My favorite part of being a business analyst was that no two days were the same. One day I might be deep in the weeds of complex SQL queries and the next I’d be talking to customers to understand how they used our products.

This wide scope of responsibilities made the job exciting and challenging. No two business analysts have the same job so it can be really hard to know what to put on your resume to appease hiring managers at different companies.

I’ve hired business analysts, I’ve applied to jobs as a business analyst, and I’ve reviewed thousands of business analyst resumes at this point in my career. Fundamentally,  you have to make the case that you’re capable of having a meaningful impact on the business you’re applying to .

This holds true whether you’re an entry-level business analyst looking for your first full-time role or you’re a senior business analyst looking for a promotion to management. Make your case that you’ll have a meaningful, positive impact in the role you’re applying for.

In short, here are the ways to make sure you accomplish that:

  • You need to include the right skills on your resume to get past the automated keyword filters that companies use. Then you need to convince the hiring manager that you deserve an interview.
  • Follow the basic rules of resume formatting. Keep it to one page, don’t get too fancy with your resume design, and don’t have any spelling or grammar errors.
  • With your work experience and projects convince the hiring manager you can have a positive impact on their business by quantifying the impact of your past work.

How to showcase your business analyst skills

Compared to other tech roles, the scope of hard skills that business analysts need to have are relatively consistent across companies.

While the kind of analysis that a business analyst does from role to role varies drastically, the underlying tenets of the role remain the same. A business data analyst takes in data and leverages their insights to improve business processes or operations.

Whether that happens through forecasting, pricing, reporting, or statistical analysis, the toolbox that a successful BA needs to have is well defined.

First, you need to be able to prep data for analysis. More often than not, companies store their data in relational databases. So this means you need to know SQL to pull and clean that data.

If the quantity of data that a company has is significantly smaller, you might get all the data you need to analyze right in (usually very sloppy) Excel workbooks.

After the data is prepped you need to do your analysis. That can come in the form of interactive models (in which case you’ll likely be using Excel) or you might need to do a more sophisticated analysis in Python or R.

Finally, you need a way to present your findings. Again, sometimes this can just be visualizations in Excel (Excel is the true business analyst MVP), sometimes it can be through data visualization in a BI tool like Tableau or Looker, and sometimes it might be through a presentation in PowerPoint.

  • SQL (MySQL, PostgreSQL, SQLite, SQL Server)
  • Excel, Google Sheets
  • Powerpoint, Google Slides
  • Tableau, Looker, Chartio
  • Salesforce, Netsuite, Hubspot, Pipedrive
  • A/B testing, linear regression, logistic regression

Notice a theme here?  Only include hard skills in your skills section . Think of it this way: if you were reviewing a resume and someone listed they were a “team player” in their skills section, would that tell you anything about their qualifications?

No, it wouldn’t. Soft skills are best demonstrated in an interview. Listing them on a resume just doesn’t add any value.

The other thing you have to consider is that there are two stages of resume review:

  • Companies use an Applicant Tracking System (ATS) to automatically filter out resumes based on certain keyword filters.
  • The hiring manager or HR person in charge of screening for the role will look at your resume.

When companies use keyword filters, they only ever screen for hard skills. So soft skills won’t help you get past phase 1. And like I said before, just listing soft  skills on your resume  won’t convince the hiring manager you actually possess those skills.

How can you balance your skills section to satisfy both the ATS and the hiring manager? First, don’t include a long laundry list of skills. This is a big red flag to the hiring manager even if it will help you get past the ATS.

For example, there is no reason you would include Python, R, Matlab, and SAS on your resume. When it comes to your skills section you want to avoid coming across as a jack of all trades and a master of none.

It’s much better to demonstrate expertise in a handful of skills than a passing understanding of 15-20 skills.

When you’re debating whether or not you should include a given skill on your resume just ask yourself if you’d be comfortable being asked questions about that skill in an interview.

Lying on your resume is one of the only guaranteed ways to make sure you’ll never be able to get a job at a company at some point in the future. For me, I also wouldn’t be able to handle the anxiety of potentially being exposed for a resume lie in an interview. It’s not worth it!

Get your business analyst resume format right

Formatting your resume properly may matter more than you think. For any given BA role a hiring manager reviews 100+ resumes. To that end, they’re looking for a reason to say “no” to any given application they review.

