Only when the sender and the recipient have a shared understanding can communication take place. Common elements such as culture, language, and environment are included in the commonness. For persons with comparable cultural origins, words, phrases, idioms, proverbs, gestures, and expressions have tremendous potential for communication.

Importance of Communication

The idea that effective communication is the only thing that will get the work done is still true despite the tremendous advancements in technology. Understanding the components and varieties of communication is necessary before learning how to communicate with people more effectively. The sender generates the message, followed by the message itself, which should be extremely clear and understood, and the recipient’s responsibility is to decode the message. Types of Communication

Verbal, non-verbal, written, visual, formal, and informal communication are different forms of communication that exist.

Communication is one of the most important elements in society. There is nothing that can take place without communication. To get the best out of any endeavor, the kind of communication that takes place between the parties that are involved has to be effective. This brings out the fact that communication can be effective or ineffective. It is the responsibility of the people involved to ensure that the communication mode that they have adopted meets the standards of effective communication. What are the characteristics of effective communication and what are the communication strategies that can be employed in ensuring that communication is effective? These are the questions that this essay will attempt to answer in addition to determining whether the team has provided effective strategies for communication and the examples of how the strategies they have an employee can be utilized.

Effective communication is specific and clear. The recipient does not have to struggle to understand the message. The recipient is identified and the sender is identified too. In this way, it is not difficult to tell who is sending the message to. Effective communication is also carried out using the best means. Some messages are better conveyed by word of mouth while others are better when sent through written means such as letters. Also, electronic means such as email may be the best means of communication in some cases. Note that electronic communication exists both in verbal form through telephone and written through email. The strategies for good communication include identifying the recipient, the proper identification of the sender of the message that is the main element of the communication, using the right means in message delivery or in carrying out the communication, and proper identification of the purpose of the communication. Also, there is the usage of appropriate language in carrying out the communication as a way of avoiding being misconstrued. The sender intends to convey the right message and inappropriate language can jeopardize this.

A careful examination of the team reveals that they have provided effective communication strategies as a way of making their teamwork more fruitful. These strategies include the identification of the means of communication whereby they have agreed to use the group forum which is essentially an electronic facility for sharing written messages usually called posts. They have also made it clear that the communication between the members of the group has to be respectful. This is a way of ensuring that the conflicts and misunderstandings that emanate from disrespectful or inappropriate communication are avoided. Other strategies that the team has provided include the people who will be sending the messages; who are all the team members, and the people who will be receiving the messages in the communication process; who again happen to be the members of the team. This is ideal given that they are handling group work.

I used these strategies that this team has come up with, some examples can be used. In the case of being respectful while communicating, team member X can make a phone call to another team member Y and if the caller, X, is prompted to leave a voice message because the intended recipient, Y, cannot take the call, A can leave a message telling team member Y that he or she intended to inform him or her about the latest discovery he or she had made on the subject; but since Y is not accessible, X will try calling another time. This is a respectful message that can prompt Y into calling X in a bid to find out more on the subject in general and X’s discovery in particular. But X yelling at Y for not being there to take her calls will constitute disrespectful or inappropriate communication and this can lead to conflicts.

In terms of identifying the best mode of communication, the best example is the fact that the team has chosen electronic means. They have chosen to use the group forum where each member will be able to post their messages. If group member X finds interesting information about the research subject, all that this member has to do is type the message and upload it for the other members to read.

In conclusion, communication is vital in any undertaking. Effective communication strategies are a sure way of success in any undertaking. The group that has been examined in this essay has effective communication strategies since they identify the sender, recipient, and mode of communication.

Communication is sending and receiving messages through verbal or nonverbal means, including speech , or oral communication; writing  and graphical representations (such as infographics, maps, and charts); and  signs , signals, and behavior. More simply, communication is the creation and exchange of meaning . 

Media critic and theorist James Carey defined communication as "a symbolic process whereby reality is produced, maintained, repaired and transformed" in his 1992 book "Communication as Culture," positing that we define our reality via sharing our experience with others.

All creatures on Earth have developed ways to convey their emotions and thoughts to one another. Humans can use words and language to transfer specific meanings, setting them apart from the animal kingdom.

Components of Communication

To break it down, in any communication there is a sender and a receiver, a message, and interpretations of meaning on both ends. The receiver gives feedback to the message's sender, during the message's conveyance and afterward. Feedback signals can be verbal or nonverbal, including nodding in agreement, looking away, sighing, and other gestures.

There's also the context of the message, the environment it's given in, and the potential for interference during its sending or receipt. 

If the receiver can see the sender, he or she can obtain not only the message's contents but also nonverbal communication that the sender is giving off, from confidence to nervousness, professionalism to flippancy. If the receiver can hear the sender, he or she can also pick up cues from the sender's tone of voice, such as emphasis and emotion. 

Rhetorical Communication: The Written Form

Another thing that sets humans apart from their animal cohabiters is our use of writing as a means of communication, which has been a part of the human experience for more than 5,000 years. In fact, the first essay—coincidentally about speaking effectively —is estimated to be from around 3,000 B.C., originating in Egypt though it wasn't until much later that the general population was considered literate .

Still, James C. McCroskey notes in "An Introduction to Rhetorical Communication" that texts like these "are significant because they establish the historical fact that interest in rhetorical communication is nearly 5,000 years old." In fact, McCroskey posits that most ancient texts were written as instructions for communicating effectively, further emphasizing early civilizations' value of furthering the practice.

