How to word a PhD graduation announcement

Let friends and family know that you have completed your Ph.D. degree with an announcement.

Graduating with a Ph.D., the highest academic degree that can be earned, is an accomplishment worthy of a celebration. Let family and friends know about this notable achievement by sending out graduation announcements before the event. These announcements do not serve as invitations to the ceremony or graduation party; they simply notify recipients of the student's achievement. Long-distance family members, professors and long-time friends will appreciate this announcement, so be sure to word it correctly.

  • Graduating with a Ph.D., the highest academic degree that can be earned, is an accomplishment worthy of a celebration.
  • These announcements do not serve as invitations to the ceremony or graduation party; they simply notify recipients of the student's achievement.

Identify the person or school making the announcement on the first line. You, your parents or guardians or your educational institution can announce the completion of your Ph.D. degree. For example, your announcement can say, "Mr. and Mrs. Peter Jenkins proudly announce..." or "The University of Manchester announces..."

List your name after the formal announcement. For example, your announcement can say, "Mr. and Mrs. Peter Jenkins proudly announce the graduation of their son, Charles Thomas" or "The University of Manchester the graduation of Charles Thomas Jenkins."

Include the degree conferred -- in this case, doctor of philosophy -- and the field. Depending on the wording you choose, you can continue the first sentence or begin a new sentence here. For example, you can say, "Charles will earn a doctor of philosophy in biomedical engineering" or you can continue the first sentence by saying, "...with a doctor of philosophy in biomedical engineering."

List the school name if the announcement comes from your parents -- for example, "from the University of Manchester." If you identify the school on the first line of your announcement, you can omit this information here.

  • List your name after the formal announcement.
  • List the school name if the announcement comes from your parents -- for example, "from the University of Manchester."

Provide the commencement information. Even though your recipients may not attend the ceremony, they will want to know when this significant moment takes place. Give as much information about the ceremony as you would like, but the location of the ceremony, date and time are traditional items to include---for example, "Commencement will take place on Saturday, 11th of December, 2014, at Whitworth Hall, Oxford Road, Manchester."

Although you do not want the graduation announcement to seem like a plea for gifts, do not include "No gifts, please" on the invitation. According to Emily Post, this often-used statement ultimately puts the emphasis on gifts, which is not what you want to do.

Graduation announcements are a timeless way of showing off academic accomplishments and, like other cards for milestone events, an easy way to keep in touch with friends and family who might otherwise fall off your social agenda. As the way we communicate changes, some rules for graduation announcement wording and etiquette have modernized and some remain steadfast.

When to send graduation announcements

Plan to send a graduation announcement roughly two weeks before the commencement ceremony or up to 6 weeks after to let all your friends and loved ones know of your grad’s accomplishments.  That way, you’ll give plenty of time to your recipients to respond with a card of their own, if they like, and maybe even a gift for your hard-working scholar. How to write graduation announcement wording

You don’t need to do any voluminous writing here—just focus on the key details: the graduate’s name, class year, and school. Feel free to include a personal touch, like an inspiring quotation the grad likes, or words of gratitude or congratulations, too. If you have a senior portrait or a treasured photo from their time at school, by all means, include it.

Who to send graduation announcements to

A good starting point for your graduation announcements mailing list is anyone you’d send a holiday card to—close friends, extended family, and important acquaintances. You may also consider important teachers, tutors, mentors, counselors, and scholastic colleagues for the mailing, as well. It takes a village, as they say, so make sure everyone’s contributions are recognized.

Really, you can make things as simple or involved as you want, from including just a name, school, and graduation year, to adding the college your kid will soon be attending, or even highlighting which extracurricular activities they were involved in throughout their high school journey.

You might be wondering, what typical wording is for a college graduation announcement . The good news is, it’s usually best to keep things simple and as straightforward as possible, adding just their name, school, and year of graduation. However, there are ways to include other relevant info, if you choose. 

College graduation with honors announcement wording

Every college graduation is impressive and exciting, but when a student graduates with honors, you may want to highlight those extra accomplishments. Thankfully, there are no hard and fast rules as to where you should mention said honors on your graduation announcement. Depending on the design of the card you choose, you can incorporate the information alongside the college name and year. However, we’d suggest against putting your student’s honors front and center on the card, as it might come across as exceptionally braggadocious. (Though, to be fair, your kid has earned the right.)

College graduation announcement wording with mention of a job

The majority of graduates haven’t already found a full-time job upon graduation, so leaving this part out is no big deal. However, if your student has secured an exciting position, you can of course include it in their graduation announcement. At the end of your card, you can simply put, “NAME has accepted a position at NAME OF COMPANY.” 

Medical school graduation announcement wording

Celebrating medical school graduation? You’ll almost certainly want to share the exciting news with family and friends. Here’s a bit of advice on how to word your med school graduation announcements. 

Graduating from medical school is a particularly admirable accomplishment and one that’s very much worthy of highlighting. In addition to your typical graduation announcement wording, mention the medical school and program your graduate is leaving behind. You can also include cute, punny statements like “There’s a doctor in the house!” or something directly related to the field of medicine the graduate will be practicing.

