What is Time Management Presentation

Time management in presentation refers to the ability to effectively allocate and utilize the limited time available to deliver a clear and concise message to the audience. It involves planning and organizing the content of the presentation in a way that ensures all key points are covered within the allotted time frame. This includes setting a clear agenda, prioritizing information, and practicing to ensure smooth transitions between topics.

Effective time management in presentation also involves being mindful of the audience’s attention span and adjusting the pace of delivery accordingly. It is important to strike a balance between providing enough detail to convey the message effectively and avoiding unnecessary information that may detract from the main points.

The Significance of Time Management in a Presentation

Effective time management is crucial in a presentation as it demonstrates consideration for the audience’s time. When attendees come to a presentation, they expect to receive useful information within a specific timeframe. Failing to manage time properly can result in a disorganized and chaotic presentation, leaving the audience feeling dissatisfied and frustrated. Furthermore, proper time management in a presentation helps maintain the structure and flow of the content. By carefully planning the timing of each segment, the presenter can ensure a seamless transition between topics and avoid hastily covering important points. This creates a more coherent and engaging presentation that is easier for the audience to follow.

10 Efficient Tactics for Time Management during a Presentation

Time management during a presentation is crucial for ensuring that you are able to effectively convey your message and engage your audience . Here are 10 efficient tactics to help you make the most of your time during a presentation:

1. Set clear objectives:

When preparing for your presentation, take the time to clearly define your goals and objectives. Consider what you want your audience to take away from your presentation and what actions you want them to take as a result. Having a clear understanding of your objectives will not only help you stay focused during your presentation, but it will also guide your content and delivery.

Additionally, consider the needs and expectations of your audience. Tailor your presentation to address their interests and concerns, and think about how you can engage them throughout the presentation. This will help you keep their attention and ensure that your message resonates with them.

It’s also important to have a clear structure for your presentation. Organize your content in a logical and coherent manner, with a clear introduction, body, and conclusion. This will help you communicate your message effectively and make it easier for your audience to follow along.

Practice your presentation beforehand to ensure that you are comfortable with the material and confident in your delivery. Rehearsing will help you identify any areas that need improvement and allow you to make any necessary adjustments before the actual presentation. By taking the time to prepare and plan ahead, you will be better equipped to achieve your objectives and deliver a successful presentation.

2. Create a detailed outline:

A well-organized outline is like a roadmap for your writing. It helps you to structure your thoughts and ideas in a logical order, making it easier to stay focused on your main topic. By breaking down your main points into subtopics and organizing them in a clear and coherent manner, you can ensure that you cover all the key points you want to address in your writing.

An outline also helps you to see the overall flow of your writing and identify any gaps or areas that need further development. It can serve as a guide to keep you on track and prevent you from going off on tangents or getting lost in irrelevant details.

In addition, a well-organized outline can save you time and effort in the long run. By planning out your writing in advance, you can avoid the frustration of having to backtrack or rewrite large sections of your work. It can also help you to write more efficiently, as you can easily refer back to your outline to see what points you still need to cover.

3. Practice, practice, practice:

Practice Presentaion

Rehearsing your presentation multiple times is crucial for ensuring that you are well-prepared and confident when it comes time to deliver your speech. By going over the material repeatedly, you will become more familiar with the content, allowing you to speak more fluently and confidently. This familiarity will also help you anticipate any potential questions or challenges that may arise during your presentation.

In addition to improving your familiarity with the material, rehearsing multiple times will also help you refine your delivery. You will have the opportunity to work on your pacing, tone, and body language , ensuring that you are engaging and effective in your presentation. By practicing multiple times, you can identify areas where you may need to make adjustments or improvements, ultimately leading to a more polished and professional delivery.

The more you rehearse your presentation, the more comfortable and confident you will become. This will not only benefit you as the presenter, but also your audience, who will appreciate your preparedness and professionalism. So, make sure to dedicate ample time to rehearsing your presentation multiple times to ensure that you are well-prepared and ready to deliver a successful speech.

4. Use visual aids:

Visual aids such as slides or props can be incredibly beneficial when presenting information to an audience. By incorporating visual elements into your presentation, you can help to reinforce key points, make complex information easier to understand, and keep your audience engaged and interested.