Formatting your resume incorrectly is a quick way to get placed into the “no” pile.  Your goal with formatting your business analyst resume is to make the job of the hiring manager as easy as possible.

Put yourself in their shoes. Given the same exact experience for two candidates would you be more likely to approve the resume that extends to 5 pages or the resume that concisely makes the case for their qualifications?

Here are the high-level formatting tips you should keep in mind for your business analyst resume:

  • Keep it to one page. If it’s longer than a page, the hiring manager will likely only skim it.
  • Unless you’re customizing your business analyst resume summary, don’t include it on your resume. It’ll just take up space.
  • If you’re a senior business analyst, keep your education section really short. If you’re an entry-level business analyst, include relevant classes you took in school that make you qualified for the role.
  • Don’t get too creative with your formatting. Your resume needs to be machine-readable so don’t include any images or charts.
  • This can be your LinkedIn, Github, personal blog, publications, etc.. Anything that makes the case about your skills as a business analyst.

Since your goal is to keep your resume to one page, every inch of real estate is valuable. If you’re a senior business analyst this means you need to keep your education small to allow for more room to talk about your work experience.

Conversely, as an entry-level business analyst, you need to make the case that you’re qualified to be a BA without much (or any) work experience. To do that, you should include relevant math/statistics/economics/programming classes you took in school.

  • Only include the essentials. Your school, the degree you earned, and your major.
  • You don’t need to include your GPA.
  • You need the essentials (school, degree, major)
  • Include relevant classes you took that make you qualified to be a BA
  • This can be classes in mathematics, statistics, economics, programming, business classes, etc.
  • Include your GPA if it’s above 3.2.

Business analyst resume summary or objective

Spoiler alert, most (90%+) of business analyst job applicants don’t need a resume objective or resume summary.

Why? The overwhelming majority of them are too long, too generic, or don’t provide any new information about a candidate’s qualifications for the BA role they’re applying for. Because of this, a lot of hiring managers have been conditioned to ignore this section (especially when it’s too long).

If you’re going to include a resume objective, make sure it actually adds value to your resume. Here are some ways you can do that:

  • Talk about why you’re specifically interested in working as a business analyst at the company you’re applying to.
  • Customize your resume objective for each job you apply to; this means carefully reading each of those  business analyst job descriptions !
  • Read what you’ve written. Is it just generic, meaningless buzzwords? If so, then it’s better not to include it.
  • Keep it to two lines or less. Longer than that, the hiring manager likely won’t read it.

Quantify your impact on your resume

The goal of a business analyst is to leverage data to make recommendations that have a demonstrable impact on a business or product. More than anything you need to make it clear on your resume that you have this capability.

How can you do that? By showing that you’ve done it in the past! You need to estimate the impact of the projects you’ve worked on.

One of the toughest challenges of being a business analyst is trying to quantify the seemingly unquantifiable. How can you estimate the potential revenue impact of a feature that hasn’t been launched? How can you estimate the impact of a pricing change on customer churn?

These are challenges that business analysts have to deal with in their day-to-day. By estimating the quantitative impact of your past work you’re clearly demonstrating you have a knack for logical, numerical reasoning that is essential to succeed as a business analyst.

The impact of your projects doesn’t just have to be stated in terms of revenue impact. Here are some other ways you can go about it.

Ways to quantify your work as a business analyst

  • Example: Leveraging Google Analytics and Excel identified a gap in the product funnel and made a recommendation that improved customer conversion rate by 10%
  • Example: Streamlined and automated a key business report in Tableau that saved the team 10 hours of reporting each week.
  • Example: Using SQL and Excel recommended that we end our contracts with our worst-performing vendors resulting in a cost savings of $100,000 annually.
  • Example: Built data visualizations in Excel to demonstrate the efficacy of our sales operations and marketing resulting in the close of a $1.3M Series A.
  • Example: Determined through analysis in Python that emailing customers who had been inactive for 7 days resulted in a retention improvement of 7 basis points.
  • Example: Using SQL and Excel, identified common complaints amongst new customers leading to changes that improved new customer satisfaction by 14%.

When it comes to demonstrating the impact of your work it’s important you focus on the most important metrics relevant for a given project. Being able to determine the success vs failure criteria of an experiment is pivotal to being a good business analyst.