First of all, congratulations on this incredible achievement. Just like before, be sure to clearly state the names, schools, programs, and graduation year of the new doctors. Graduation announcements don’t require your recipients to send gifts in reply. However, if people do send gifts (or bring gifts to a graduation party) you shouldn’t consider the announcement the last word on giving thanks. Have your grad send a thank you note to every gift-giver.

It may seem obvious but don’t forget to include your graduate’s name! For a more formal announcement include first, middle, and last name. For a more casual card, you can include a nickname.

Include the full name of the school they graduated from. For high school graduates , you can also opt to include the name of the college or university they may be headed off to.

4. PARENTS’ NAMES

5. MAJOR OR DEGREE

If this is a college graduation announcement , don’t forget to include what the student studied. If this is a graduate school announcement , let your loved ones know what type of degree your grad received.

HOW TO ADDRESS YOUR GRADUATION ANNOUNCEMENT

  • Print or hand write the recipients’ names and addresses. The family’s name goes on the first line, followed by the street address on the second, and city, state, and zip on the third. If you’re sending it to a family household, you can write “The Brooks Family” instead of listing each individual family member. Alternatively, for a more formal announcement, you may want to address your recipients as Mr. and Mrs. Brooks.   • Choose a return address label or handwrite your return address. Remember that return address labels are relatively inexpensive and having them printed can save a lot of time!

WHOM TO SEND THEM TO

Many people have lost touch with loved ones over the past couple of years. A graduation announcement is a great way to reconnect. You’ll want to send to family members (don’t forget your extended family) and family friends from all stages of life. You can also send this announcement to colleagues or anyone who helped your child along the way (coaches, mentors, teachers from different stages of life). It’s not necessary to send a graduation announcement to classmates of the graduate though, unless you’re having a party and inviting them.

WHEN TO SEND

Unless you’re having a party and you want your announcement to double as an invitation, you have a wide window for when to send your graduation announcement. A great rule of thumb is anytime two weeks before or 6-8 weeks after. If you are having a party, it’s nice to give a month’s notice. If you’re sending your announcement before the graduation ceremony, make sure everything is in order and there’s no reason why your child wouldn’t be able to graduate. If you’re sending after graduation, this gives you an opportunity to include pictures of the graduate in their cap and gown. And while it’s best to send while the news is still fresh, remember that these kinds of announcements are better late than never!

If you're unfamiliar with the etiquette for graduation announcements, it may not be clear what to do when the time comes to send them out. No matter the tone or style you choose, there are some standard etiquette practices everyone can follow.

When Should I Send Graduation Announcements?

According to Fox Business, if you are not planning a graduation party , then send the announcements in the days following the graduation ceremony. If you are planning a party, announcements can be sent with invitations three to four weeks before the events.

How Many Should I Send?

Graduation is an important milestone in a person's life, so send announcements to more people rather than fewer. Even acquaintances will be happy to hear of the accomplishment.

Sending Graduation Announcements

Send announcements to friends, neighbors, and family members you would invite to a birthday party, cookout, or another gathering.

  • Announcements can be ordered through school, online, a local print shop, or created on your computer using printable graduation announcement templates.
  • Write out entire words rather than using abbreviations when addressing the announcements.
  • Since you probably won't be able to invite everyone to the graduation ceremony, you can send announcements after the ceremony takes place.

Once an announcement has been chosen, it can seem complicated to put together. Keep these tips in mind when preparing the mailing:

  • If your announcements came with vellum paper, it goes on the inside of the announcement.

At my home, we love counting down the days until our next celebration! To help, I downloaded a clock application to our home computer screen. I input the date, and we (especially the boys!) enjoy seeing how many days it is until the big event.

Today the clock reads, “One Year, One Month, and 15 Days Until Marc Graduates from High School!” All the other countdowns I’ve anticipated with joy; this one I look at with an odd avoidance. I can’t come to terms yet with the fact that his childhood is speeding to the finish line.

52 Hours and Then It Began

Marc’s birth was biblical in its intensity. I was in labor for three days. Then the anguish began; it took another 52 hours of torturous birthing pains to bring that boy into the world. By hour 35 I was unable to feel anything but a dread of another contraction.

I was out of screams.

I was out of tears.

It was as beautiful (in hindsight) as it was grueling, and at any instant, I can transport myself back to the very moment at the end of hour 52 when the doctor said, “One more push, Maralee. One more and it will be over.”

New power came from within me. I exerted myself beyond Olympic proportions.

I pushedddddddddd .

As I did, his head and shoulders finally emerged, and the doctor gently pulled him from my womb.

It’s odd that the doctor had said, “One more push and it will all be over.”

She should have said, “One more push…and it will all begin.” The sleepless nights. The distress over every little sneeze or cough. The worry about what schools he’ll attend from pre-K through twelfth grade. Wondering whether I’m doing everything “right” or I’m “ruining” him. It all began with that last push.

For the life of me, it couldn’t be — hasn’t been — almost 18 years since that moment. Now, there’s just a year left until he leaves our home for his dorm room. I shouldn’t cry over it; I should rejoice for this new chapter he’ll enter. I’m just not there yet. I can’t imagine not living under the same roof as my first born.