Slides can be used to display important data, statistics, or visuals that support your message. They can also help to break up the monotony of a presentation and provide a visual reference for your audience to follow along with. Props, on the other hand, can add a tactile element to your presentation and help to make abstract concepts more concrete. For example, using a physical object to demonstrate a process or concept can make it easier for your audience to grasp and remember.

5. Keep track of time:

Time Management

Setting a timer or using a clock during your presentation is essential for keeping track of how much time you have left. By monitoring the time, you can pace yourself accordingly and make sure that you cover all the key points within the allotted time frame. This will help you avoid rushing through your presentation or running out of time before you have finished. Additionally, having a visual reminder of the time remaining can help you stay focused and on track, ensuring that you deliver a clear and concise presentation.

6. Be concise:

When giving a presentation, it is important to stay focused on the main points and avoid going off on tangents. Tangents can distract your audience and make it difficult for them to follow your message. Additionally, including unnecessary information can clutter your presentation and make it less effective.

To keep your presentation concise and to the point, it is important to stick to the key points. This means identifying the most important information that you want to convey and structuring your presentation around those key points. By focusing on the main ideas, you can ensure that your message is clear and easy to understand.

One way to stay on track during your presentation is to create an outline or script that outlines the key points you want to cover. This can help you stay organized and ensure that you are not including unnecessary information.

7. Engage your audience:

Engage your audience

Encouraging audience participation is a great way to keep your audience engaged and interested in your presentation. By asking questions, you can gauge the level of understanding and interest in your topic, as well as encourage critical thinking and discussion among your audience members. Soliciting feedback allows you to receive valuable input and insights from your audience, which can help you improve your presentation or address any concerns or questions they may have.

Incorporating interactive elements, such as polls, quizzes, or group activities, can also make your presentation more dynamic and engaging. These interactive elements can help break up the monotony of a traditional presentation format and keep your audience actively involved in the learning process. Additionally, interactive elements can help reinforce key points or concepts, as well as provide a fun and memorable experience for your audience members.

8. Practice active listening:

When giving a presentation, it is important to pay close attention to your audience’s reactions in order to ensure that your message is being effectively communicated. By observing their body language, facial expressions, and verbal responses , you can gauge their level of interest and engagement with the material.

If you notice that your audience is becoming disinterested or distracted, it may be necessary to adjust your presentation style or content to re-engage them. This could involve asking questions , incorporating interactive elements, or providing real-life examples to make the material more relatable.

On the other hand, if you see that your audience is highly engaged and interested in what you are saying, you may choose to delve deeper into certain topics or provide additional information to further enhance their understanding. By being attuned to your audience’s reactions, you can tailor your presentation to meet their needs and ensure that your message is effectively received.

9. Be flexible:

Being prepared to adapt your presentation on the fly is an essential skill for any presenter. It is important to be able to read the room and adjust your presentation accordingly. If you notice that your audience is losing interest, you may need to change up your delivery style, add in some interactive elements, or provide more engaging visuals.

Similarly, if you are running out of time, you may need to cut out certain sections or condense your content to ensure that you are able to cover the most important points. Being flexible and able to make quick decisions on the spot will help you keep your audience engaged and ensure that you are able to effectively communicate your message.

It is also important to have a backup plan in case of technical difficulties or other unexpected issues that may arise during your presentation. By being prepared to adapt and make adjustments as needed, you can ensure that your presentation is successful and leaves a lasting impact on your audience.

10. End on a strong note:

When wrapping up your presentation, it is important to leave your audience with a clear takeaway or call to action . This serves as a final opportunity to reinforce your message and ensure that your audience remembers the key points you have made. By providing a clear takeaway, you are giving your audience something to reflect on and take away with them after the presentation is over.

A call to action, on the other hand, prompts your audience to take a specific action based on the information you have presented. This could be anything from signing up for a newsletter, making a donation, or implementing a new strategy in their own work. By providing a call to action, you are encouraging your audience to actively engage with your message and take steps towards making a change.

Ultimately, leaving your audience with a clear takeaway or call to action at the end of your presentation ensures that your message has a lasting impact. It helps to solidify the key points you have made and motivates your audience to take action based on the information you have shared. So, next time you give a presentation, be sure to end with a strong takeaway or call to action to leave a lasting impression on your audience.

Finding the Time for Time Management

A Student Services Workshop

What is Time Management?

