopia, incorporating a gender perspective in these mechanisms and the role women can play in customary dispute resolution mechanisms. 
  • Prepare major points of discussion (e.g., using Power Point) that could be easily referred to in the organization of the training.
  • Contextualize the training to reality of the participants; develop exercises and simulations by collecting stories reported on how Costmary Dispute Resolution Mechanisms have been used to resolve conflicts in Ethiopia and international best practices and existing research on incorporating a gender perspective and increasing women’s participation in CDRMs.
  • Develop and conduct pre- and post-assessment of the training and prepare a final workshop report of the consultancy that includes assessment of participant evaluations.

Deliverables

  • A comprehensive training program with the following components for individual sessions: Learner Objectives, Time, Session Overview, Materials, Handouts, Special Preparation Steps, Tasks, Key Points for Discussion
  • A PowerPoint presentation and other reading materials to be shared during the training.
  • Conduct a three-day capacity building training program.
  • A workshop report covering the pre and post assessment evaluation, challenges and lessons learned on the training.

The training is expected to have a practical component where the trainees are able to deliberate on sample stories and come up with their own examples and share their experiences.

How to write a CV

Have you recently graduated and are you looking for work? Your curriculum vitae, or CV, is one of the documents you must give to the organizations that will hire you. When you write a CV it is critical to arrange it, so that it successfully highlights your accomplishments and experience because a CV frequently serves as an employer’s first impression of your professional and academic credentials.

In this essay, I provide step-by-step directions, clear examples, and advice on how to write a CV that will make you stand out to employers.

Although some portions are specifically written for medical professionals, the topic is applicable to many professions .

What is a curriculum vitae (CV)?

Writing a CV involves organizing your content into six main segments. They include:

  • Contact information
  • Personal statement/profile
  • Work experience
  • Additional Sections

1. Who to put our contact information in a CV

When you write a  CV  is made up of your contact information and is the first section of the document. It is located at the top to make it simple for interviewers to reach you. Only the following components should be included in the section:

  • First name, Last name
  • If applying abroad, be careful to provide your country code in your phone number.
  • Your email should be a professional address, ideally something like [name][lastname]@email.com.
  • Title: Your professional title, exactly the same as the title of the position you want or are applying for.
  • Are you in the area, where you are located?
  • You might want to think about include your social media usernames in addition to the standard contact information, provided they are pertinent.

The following should not be in your contact information:

  • Date of birth
  • Physical address
  • Your current business contact information such as work email addresses or phone number
  • Photograph (unless it is stated in the job posting)
  • Personal social media handles

2. How to include your personal statement/profile on your  CV

A personal statement, also known as a CV personal profile, is a brief statement that appears at the start of your CV and lists your best qualifications for the position. Emphasize accomplishments, experience, and abilities pertinent to the position. Sometimes, having a personal profile is not required. If you do include it, make sure the profile is well-written and unique. Positive descriptors like “confident,” “adaptable,” “self-motivated,” and “energetic” should be used.

The following  should not included when you write a CV :

  • Why you are applying for the job
  • Why you left your former employer
  • Salary requirements
Example- “Self-motivated pharmacist with 10+ years of experience. I’m looking to harness my strong clinical research skills as a lead clinical test evaluator for Adigrat Drug Co. I have organized a  clinical  trial  with  2000 participants to investigate the effect of an estrogen supplement on ovarian cancer in women and trained 20 clinicians on the use of big data for pharmaceutical analysis. “

3. Include your work experience when you write a CV

The job experience section gives the interviewer a chance to look at your professional background and how it relates to their position. Provide a short summary of your experience in reverse chronological order (most recent first). Education should come before this part if you have little to no practical knowledge of the profession.

Your job experience section can include up to 15 years of experience and provide the following information:

  • Title of the role
  • Company with city, state
  • Dates of employment

Your work experience  should not  include:

  • Tables, charts or images
  • Gaps in employment history, if avoidable
  • Company addresses
  • Professional references or supervisors’ names
  • Short-term employment, unless you have less than two years of work experience
  • Irrelevant work experience

A common practice is to merely list the responsibilities of the position next to it. While this is OK, you should constantly strive to write about your achievements. Also, it’s a lot more actionable and shows the hiring manager how you might help their company.