Commence = To Begin

If you think about it, there’s a good reason why a graduation ceremony is officially called a commencement . To commence means “to begin.” I always thought it meant the end of something.

I was wrong.

It’s the recognition of a future full of brand-new possibilities. No wonder it’s celebrated by students, their parents, and loved ones.

Graduation needs celebrating. It helps dry the tears caused by our little ones having grown while our eyes were mid-blink.

Graduation Etiquette — The Top Eleven Manners of Graduation for Grads, Guests, and Families

If you have a graduate in your house, or you’ve been invited to a ceremony or party or received an announcement, here’s the graduation etiquette for how you can join in celebrating the new beginning with ease, sincerity, and graciousness!

1. Believe it or not, a gift isn’t required if you receive a graduation announcement.

Announcements are simply the family’s way of “announcing” the news to the people in their circle. (A gift is required if you receive an invitation to the ceremony and attend.)

2. While a gift isn’t required if you receive just a graduation announcement, you can certainly send one if you like.

Most people do send the graduate a gift when they receive an announcement.  Even if you don’t send a gift, a card of congratulations and best wishes should be given in reply to the announcement.

3. Here’s how to know who to send a graduation announcement to.

Because so many people believe they “should” send a gift to the graduate when they receive an announcement, it’s gracious to limit sending them only to relatives and those with whom you’re in regular contact. Here are two ways to help decide whether you should send someone an announcement:

• If you send holiday cards and wouldn’t usually send one to this particular person, then you wouldn’t send a graduation announcement.

• You wouldn’t send graduation announcements to anyone whom the graduate wouldn’t recognize in person. They’re sent to most family members, but for those outside of the family, announcements are only sent to people the graduate knows, not to those who have relationships exclusively with the parents of the graduate.

4. If you know of someone who is graduating and you didn’t receive an announcement, you can send a card or gift if you’d like.

I’m sure the graduate and family will be honored and happily surprised.

5. If you attend a commencement ceremony or party, then you’ll want to bring a gift.

You can bring it with you or have it delivered to the graduate’s home prior to the party.

Grace Note: The best gifts are ones that graduates will use in their next stage of life. For tech school, four-year college, grad school, or first job and apartment, think of what would come in handy and buy accordingly.

For graduations, money, or pre-paid debit cards, make great gifts. While it’s not a very personal gift (you can buy those in the years ahead for their wedding and then baby shower), young people are rather hard to buy for, and they do appreciate — and usually need – cash.

How Much Should You Spend On a Graduation Gift?

That depends on how well you know the graduate and on your budget. A casual acquaintance might give $20, an aunt or uncle might give $100 to $500. For a grandparent, the sky is the limit. However, don’t give more than you can afford. An aunt or uncle can just as graciously give $20. A grandparent on a fixed income might give a handwritten letter of love and best advice. Give from your heart, and give only what you can afford. Don’t let a norm put you in a financial bind. If you need to spend less than $20, and you feel embarrassed (you shouldn’t), you can purchase a store-bought gift instead of giving cash. That way the recipient doesn’t know how much you spent.

And besides, with the internet, you can find great deals. For instance, check out the Amazon.com  outlet shopping  clearance  page . They offer deep-discount bargains on quality items.

6. Graduation Parties Are One of the Only Parties Where the Guest of Honor Doesn’t Have to Stay Throughout the Party.

Graduates often attend several parties in one night since their friends are graduating with them and they need to stop by those parties, too. That’s why this is the one time when the guests of honor aren’t expected to spend the whole evening at their own party.

The graduate(s) should stay for the first 45 minutes to one hour of their own party to welcome all the guests. Guests should arrive at the start of the party to see the graduates before they leave for the next celebration.

At the party, the graduates need to speak to each of their guests, not just their friends. They’re entering the adult world. It’s time for them to step up their conversation game. Knowing what to say can be hard for anyone, not just young adults. This post shares the best things to say at a party and how to start conversations .

7. Have the graduate send handwritten thank you notes within two weeks of receiving a gift. Why handwritten?

(You know your graduates are probably going to ask you why they can’t just email or text their thanks.) It takes extra effort to choose and purchase a gift. The extra effort it takes to handwrite the note is giving equal honor to the present. This applies to cash and gift cards, too. And no, Mom, you can’t write the notes yourself if your child is graduating from anything higher than kindergarten. You can sit next to your high school graduates and guide them through the process, but they need to write the cards.

Here’s How to Get Your Graduate to Write ALL Their Thank you Notes In a Timely Manner.

I’ve received countless letters from frustrated parents who can’t for the life of them get their graduates to send thank you notes. Let’s face it, it’s easier to make our 8-year-olds do something than our 17-year-olds. But there is something you can do to guarantee they’ll have their cards written and in the mail faster than any of their friends. From personal experience, I can tell you it works. Take EVERY gift they receive: cash, gift cards, physical items — everything — and hide them. When they show you the thoughtful thank you note they wrote along with the stamped, addressed envelope, exchange the gift for their thank you card! (You supply the cards, envelopes, and stamps for them.) You can drop the card in the mail to make sure it goes out, and they can enjoy their gift. It works. Every. Single. Time. Will they complain? Yes. Will they write their cards within days? Yes!! Will they be complimented by friends and relatives for expressing appreciation for their gifts, and will they like that feeling, and will that feeling make them less hesitant to write thank you cards in the future? Yes!!!