Through time this reliance has only grown, especially in the Internet age. Today, written or rhetorical communication is the favored and primary means of talking to one another, whether it's an instant message, a text, a Facebook post, or a tweet.

As Daniel Boorstin observed in "Democracy and Its Discontents," the most important single change "in human consciousness in the last century, and especially in the American consciousness, has been the multiplying of the means and forms of what we call 'communication.'" This is especially true in modern times with the advent of texting, email, and social media as forms of communicating with others. With more means of communication, there are more ways to be misunderstood than ever.

If a message contains just the written word (such as a text or email), the sender needs to be confident in its clarity so that it cannot be misinterpreted. Emails can often come off cold or clipped without that being the intention of the sender, for example, yet it's not considered professional to have emoticons in formal communication to help convey the proper meaning and context.  

Before You Open Your Mouth or Hit 'Send'

Consider your audience before preparing your message, whether it's going to be in person one-on-one, in front of an audience, over the phone, or done in writing. Which way will be the most effective? What will you have to do to ensure it's conveyed properly? What do you want to make sure that you don't convey?

If it's important and going to be relayed in a professional context, maybe you'll practice beforehand, prepare slides and graphics, and pick out professional attire so that your appearance or mannerisms don't distract from your message. If you're preparing a written message, proofread it to ensure the recipient's name is spelled correctly, and read it aloud to find dropped words or clunky phrasing before sending it.

The subject of communication has concerned scholars since the time of ancient Greece . Until modern times, however, the topic was usually subsumed under other disciplines and taken for granted as a natural process inherent to each. In 1928 the English literary critic and author I.A. Richards offered one of the first—and in some ways still the best—definitions of communication as a discrete aspect of human enterprise:

Communication takes place when one mind so acts upon its environment that another mind is influenced, and in that other mind an experience occurs which is like the experience in the first mind, and is caused in part by that experience.

Richards’s definition is both general and rough, but its application to nearly all kinds of communication—including those between humans and animals (but excluding machines)—separated the contents of messages from the processes in human affairs by which these messages are transmitted. More recently, questions have been raised concerning the adequacy of any single definition of the term communication as it is currently employed. The American psychiatrist and scholar Jurgen Ruesch identified 40 varieties of disciplinary approaches to the subject, including architectural, anthropological, psychological, political, and many other interpretations of the apparently simple interaction described by Richards. In total, if such informal communications as sexual attraction and play behaviour are included, there exist at least 50 modes of interpersonal communication that draw upon dozens of discrete intellectual disciplines and analytic approaches. Communication may therefore be analyzed in at least 50 different ways.

Interest in communication has been stimulated by advances in science and technology, which, by their nature, have called attention to humans as communicating creatures. Among the first and most dramatic examples of the inventions resulting from technological ingenuity were the telegraph and telephone, followed by others like wireless radio and telephoto devices. The development of popular newspapers and periodicals, broadcasting, motion pictures, and television led to institutional and cultural innovations that permitted efficient and rapid communication between a few individuals and large populations; these media have been responsible for the rise and social power of the new phenomenon of mass communication . Since roughly 1920 the growth and apparent influence of communications technology have attracted the attention of many specialists who have attempted to isolate communication as a specific facet of their particular interest. Psychologists , in their studies of behaviour and mind, have evolved concepts of communication useful to their investigations as well as to certain forms of therapy. Social scientists have identified various forms of communication by which myths , styles of living, mores, and traditions are passed either from generation to generation or from one segment of society to another. Political scientists and economists have recognized that communication of many types lies at the heart of the regularities in the social order. Under the impetus of new technology—particularly high-speed computers—mathematicians and engineers have tried to quantify and measure components of communicated information and to develop methods for translating various types of messages into quantities or amounts amenable to both their procedures and instruments. Numerous and differently phrased questions have been posed by artists, architects, artisans, writers, and others concerning the overall influences of various types of communication. Many researchers, working within the relevant concerns of their disciplines, have also sought possible theories or laws of cause and effect to explain the ways in which human dispositions are affected by certain kinds of communication under certain circumstances, and the reasons for the change.

In the 1960s a Canadian educator, Marshall McLuhan , drew the threads of interest in the field of communication into a view that associated many contemporary psychological and sociological phenomena with the media employed in modern culture . McLuhan’s often repeated idea, “the medium is the message,” stimulated numerous filmmakers, photographers, artists, and others, who adopted McLuhan’s view that contemporary society had moved (or was moving) from a “print” culture to a “visual” one. The particular forms of greatest interest to McLuhan and his followers were those associated with the sophisticated technological instruments for which young people in particular display enthusiasm—namely, motion pictures, television, and sound recordings.

In the late 20th century the main focus of interest in communication drifted away from McLuhanism and began to centre on (1) the mass communication industries, the people who run them, and the effects they have upon their audiences, (2) persuasive communication and the use of technology to influence dispositions, (3) processes of interpersonal communication as mediators of information, (4) dynamics of verbal and nonverbal (and perhaps extrasensory) communication between individuals, (5) perception of different kinds of communications, (6) uses of communication technology for social and artistic purposes, including education in and out of school, and (7) development of relevant criticism for artistic endeavours employing modern communications technology.

In short, a communication expert may be oriented to any of a number of disciplines in a field of inquiry that has, as yet, neither drawn for itself a conclusive roster of subject matter nor agreed upon specific methodologies of analysis.