Just to hammer the point home one last time I want you to compare these two work experiences. Now, this is the same business analyst talking about their experience in a certain role in two different ways.

Project ideas for entry-level business analysts

If you’re an entry-level business analyst, I know what you’re thinking: “Stephen, this whole section is focused on work experience but what if I don’t have work experience as a business analyst?” (P.S. I don’t actually know what you’re thinking, I just needed a decent segue)

The beauty of being a business analyst is that you don’t need work experience to demonstrate the skills needed to succeed in a full-time role!

Fundamentally a business analyst needs to ask a question, gather data to answer that question, and analyze the data to provide a convincing answer to that question.

You can do that on your own! Talking about a project you worked on to scratch your own itch demonstrates to a hiring manager that you have the desire and skills to succeed as a business analyst.

Get creative! Have you had a question you’ve long wondered about? Think of some data you can gather and do a write-up about your findings.

To get your creative juices flowing here are some questions I’ve thought a lot about and how I might go about answering them.

Sample business analyst projects for your resume

  • I would gather data around the value of each player on the roster in terms of their output over the last 10 years and the number of games they missed each season. I’d then compare this to other teams in the league and do a write-up.
  • I’d look at some of the most popular job boards for business analyst job descriptions. I’d manually gather attributes about each of the job descriptions and do a write-up.
  • Look at salary data and job descriptions of business analyst roles across the country. I’d control for confounding factors like years of experience and try to tease out what individual technical skill most correlated with a higher salary.
  • I’d look at the box office and public reviews of movies nominated for the “best picture” Oscar as far back as I can get reliable data and do an analysis trying to answer this question.
  • I would get public data around the top 200 ultra marathons each year going back as far as I can get data. I’d then compare the hometowns of top performers to see if accessibility to trails and good weather correlate with performance on race day.

How to Write a Great Business Analyst Resume

No matter if you’re a senior business analyst or an entry business analyst looking for your first role, the north star of your resume should be to  demonstrate to the hiring manager you’ll have a meaningful impact on their business!

  • Only include hard skills in your “skills” section. If you would not feel comfortable being interviewed about a given skill, don’t include it.
  • Keep your resume to one page and triple-check for spelling and grammar errors. More likely than not you should not include a resume objective or summary.
  • Demonstrate your numerical reasoning skills by quantifying the impact of your past work as a business analyst. If you’re looking for your first BA role, include projects you’ve worked on your resume.

It took me 66 applications before I landed my first business analyst role in 2010 . I know looking for a new job is generally miserable, so try to keep your head high.

Even if you get everything else right but make a typo in your contact information, a recruiter would not be able to get in touch with you. Another thing to focus on is your email address. It should look professional. If in doubt, use the combination of the first and the last name. Although addresses as [email protected] may not be the most creative, they are way better suited for a business analyst resume than something like [email protected] .  

Resume Summary  

A resume objective or summary is a short statement under the contact information. Since it is at the top of your document, every recruiter is likely to read it. That is why it is so important to use this section wisely. Instead of writing what you hope to get from the job, focus on what you can offer the organization. 

If you are a seasoned business analyst, the resume summary section is a perfect place to mention domains you have rich experience in, achievements you are proud of, and relevant certifications you might possess. For example:

Business analyst with 8+ years of experience in the banking sector. Saved a company $500K annually by optimizing work processes and implementing suitable IT solutions. Have a master's degree in Business Administration and Certification of Capability in Business Analysis.    

And what if you are a fresh graduate or a professional who is changing their career path? Although you may not have any impressive achievements in the business analysis field yet, that does not mean you have nothing to offer a company. Highlight your transferable skills or focus on the technical knowledge you have gained at the college. For example:

Hard-working recent graduate with a B.A. in Computer Science who is motivated to join a team of seasoned business analysts at XYZ Company. Detailed-oriented critical thinker with 2+ years of practical experience using Python, SQL and Power BI. 

Your goal here is to grab a recruiter’s attention, and to show them that your resume is worth reading and to highlight that you are a good fit for the job.

Read the job description carefully, analyze what skills and experience an employer is looking for, then identify what from this list you can offer and then highlight those things in your document. And the same "focus on what you can offer" approach should be used when writing your cover letter.