8. Party decorations can be anything, but it’s nice when they focus on the next stage of the graduate’s life.

Going off to the University of Georgia this fall? (Go Dawgs!) Then decorate in the school colors — and don’t forget your cardboard cutouts of Uga the Bulldog!

9. When should invitations to graduation parties and ceremonies be sent?

Invitations to graduation parties are sent at least two weeks in advance. Although, earlier is better if you think your guests know quite a few people graduating around the same time. Up to six weeks in advance is fine.

Invitations to the ceremony are sent up to six weeks in advance, especially to anyone who is traveling from more than 100 miles away, because they might want to book overnight accommodations.

10. When are graduation announcements mailed?

Announcements, unlike invitations, are mailed any time from one day to two weeks after the graduation.

They’re informing others that you graduated, not that you’re about to graduate.

11. One last tip. This one is for graduates :

Don’t register for gifts! Leave that for your future wedding and baby showers. When it comes to gifts, whether it’s something you would have chosen or not, know that it’s an expression of the person’s heart for you! However, if people ask you or your parents what you’d like, you can certainly answer their question!

The most important etiquette of all for graduates and their families: have fun and celebrate! You’ve accomplished something great, and you and your accomplishment deserve to be celebrated. Now for all us moms : whether our children are graduating from kindergarten, high school, or college, as a dear friend once shared with me, “Dry your tears and be glad your children are the age they are. During Degree Program

Step 1: submit plan of study (deadline by completion of 18 credits).

Submit an approved Plan of Study to the Office of the Registrar no later than the completion of 18 credits.

Step 2: Submit General Exam

See  Doctoral Degree Programs  for more information about degree requirements and graduation information. Be sure to submit the required paperwork below by the published deadline on the Academic Calendar :

  • Report on the General Examination for the Doctoral Degree . Submit once examination has been completed.

Step 3: Defend prospectus

Submit the following form to the Office of the Registrar after successfully defending your prospectus: Dissertation Proposal

Final Semester

Planning for defense and graduation.

Important Reminders

  • Details concerning requirements are outlined in pages 18-20 in the Graduate School Catalog .
  • Students’ oral defense of the dissertation can be either virtual or in-person.
  • The oral defense of the dissertation must be announced publicly by means of the University’s online Events Calendar at least two weeks prior to the date of the defense (See Step 6).
  • Not fewer than 5 members of the faculty, including all members of the candidate’s advisory committee, must participate in the final examination (either virtually or in-person).

Step 4: Apply to Graduate (deadline by 4th week of final semester)

Students who are candidates for graduation must apply to graduate through the  Student Administration System . Apply to graduate by the  fourth week  of your final semester for each degree you are completing (or the spring semester for summer graduates). You can apply to graduate once registration for your last semester opens up. The Degree Audit section of the Office of the Registrar will then determine whether all degree requirements will be satisfied by the end of your final semester.

Step 5: Check name and address

Please verify the spelling, capitalization, and punctuation of your name and the accuracy of the address where your diploma should be sent two months after conferral in the Student Administration System. For instructions, see Verify Diploma Name and Address on Graduation Status Page .

  • Your Degree Name will be printed on the diploma. Degree Name must share the same last name as your Primary Name. Changes to last name require official documentation submitted to the Office of the Registrar.
  • The mailing/billing address is where diplomas will be mailed unless a separate Diploma Address has been designated. Diplomas are mailed approximately two months after conferral, so the address should be appropriate for that timeframe.

Diplomas reprinted due to incorrect name or improper address will incur a cost for replacement. Please note there may be implications if the name on your diploma differs from the name in your record, such as an inability to verify your degree, or change in licensure or VISA status.

Step 6: Prepare for oral defense (Two weeks prior to oral defense)

Your advisory committee will need to review your dissertation prior to your defense. Be sure to format your dissertation (see Dissertation Information for detailed specifications).

You and your advisory committee determine the date when you are ready to defend your dissertation. As you prepare for the oral defense of your dissertation, please follow these instructions:

Announce your oral defense in the  UConn Events Calendar  at least two weeks before the date of your defense. Be sure to follow the posting guidelines below. Announcements submitted that do not follow the posting guidelines will be rejected.

If there are difficulties encountered, please email  [email protected]  with details of the problem.

  • Go to  https://events.uconn.edu/submit .
  • Set  Submit to Calendar: as  Graduate School – Theses and Dissertation Defenses .
  • Enter your name and UConn email address.
  • Event Title: Enter  Doctoral Dissertation Oral Defense of (Dissertator’s Name).
  • Date and Time:  Set the appropriate date and time of your defense.
  • Brief Event Description:  Enter the title of your dissertation here. Be sure to indicate your doctoral field of study. An additional 1-2 sentences about your thesis or dissertation are welcome.
  • Event Contact Information: Please include your name and contact information should someone want to contact you about the event.
  • URL: A pertinent link is welcome, but not required.