  • Time management refers to the development of processes and tools that increase efficiency and productivity (for a student, for a business, for an organization)
  • Time management doesn’t “just happen” for anyone – it is a skill that must be worked on, and that most people find to be a life-long challenge

What Do High School Students Have to Juggle Nowadays?

  • School work
  • Volunteer work
  • Co-curricular activities
  • Community activities
  • Family responsibilities
  • Social life

Time Management Is Critical to Your Success In…

  • …getting your school work done and achieving good grades
  • …keeping a job (and being able to support yourself)
  • …maintaining your mental and physical health
  • …investing in and keeping good relationships with other people

The Benefits of Having Good TM Skills

  • Time management helps you get the most out of your education
  • Allows you to be better prepared for the demands of your life…therefore decreases anxiety
  • Helps you to assign time to tasks in proportion to their importance (prioritizing)
  • Helps you achieve a more balanced life
  • Makes you a more productive, successful person

Early Warning Signs of TM Problems…

  • Handing in work late
  • Submitting work that is not up to your usual standard
  • Forgetting commitments
  • Finding that you often don’t have enough time to complete a task
  • Making excuses for why work is not done
  • Having to let go of activities you enjoy because of a lack of time or low grades
  • Asking teachers for extensions regularly on submitting your work
  • Your grades don’t reflect your ability
  • Take a minute to complete the “Time Management Quiz” to determine how much you need to work on this important skill

Why Don’t We Use Our Time More Effectively?

  • Planning out your time seems like more work
  • Adds more “structure” to your day – we have enough of this at school or work
  • Forces you to look at what needs to be completed – can be overwhelming
  • It’s not fun
  • You are lazy or just don’t care enough

Crisis vs. Time Management

  • Lots of people use more “crisis management” than time management:

Three Key Steps to Good Management

  • Developing a Weekly Schedule
  • to provide an overview of free and committed time
  • Writing a Daily To-Do List
  • to provide daily reminders to assure key tasks are not forgotten
  • Preparing a Long-Term Plan
  • to promote overall organization and

future planning

Step 1: Creating a Weekly Schedule

  • Can use a weekly schedule template, a student agenda, or a computer program
  • Will allow you to:
  • Organize your regular activities
  • Determine your available free time
  • Look at hours spent on extra-curricular activities
  • See how much time you study
  • Know how and where you tend to waste time

Step 1: Creating a Weekly Schedule

  • Fill in the weekly schedule in this sequence:
  • Personal Maintenance (i.e. eating, sleeping, getting ready, travel)
  • Your classes
  • Your work commitments
  • Other Commitments (volunteer, extra-curricular etc.)

THEN fill in other OPTIONAL commitments

The Typical Student Week

Things I Must Do +

Things I Want to Do +

Wasted Time =

Where Does the Time Go?

  • Approx. 110 hours of time is consumed by personal maintenance and class time
  • Work and other commitments may take up to another 14+ hours
  • That leaves approximately 44 hours remaining - this is YOUR time to spend how you see fit!

A Good Exercise…

  • If you can’t figure out where that 44 hours goes every week, keep track of how you spend your time for the next 7 days – you’ll be amazed at how it gets used!
  • No one expects that a student will use every minute of their free time to do work – but it seems reasonable that at least half of it will be devoted to academics (and even more at very busy times)

Step 2: Daily To-Do Lists

  • It’s helpful to create a list with the following headings as a way to organize your time:

Wednesday, March 26

Task Time Req. Importance Other Notes

Math homework 1 hour Important

Play rehearsal 2 hours Very important Drama Room

Science Quiz ½ hour Very important Cell structures

Geography mapping ½ hour Important Extra help from

Mrs. Belford

  • It’s even more effective to actually create a daily schedule and block out the time when events will happen (see sample)
  • It’s important to tick things off on your daily to-do list as you complete them – gives you a sense of accomplishment
  • Try to put down a little more on your list than you think you can realistically accomplish
  • Breaking down large projects into smaller tasks that you can accomplish in small chunks of time is one of the most effective TM strategies

Step 3: Long-Term Plans

  • Best to use a monthly calendar
  • Important to be able to look ahead by at least 4 weeks
  • As soon as you are informed of deadlines for assignments, test dates etc. put them on the calendar so you can ensure that you’re able to do some long-range planning
  • A very important step in preventing last minute cramming or rushed assignments

Procrastination : Enemy of Time Management

  • While procrastinating may give immediate gratification because it delays working on an important (but sometimes undesirable) task, it also brings:
  • Reduced sleep
  • Lower grades
  • Poorer quality of work
  • Less learning as a result of being rushed
  • A personal sense of disappointment
  • In the end, it hurts you more than it helps you!