Professional Experience

A well-written business analyst work experience section should demonstrate that you have the skills and experience to do the job. And simply listing everything you have ever done, whether it is relevant for the position you are applying for or not, can only confuse a recruiter. When working on this part of your business analyst resume, keep in mind a few simple tips:

  • Follow the same structure for each position: job title, company name and location, dates, responsibilities, and achievements. For example:

  • Include only relevant duties . There is no need to mention that you made five types of coffees working at a cafe ten years ago if you are applying for a business analyst position now. This information will not provide any value for a hiring manager and will only take precious space on your resume. And even when you describe your last business analyst job, do not attempt to talk about every responsibility you had. You want to keep your resume concise - you are not writing a novel. So, focus on duties that relate to those mentioned in the job description of the role you are applying for.  
  • Do not overuse jargon . Remember that the first person to read your document is a recruiter, not a business analyst. And this person likely has a general understanding of BA's role, but does not know all the details about methodologies and tools used in this work. That is why when describing your experiences you need to find the right balance between jargon and well-known terms, so your document is easy to read and can be understood by all. Not sure how to do that? Use the language of the job description as a guide. 
  • Mention your achievements . Describing concrete results and using specific numbers builds credibility. So, instead of simply stating "Optimized work processes," rephrase it into something like this:

Saved the company 500 man-hours monthly by optimizing work processes. 

  • Give some context to your business analyst skills . Although you will list the technical tools you are familiar with in a separate section, it is good to provide some additional information about how you used the tools in the descriptions of your past jobs. So, instead of simply listing SQL and Python in the skill section, add something like:

Tracked and interpreted customer data using SQL and Python.

These tips are easy to follow if you already have experience in the business analysis field. But what should you do if you are a professional from a different occupation switching into business analysis, or a graduate looking for your first job? Try not to worry, there are steps you can take too! 

If you are changing your career, try to highlight those skills from your previous job that might be valuable in a business analyst position. For example, if you are a former accountant, mention responsibilities where you used your attention to detail and analytical thinking.

If you are a fresh graduate, do not forget that not only experience in full-time paid jobs counts. You can also list relevant academic projects, volunteer work, internships or personal projects you have worked on. And focus more on your education section, which we will discuss next.  

Listing what education you have is not difficult at all. Simply write down the name of your school, the certificate you achieved and the date when you received the certificate. 

However, if you lack work experience in the BA field you should consider extending this section. You can add relevant coursework, or mention some of your project achievements, to give a potential employer additional reasons to hire you. For example:

And if you have taken online courses where you have learnt something that will help you in your business analyst job, by all means mention this in the education section too. 

However, make sure everything you list is relevant. So, you should include the course on data visualization with Tableau, but skip the one on Greek literature. In other words, any program or training you mention should relate to a business analyst’s typical skill set.

Notice that this resume objective doesn't mention education. With over 15 years of proven experience, it doesn't matter as much for this candidate. Their successful track record will be detailed in their resume and achievements discussed during the hiring process.

Your business analyst resume objective shouldn't be more than a few sentences comprising no more than around 50 to 60 words.

Use it to highlight only your strongest hard (technical skills) and soft (interpersonal) skills and include numbers for more impact.

For example, if you have 10 years of experience, the reader knows right away you're not a junior or entry level candidate. If you've saved a previous employer thousands of dollars, include it, but make sure it's relevant.

As a business analyst , you are likely to be applying for roles with big professional organisations, and your CV needs to reflect that.

Follow these formatting guidelines…

  • Use a crisp simple font   to create a professional modern outlook and make the document easy to read
  • Colour scheme should be black text on a white background – again, simplicity and professionalism is key
  • The CV’s sections should be clearly divided with bold headings and borders – this makes it easy for recruiters to skim read and find key info

Firstly, ensure these details are at the top of the CV so they don’t get missed. Don’t make readers hunt around the CV for them.

Secondly don’t take up too much space with them, and only include what is necessary which is:

  • Email address
  • Location (general area and/or where you are looking to work)
  • Telephone number
  • Maybe your LinkedIn profile if you have a good one

Quick tip: You can also add a professional title next to your name (something like Finance business analyst) to set the tone for the CV and create the right first impression .

You do not need to include;

  • Your full address
  • Date of birth

Key responsibilities

Showcase your skills, knowledge and client/colleague/ project manager interactions by bullet pointing your responsibilities in concise sentences.