Step 7: Submit final paperwork (deadline published on Academic Calendar)

See  Doctoral Degree Programs  for more information about degree requirements and graduation information. Be sure to submit the required paperwork below by the published deadline on the  Academic Calendar :

  • All candidates : Survey of Earned Doctorates Completion Certificate
  • The approval page will be routed to the Registrar's office when the final committee approval is submitted.
  • The final exam report is a web form that will be routed to the Registrar's office when the final committee approval is submitted.

Step 8: Submit dissertation

After you successfully complete your defense, your committee may require further revisions of your dissertation. Once you have completed all necessary revisions and have final approval, you are ready to prepare the final copy of your dissertation for submission (see Dissertation Information section below for details).

  • Submit ONE electronic copy of your dissertation to Submittable . Follow the instructions found in the Submittable help file .
  • Effective May 9, 2016, a printed copy of the dissertation is no longer required to be submitted.
  • To ensure efficient degree auditing of student records at graduation time, please be sure you have already submitted a Doctoral Plan of Study, a Report on the General Examination for the Doctoral Degree, and a Dissertation Proposal for the Doctoral Degree to the Office of the Registrar. Review your transcript and make sure grades are posted for all courses listed on your plan of study including dissertation research credits. Any discrepancies cause delays in graduation.
  • Your electronically submitted dissertation will be reviewed by the Office of the Registrar administrator for format compliance and you will receive notification if any revisions need to be made. Once the dissertation is approved by the Office of the Registrar administrator, your dissertation will be posted to Submittable and will be publicly viewable on the web according to the embargo period you selected. You will receive notification via email of the posting.  You will not be able to make changes or revisions to your dissertation submission after it has been approved and published in the Doctoral Dissertation Collection of UConn’s Submittable .

Step 9: Check email to confirm progress of steps to graduation (By end of final semester)

You should receive emails during and after your final semester:

  • indicating that your degree has been awarded, and
  • notifying you once diplomas are mailed out.

Changing graduation term

Students who have applied for graduation who later determines that they will not complete their requirements by the graduation deadlines due to incomplete grades, a change in their defense date for a dissertation, or a change in the final exam date can contact their degree auditor ( [email protected] ) through the Degree Audit section in the Office of the Registrar to discuss future deadlines and to determine if enrollment is required for the next semester.

Close-out (3-4 weeks after conferral)

Three to four weeks after conferral, the graduating class will be closed out; all degrees will be posted by this date to qualify for graduation.

IMPORTANT NOTE:  Your dissertation is a publication reflecting the results of your research and academic pursuits; it is a direct representation of you, your research, and your department. Once approved for publication in the time frame you selected, your dissertation is available for the access you have specified. It is the responsibility of the doctoral student and the student’s advisory committee to assure that the dissertation is of ready-to-publish appearance and quality.

Dissertation Specifications

Use this properly formatted  dissertation sample for guidance .

  • Abstract:  An abstract is required. The body of the abstract may not exceed 350 words in length. Please see the sample in the required formatting link above.
  • Minimum Margins:  The minimum acceptable margins for all pages of the dissertation and the abstract are 1 inch on left and 1 inch on the top, bottom, and right.
  • Font and Point Size:  Recommended fonts include Arial, Times New Roman, and Helvetica with a point size of either 11 or 12.
  • Print:  Print should be clear, clean, and dark with no shadows or stray marks.  Remember to remove tracking changes.
  • Spacing:  The text of the dissertation should be double-spaced. Long quotations, footnotes, appendices, and references may be single-spaced.
  • Photographs and Graphics:  Photographs, graphics, and scanned images in the dissertation should be high quality. The use of color is acceptable.
  • Use of materials copyrighted by others:  Any material included that goes beyond “fair use” requires written permission of the copyright owner. See specifications on Submittable. It may be useful to include these in the dissertation as an appendix.
  • Pagination: Preliminary pages (the title page, optional copyright page, acknowledgments, table of contents, and the like) are to be numbered consecutively using lower case Roman numerals.  The title page number may be suppressed. All pages of the text, appendices (if any), and references must be numbered consecutively using Arabic numerals. The abstract is not paginated. Page number locations should be consistent throughout the document.
  • Landscape pages:  The top of a landscape page should be at the left margin and the bottom at the right margin. The page number is to be in the same relative position as on the portrait pages.
  • Sequence of the main components of the dissertation: The appropriate order of the major sections of the dissertation follows: the abstract, the title page, the copyright page (optional), the advisory committee page, acknowledgments, table of contents, the text, appendices (if any), and the references. The order of the appendices and the references may be reversed if the appendices are lengthy.
  • Footnotes, Endnotes, and References:  The format that is accepted in your discipline or that is prescribed by your advisory committee should be followed.
  • Photocopied journal articles in the dissertation:  When appropriate, photocopied articles already published in journals may be included in a dissertation. Photocopying must conform to the margins noted above. An original letter from each journal, granting permission for the inclusion of the photocopied article in the dissertation is necessary to assure that there are no permission issues or violations of copyright. In requesting a letter of permission, it is important to tell the journal that Submittable will be posting the dissertation to third party search engines. The journal usually will require that the journal be the first publisher of the article. Please retain a copy of all permissions granted for your personal file.