The Importance of Setting Priorities

  • At any one time, you may have 10 tasks that ideally you should be working on – it will be impossible to do them all!
  • Setting priorities means making a value judgment on each task you need to complete based on it’s worth and when it must be completed
  • In short: the tasks that are worth the most and due the soonest should be your #1 priority!

How Much Time Should I Be Spending?

  • If you don’t know how much time a particular task should be taking up, here are some helpful suggestions:
  • Ask your teacher for some guidance
  • Speak to other successful students in the class
  • Break the task down into various stages and consider an appropriate amount of time for each step
  • Consider the value of and deadline for the task and weigh it against other priorities

What If I Get Off Schedule?

  • It’s important to prepare for the unexpected – things will always come up that you didn’t plan for…even after great planning!
  • When your plan is thrown into chaos:
  • List each necessary activity you need to complete
  • Define time limits for each activity
  • Set priorities within the list
  • Tackle assignments in that order

What If I Just Have Too Much Going On?

  • If you find that you have very few hours left in your day, week or month to relax, spend time with friends or family, or pursue your own interests, it’s time to re-evaluate your commitments!
  • If you spread yourself too thin, you won’t fulfill any of the commitments in your life to your level of satisfaction
  • Again, be sure to prioritize and don’t feel guilty if you need to drop an activity or two – your health and well-being is always your #1 priority!

In Summary…

  • Time management is a skill that EVERYONE must work on in all areas of their life (personal, academic, work)
  • Successful time management requires self-evaluation and the desire to improve
  • Effective time management will require you to do things you don’t want to do when you don’t want to do them – you have to push yourself!
  • The pay-off of good time management is ALWAYS worth the effort

If you think you could use more help…

  • Talk to your teachers about their suggestions in how to manage the workload in the class
  • Let your parents, friends, coaches etc. know how you are feeling – their support is important
  • Book an appointment with your counsellor in Student Services to actually practice some of the time management techniques
  • If your mental or physical health is impeding your ability to manage your time effectively, see your family doctor

This technique involves breaking your presentation preparation time into 25-minute intervals, separated by short breaks. This helps you stay focused and motivated while ensuring you don’t burn out during long stretches of work.

The Eisenhower Matrix

This technique involves organizing tasks by their level of importance and urgency in a matrix with four quadrants. This can help you prioritize your time and ensure you’re focusing on the most critical aspects of your presentation.

The 80/20 Rule

This technique involves focusing on the 20% of tasks that yield 80% of the results. By identifying the most critical tasks and working on them first, you can ensure you’re making the most of your time.

Handling Q&A Sessions

During Q&A sessions, it’s easy to lose track of time and go over schedule. To avoid this, consider setting a timer for each question and answer, and ensure that you’re providing concise and relevant responses.

Time Constraints During Interactive Portions

When interactive portions like group exercises or audience polls are involved, it can be challenging to manage time effectively. To handle this, consider setting firm time limits for each activity and ensuring that participants stay on track.

Developing Time Management Skills for Presentations

Developing strong time management skills is essential for any presenter looking to deliver a coherent and effective talk. During my years as a professional copywriting journalist, I’ve honed several crucial skills that have helped me maximize my time and deliver presentations that grab my audience’s attention.

One of the most important skills in time management is organization. By breaking down your presentation into manageable sections and allocating time for each portion, you can better manage your time and ensure that your presentation flows smoothly.

Another key skill is prioritization. Knowing which topics are the most important and dedicating more time to these areas enables you to ensure that your audience walks away with the most relevant and crucial information.

Multitasking is another skill that can greatly enhance your time management capabilities. By simultaneously working on different aspects of your presentation, such as slide design and script writing, you can optimize your workflow and deliver a more polished final product.

Finally, adaptability is a vital skill to have when it comes to time management in presentations. Be prepared to make changes and adjustments on the fly , whether it’s cutting down on your presentation time or adding in additional sections to address audience questions or feedback.