  • Led requirements gathering – brainstorming sessions, workshops, interviews, user observation.
  • Defined automation processes, user stories, created mock ups and wireframes.

Achievements

Prove your impact by adding some impressive achievements that had a big effect on your projects/customers and quantify them with figures.

  • Achieved complete user satisfaction for the intranet within 10 months through WebEx workshops
  • Saved 2 weeks of manual data input time and circa £5k staffing costs by developing automation scripts

Although your most important qualifications (Prince2, Agile etc.) should be mentioned at the top of your CV in the profile – you should save your full education section for the bottom of your CV.

Education

Here, you can go into more detail by including dates the qualifications were achieved, and expand to talk about degrees, A levels etc. which might not be relevant enough to appear at the top of the CV – but are still worth including.

Hobbies and interests

Hobbies and interests are a totally optional section, and normally won’t make a huge difference when applying for business analysis roles.

If you have some interests that are highly related to your industry or business analysis in general, then it’s worth including a small amount of detail on them at the bottom of the CV.

There’s no need to include socialising with friends or watching TV , they aren’t going to impress anybody.

Résumé Formats

Résumés come in many formats, though they share typical categories of information and features. The three most common formats, which we'll address here, are the reverse chronological résumé , the functional résumé , and the combination résumé .

Reverse Chronological Résumé : This is the traditional format, in which work experience is highlighted and is listed chronologically with the most recent positions listed first. This is a good style for job seekers who already have professional experience in a specific field and who are looking for a new job within the same field.

Functional Résumé : This is a skills-based format, in which specific job skills are highlighted. This is a good style for job seekers without much professional experience, or for those who are looking to move into a new field.

Combination Résumé : This style highlights the job seeker's skills and also provides a chronological listing of experience. An excellent style for foregrounding skills but also providing a work history.

You can (and should) adapt the formats and résumé categories to your own experiences and skills, as well as to the job being targeted. You may want to develop a number of different formats for your résumé, to be used and adapted for different jobs. Don't rely on a single résumé to serve the purpose for all situations: you will need to adapt and revise your résumé and cover letter each time you target a new position.

Typical Categories in a Résumé

Contact information.

Your name and contact information should stand out clearly. Include your name, address, and phone number. You may also include your e-mail address. If your résumé exceeds one page, be sure that your name and contact information are listed at the top of every page.

Objective (Optional)

Your objective should be specific to the job you're targeting. Specify the position, field of work, or skills to be used on the job. Avoid vague statements such as, "I am looking for a challenge" or "I want to work with people." This is where to tell the potential employer, I want to work for you in such and such a capacity, and this is why/these are the skills I can bring to this position . (See sample résumés below.)

Summary of Qualifications (Optional)

Some job seekers substitute a Summary of Qualifications for the Objective. This is a brief description of your background, training, and skills. (See sample résumés below.)

Along with listing your degree (or anticipated degree), recent graduates may also want to include information on curriculum, honors, activities, and study abroad. (See sample résumés below.)

List your title, place of employment, city, state, and dates of employment. Write job descriptions that give evidence that you have the skills the employer wants. (See sample résumés below.)

Activities (Optional)

List activities that are either relevant to this position or can offer the employer a sense of your qualities and qualifications as a job candidate. If you're short on work experience, you may want to provide details of volunteer work or leadership positions you've held in the context of your education or the community. If space is at a premium, you may want simply to list the organizations you're affiliated with and your positions within them. (See sample résumés below.)

Honors/Awards (Optional)

If these are related to your education, you may want to list them above, in the education section of the résumé. If you have a substantial list of honors or awards, a separate category is probably appropriate.

Other Categories (Optional)

The categories in your résumé are used to highlight particular areas of strength or experience. You should create them and adapt them to fit your purposes. Some résumés include categories such as Computer Skills, Related Skills, Leadership, Special Training, Research Experience, Volunteer Work, Internships, etc. Design headings to draw attention to particular, related attributes or experiences.

References (Optional)

Some applicants use "References" as a heading and state "References available upon request." Others don't refer to references in the résumé at all. In either case, it's better to have a separate reference sheet. Most applicants don't provide this with the résumé, but do prepare it to take to a job interview. Employers will ask for references in advance if they want them.