Final Review

The dissertation title must be consistent on all pages. Double check your dissertation prior to submission for grammatical errors, punctuation, capitalization, and spelling. Look for appropriate conversion of symbols and fonts and verify that graphs and charts meet expectations.

The Office of the Registrar does not edit for content, spelling, or grammar. Please consult your advisor and committee for specific content requirements in your field of study. Proofreading is the responsibility of the student and his or her advisor. Committee members attest to acceptability when they sign your Approval Pages.

Use your full legal name on the abstract, the title page, the copyright page (if appropriate), and on the approval page. These pages must be formatted according to the samples in the required formatting link above. Please make certain that your name and title appear exactly the same way in all places.

Please take a moment to check that all pages in your dissertation are accounted for and are in the proper order when submitting the electronic copy to Submittable. The Graduate School will not accept dissertations that do not comply with the specifications.

Prior to entering into the publishing agreement with Submittable, discuss embargo periods with your major advisor. Each department may have specific suggestions for the author designated embargo periods and agreement with your major advisor should be made  in advance . Available options for the embargo period are: 0 or no embargo requested, six months, one year up to 10 years.

Some graduate programs may have additional requirements regarding the format of dissertations. Students should check with their major advisor and/or graduate program director concerning any such program requirements.

Why does my defense date not appear on my transcript?

Your defense date is significant, but it does not indicate that you have completed all the requirements. You may still have revisions and final approvals to obtain. The date you submit the completed dissertation and approvals to the Office of the Registrar is your completion date. Refer to Academic Calendar for specific submission deadlines for each conferral period.

How do I submit my paperwork?

Completed signed forms for Doctoral programs should be emailed as a PDF file to [email protected] or [email protected] .  Original, scanned, or electronic signatures are accepted.  It is recommended students complete the forms and email their advisory committee as a whole and request they reply all their approval with   [email protected] copied in.  Doctoral forms required for submission can be found using the Forms section of the Registrar’s Office webpage.

Please refer to the Submitting your Dissertation section for information about that process.  The Dissertation Approval Page is a webform that routes to your committee for approvals. Once the final committee member has approved the page it will be routed to the Degree Audit office.  You do not need to submit an additional approval page document.

The Dissertation Tentative Approval Page and working copy of the dissertation are no longer required to be submitted to the Office of the Registrar.    If your advisory committee requires a copy of the dissertation before your defense, please email it to them directly.  

Keep copies of all documents for your records. All members of a student’s advisory committee must provide an original signature in one of in the above ways however, signatures may be on different pages or come from multiple faculty emails.  

Does the Registrar’s office need a copy of my Dissertation?

Other than the electronic copy you upload, no additional copy needs to be submitted.

What’s my Completion Date?

The completion date signifies the point at which a student has been separated from active status at the University. For Spring and Fall semester graduates, the University conferral date will also represent the completion date, provided all degree requirements are completed by necessary deadlines. Graduates completing during the summer will have a completion date determined by the submission of their final approved paperwork and/or completion of their enrollment. As students are no longer eligible to work as graduate assistants after their completion date, students should coordinate the end date of any summer employment with the submission of their final paperwork.

For students completing prior to the end of the Fall or Spring semester an alternate completion date can be requested upon submission of all final paperwork and completion of your academic engagement. Students should typically only request an alternate completion date if enrolled solely in research credits or independent study credits for the semester. Please note, if enrolled in a class that will not have completed and had a grade posted prior to the requested completion date, then an alternate completion date may not be possible. An  Alternate Completion Date Request  form must be submitted to the Graduate School for approval for International students or those with Graduate Assistantships.

Final paperwork approved and submitted past the posted deadline, but prior to 10th day of the Fall or Spring semester, requires no additional enrollment by a student. Students who choose to self-enroll but submit final documents for graduation prior to the 10th day are still responsible for any tuition/fees incurred.  Submission after the 10th day of Fall or Spring semester will require enrollment for that semester.

What fees am I required to pay?

There are no additional fees. It is an added benefit to submitting your dissertation electronically to Submittable.

Is there anything else I need to do?

Yes, please be certain to apply online through your Student Administration System account for graduation early in the semester or summer in which you expect to complete all degree requirements. Verify that all required documents including the dissertation proposal have been submitted and approved at least two months prior to your defense date. The courses and requirements listed on your plan of study should be accounted for in your transcript and all grades should be posted. Contact your major advisor or instructor regarding grade discrepancies, incomplete or missing grades including dissertation research credits. Other changes or adjustments to your plan of study should be submitted on a Request for Changes to Plan of Study form prior to submission of your dissertation

When will I see my degree posted to my transcript?

Once the dissertation is submitted, each student’s individual record must be audited for compliance to degree requirements and fulfillment. Errors or discrepancies not previously addressed must be resolved by the major advisor and student through documentation. It is a detailed process where errors delay completion. Once the audit is satisfactorily completed, your degree will be conferred, and you will receive a degree completion letter from the Dean of the Office of the Registrar. At this point, conferral of your degree will appear on your official transcript.