Find out what skills and responsibilities are required for the position and make sure you include them in the appropriate sections of your resume if you want to reassure them that you’ll be the ideal fit. In the job description, look for the skills and duties they’re looking for and adjust your resume accordingly.

4. Education

List your education and dates from the most recent to the oldest. If you have more than two years of relevant work experience, you can highlight all of your post-secondary educational qualifications, including the name of the degree and institution.

In the education section, you can include:

  • Program name – e.g. BA in business administration.
  • University name – e.g. Unity University.
  • Year attended – e.g. 08/2008 – 06/2012
  • GPA (Optional)

When perfecting your education section, here are a couple of things you should keep in mind when you write a CV:

 If you don’t have any work experience, mention your education section first. If you have a university degree, don’t mention your high school at all. Mention your GPA only if it’s notable (anything between 3.5 -4.0).

5. How to include the skills when you write a CV

The skills section describes your accomplishments at previous jobs, like the key skills you developed and experiences that apply to the job. The skills to include in this section depend on the industry, position and your personal background. Research the skills relevant to the industry or position and read the job description carefully and then consider your hard and soft skills.

  • Hard skills  are technical skills that can be measured and are directly related to your tasks.
  • Soft skills , meanwhile, are learned skills such as your personal attributes (e.g. leadership, communication, etc.).

Usually, job qualifications already include what they’re looking for in terms of skills and all you’d have to do is tailor your CV to the qualifications list.

There’s one other type of skill section that you can list within your CV, and that is universal skills. This includes skills that fit in the description or requirements of most career fields – such as MS office, teamwork, analytical thinking, and more. No matter what job you’re applying for, these skills will typically come in handy at some point.

List only 4 to 8 skills relevant to the role including job-specific skills, soft skills and hard skills. Some examples include:

Additional sections targeted toward your audience can include professional certifications, publications, industry awards and extra training—anything that is relevant to who’s reading your CV. This is a chance to stand out so use the space wisely to showcase your unique achievements.

If you are a student, you can list your  volunteer experience  and  academic achievements . Mention things you can discuss in further detail at the interview.

It may be appropriate to include hobbies and interests on your CV if you have limited work experience.

You can mention specific non-work activities in an entry-level CV if they portray you as a good fit for the employer, such as activities that demonstrate your dedication to a cause the employer works with or allow you to practice skills you use on the job.

What should you consider before you write a CV?

1. choose the right font type and size.

Your CV should be legible and easy to follow. To improve readability, it’s best to choose a sans-serif font between 10 and 11 points. It should be clean and simple without much detail or décor.

A good rule of thumb is to keep your margins between . 5 – 1 inch . Margins that are  too large  will leave too much white space while margins that are  too small  can make the page look busy and overfilled. Both may be distracting or off-putting to recruiters and hiring managers.

3. Utilize your space effectively when you write a CV

CVs can become lengthy, especially if you’ve been in your industry for several years and have amassed a great deal of experience. To ensure you’re using space effectively and your CV is easy to read, consider using the following techniques:

  • Organize with  bulleted lists : Make lists, (such as your collection of skills or awards) easier to consume by adding small bullets.
  • Use  section headers : Distinguish section headers from the rest of your CV content by making them bolder, larger or underlined.
  • Bold  keywords : In addition to section headers, consider bolding other important words, such as your name and job titles, to set them apart.
  • Remove  irrelevant information : Use the limited space on your CV to promote only the most relevant and impressive information about your background. Remove experience older than 15 years and dates from your education section if you have five or more years of professional experience

4. Proofread

Before you send your CV to employers, take time to carefully check your spelling, grammar and syntax. A clean, error-free CV increases readability and demonstrates professionalism. Recruit a trusted friend, family member or colleague to review your resume. A fresh set of eyes often catches mistakes you may have missed.