How to write a doctoral degree newspaper announcement?

I really don't want them to, but my parents are insistent that they get to put an announcement about my PhD convocation in their local newspaper (its a very small town). I have no idea what I want to say, let a lone how to say it. Does anyone have any great ideas?

I was thinking of "Mr. and Mrs. nanuq905 are proud to announce..." but that's as far as I got before stumbling on the wording. "Successfully defended thesis?" "Earned a doctoral degree?"

Room Star Jacob Tremblay Celebrates His High School Graduation

The years are flying by for Jacob Tremblay .

Tremblay, the 17-year-old actor best known for his breakout role in the 2015 movie Room , shared on Instagram on Tuesday, June 18, that he has graduated from Walnut Grove Secondary School in Langley, British Columbia. The actor posted multiple photos of himself wearing his cap and gown to the social media platform, as well as a video of himself receiving his diploma on stage and a second video showing him making a humorous pose during the ceremony.

"Congratulations WGSS Class of 2024!" he wrote in a caption to his photos. In his post, Tremblay also shared a photo of his entire graduating class standing together outside their school. In his Instagram Stories, the Good Boys star also shared a photo of a pair of white sneakers with a cap and gown drawn on one shoe; the phrase "Class of 2024" appeared to be drawn on the other shoe.

Tremblay, who will turn 18 on October 6, received his first screen credits in 2013 with appearances in the television series Motive and Mr. Young , as well as with a voice role in that year's The Smurfs 2 . He gained fame at just 9 years old for costarring with Brie Larson in Room , which followed the pair as a mother-son duo who have been held captive by a man for Tremblay's character's entire life.

In recent years, Tremblay has remained actively working in the film and television industry while completing high school in his native Canada. He memorably voiced the fish Flounder in Disney's 2023 live-action remake of The Little Mermaid and has appeared in or voiced characters in six total films in the last two years. Tremblay most recently voiced the lead character in the Netflix animated film Orion and the Dark , released in February.

Tremblay has made a point of calling out how much he's grown up in the years since he first caught moviegoers' attentions in Room . Shortly after the actor's 16th birthday in October 2022, he shared two photos on X , then known as Twitter, showing him at 9 years old in November 2015 side-by-side with an image of himself at the 2022 premiere of his animated movie  My Father's Dragon .

More than 4,700 graduate from UO; dozens walk out as president begins speaking

EUGENE, Ore. — Dozens of students walked out of the University of Oregon commencement ceremony Monday afternoon a few minutes after the president of the university began to speak.

One of the students that walked out was seen carrying a Palestinian flag as they were chanting "long live Palestine."

Those students were among over 4,700 members of the class of 2024 who graduated from the UO Monday. Oregon's 147th commencement took place at Autzen Stadium.

Former UO grad Sarah Mensah, the president of Nike's Jordan brand, was the keynote speaker.

Over 3,600 of the graduates are receiving bachelor's degrees.

The youngest grad is 19 years old; the oldest is 71.

Students in New York may no longer have to pass Regents exams to graduate

A 159-year-old tradition may be coming to an end for high school students in New York state.

 the 159-year-old tradition of taking regents exams to graduate from high school could be coming to an end  nysed's board of regents announced their vision to assess students' readiness for graduation differently  it includes cultural competency and credits earned from approved learning and service-based experiences regents will still be used to assess students based on nys standards' but will not determine ability to graduate.

Regents exams have been administered since 1865 and the graduation of a student hinges on passing them. On Monday, the New York State Department of Education’s Board of Regents shared their  vision to transform the track to graduation.

“It’s going to provide a lot of alternatives for kids because we know kids don’t come in one package, one form,” said Mark Laurrie, superintendent at Niagara Falls City Schools.

The plan has four main points. The first is called “adopting the NYS Portrait of a Graduate,” which assesses students on their readiness to graduate based on the following criteria:

  • Critical thinking
  • Innovative problem solving
  • Literacy across content areas
  • Cultural competence
  • Social-emotional competence
  • Effective communication
  • Being a global citizen

The second part redefines credits. It allows students to accumulate credits through means other than time-specified units. These include approved work or service-based learning, dual credit programs like early college, getting a New York state seal or credential, participating in the arts and passing exams, including Regents.

This section, Board of Regents members said, would support students with disabilities and English language learners.

“True equity and excellence in education is achievable — but only if we provide all students with meaningful educational opportunities and multiple avenues for them to demonstrate their mastery of the State’s rigorous learning standards,” Lester W. Young, Jr., Board of Regents chancellor, said in part in a statement.

The third part removes the requirement to pass Regents exams to graduate, but they will remain an option to assess students based on state standards. They will not be the reason students graduate. Additionally, state-level assessments required by federal law will remain in place.

These recommendations were supported by the New York State United Teachers (NYSUT), which issued a statement, saying:

"We know that every student is unique with their own talents, skills and aspirations. The way students learn is also unique to them. Moving away from a one-size-fits-all test-centered approach to graduation requirements is a good thing, which we laid out in our  More Teaching Less Testing Task Force Report  released last year."

In November, New Yorkers will know more about projected timelines, regulations and other considerations.

When Katelyn Kirchner arrived at Penn State seven years ago as an undergraduate studying materials science and engineering, glass was for windows.

“I remember being in a first-year seminar class and my professor, Carlo Pantano, talked about a material that looks like a cotton ball except it’s borate glass that you can put in a bullet wound to clot blood and prevent critical blood loss,” Kirchner said. “When I was thinking of glass, I was thinking about windows, not advanced biomaterials.” Read more

  • RSVP date and instructions

Graduation invitation example with proper wording

Be Conversational

  • Recognize that the graduation invite should be half of a conversation, rather than a formal declaration. Be sure to include yourself in the wording as well and avoid using the passive voice instead, rely on the active voice. For example, replace The party is being held at ____ with We’re having the party at ____.
  • Keep the wording simple and brief by cutting longer sentences in half. Don’t be afraid to start your sentences with conjunctions such as and, but, because, etc., or to use contractions such as we’re, she’s, you’ll, etc.
  • Above all, be sure that while you’re limiting your formality, you’re retaining clarity—you want your guests to be able to actually understand what your invitation is trying to say.
  • A quick introductory sentence, such as “Celebrate with us,” followed by the party logistics including the event, date, time, location, RSVP contact number, etc should do the trick.
  • Consider including future plans.
  • Close with a friendly farewell.
  • When it comes to visuals, you can use senior pictures , images of the grad through different stages of his or her life, or photographs of the grad with friends or family, etc.

Be Specific About Accomplishments

  • Let recipients know what those accomplishments are, by briefly mentioning them in the invitation.

Be Ceremonial

  • Use formal titles, the graduate’s and hosts’ full names.
  • Avoid contractions.
  • Spell out common abbreviations and all numbers.

Consider The Theme

  • If, for example, the party has a Luau theme, then use the Shutterfly graduation invite personalization options to select a bright color scheme, as well as an appropriate font (such as ‘Zalderdash’ or ‘Felt Tip Roman’).

Audience: who to invite to graduation ceremony, consider your relationship.

  • For invitations being sent to family members, or even close friends, consider including a separate, personal newsletter-style note detailing what the graduate has been up to, and what his or her plans are for the future. This note can either be placed directly in the envelope with the graduation invite, or sent separately. Including a short newsletter will allow you to make the invitations more personal for specific recipients, without needing to change the wording or the design of the invitation itself.

Consider The Personal Family Situation

  • Instead of tailoring your invitations only towards the classically defined family (husband, wife, kids), make it more open, and less specific.

291 high school cadets graduate from SC State’s JROTC STEM Camp

ORANGEBURG, S.C. – The voices of junior cadets rang throughout the South Carolina State University Martin Luther King Jr. Auditorium on Friday, June 14, as they marched in, singing military hymns to commemorate their graduation from JROTC STEM Camp.

Even though this was only the third-annual JROTC STEM Camp presented by the SC State ROTC program, the camp had a large turnout.

Roberts is an honor cadet from the U.S. Army Alpha company. He is a senior from Cleveland High School in Clayton, North Carolina.

“Overall, it was a great experience. I learned a lot of leadership skills as well as STEM skills and I would rate this camp a 10 out of 10,” Roberts said.

At Friday’s graduation ceremony, 291 JROTC cadets from 27 high schools across the states of North Carolina and South Carolina received certificates and were congratulated on their diligence and hard work throughout the camp. Honor cadets were awarded medallions.

Junior cadets received STEM lessons and participated in activities provided by SC State’s College of Science, Technology, Engineering, Mathematics & Transportation (STEM-T). Cadets also created STEM projects and received hands-on military, archery and water safety training.

Military and STEM professionals from various organizations visited the camp to inform students on their professions to help give them ideas on what they could in their careers.

The cadets also had the opportunity to visit different STEM-related sites around the state including the Medical University of South Carolina (MUSC) in Orangeburg and the South Carolina State Museum in Columbia, South Carolina.

“The camp was very informative and provided me the opportunity to learn more about electrical engineering, which is my main focus and the module that I participated in,” said Taylor Lewis, distinguished superior cadet and battalion commander. “We learned about circuits, we learned about ultrasonic sound, and things of that nature.”

“The camp also provided me with hands-on experience and leadership experience and I’m very grateful to be here. I look forward to coming back next year,” Lewis said.

SC State’s ROTC program educated the cadets on scholarships offered by the program and how it can benefit their futures at SC State and in the military. The camp also offered a university student panel for cadets to ask questions and get more information on what it is like to be a college student and cadet on campus.

The goal of this program is to educate JROTC cadets on the opportunities and benefits of the SC State’s ROTC and STEM-T programs, while also increasing the number of cadets who are willing to commit to the ROTC program.  

“It was really fun. It taught me a lot – it taught me about what I want to do in life. It taught me leadership skills too,” Ayreana Speight said.

Speight is a platoon sergeant and senior from Southern Lee High School, Sanford North Carolina, who plans to start her academic career and join the ROTC program at SC State.

“SC State is my top school, so I do plan to come here next year. I love the people and how they come together, and I love the HBCU (Historically Black College and University) atmosphere. I want to do cyber security – that’s what I plan to major in,” she said.