Time Management Tools for Presenters

As a presenter, it’s crucial to have the right tools to help manage your time effectively. Here are some digital and physical tools that I have found helpful:

Digital Tools

ToolDescription
Project management softwareTools like Trello or Asana can help you plan and organize your presentation tasks.
Task management appsApps like Todoist or Any.do can help you break down your presentation preparation into smaller, manageable tasks.
Timer appsApps like Focus Keeper or Be Focused can help you time your practice sessions and stay on track during your actual presentation.

Physical Tools

Even in the digital age, physical tools can be beneficial for managing time in presentations. Here are a few examples:

  • Timers: A simple timer can help you allocate specific amounts of time to different parts of your presentation.
  • Calendars: Use a calendar to schedule your presentation preparation time and set deadlines.
  • Checklists: A checklist can help you stay organized and focused on the tasks at hand.

By using the right tools, you can optimize your preparation time and improve your presentation efficiency.

Minimizing Interruptions and Distractions

Setting Time Management Objectives and Goals

As a presenter, setting time management objectives and goals for your presentations is a crucial step in maximizing your efficiency. By defining clear objectives and goals, you can stay focused, motivated, and accountable throughout the presentation process.

When setting your time management objectives, consider what you want to achieve with your presentation and what specific tasks must be completed to reach that goal. This will help you stay on track and prioritize your time effectively.

Additionally, setting SMART goals can be particularly useful in enhancing your time management practices. SMART goals are Specific, Measurable, Achievable, Relevant, and Time-based. By creating goals that meet these criteria, you can ensure that they are realistic, timely, and directly related to your presentation objectives.

To create SMART goals, start by identifying what you want to achieve and why it is important. Then, establish specific metrics to measure your progress, such as the number of slides completed or the amount of time spent on each section. Make sure your goals are achievable and relevant to your overall presentation objectives, and set a specific deadline for completion.

By setting time management objectives and goals, you can optimize your presentation time and ensure that your message is delivered effectively within the allotted time frame.

Time Management PPT, Slides on time management, time management tips

This time management ppt on Slideshare has 10 slides talking about the different parts of time management. These slides talk about the central theme of being clever about using your time. I’ll not be suggesting you to sleep less or magically create more time. We all have limited availability of time, the best option we have is to be clever about using it for the best benefit.

Prioritise tasks for weighted time management

All tasks appear important, but sometimes on a busy day, the urgent things take priority over important ones. This is one of the most common culprits for time management. You can find details of prioritizing time using the Eisenhower Matrix to indicate the priority of these things. The trick is to ensure that your To-Do list doesn’t overtake your life to such an extent that you lose control of managing your time.

Prioritising also means that you don’t do all the work yourself. You can be clever and use the 4Ds of time management , delegate some activities or postpone some to ensure that the most important tasks are addressed first.

How to prioritise time, managing time based on priority

The best way to tackle your time is to identify various brackets your time is being utilised. This will give you an opportunity to identify the biggest areas where your time is being used. Then you can ask questions about the tasks that can be delegated or handled in a different manner.

How to prioritise activities according to this presentation on time management?

  • Based on what matters the most to you: This is more of a passion project. If you have the flexibility of choosing items on your list, then certainly picking ones that speak the most to you is an angle to consider. It doesn’t necessarily mean that everyone around you will be happy about it. But you certainly will be :)
  • Based on Ease of the project: This might seem like a cheat, but it certainly is not. One of the best ways to prevent procrastination is to ensure that you tick off items from your list. Although the easy ones have a certain ease to them and you can finish them off quickly at a later point in time – it is baffling how much time even the easy ones tend to tak

Plan Time for both best and worst cases

Planning is not just for the ideal time scenario, it is also for the worst case. Although it is great to be optimistic, you cannot assume things will always work according to the plan. You will need to provide for these changes or unforeseen circumstances when you plan.

How to plan time, what should time management plan involve

Remember the 80-20 rule – the most important tasks require the highest attention. You can’t spend the highest amount of time on useless things or else you’ve lost the battle even before you start.

Key points to remember when you are planning:

  • Urgent doesn’t mean important: No point in being busy and responding to everything
  • Plan for free time: You can’t be a super human, plan for some lag because something always takes longer
  • Make mistakes sooner: Don’t wait for perfection, start and get going.

Procrastination: Use it only sparingly

Procrastination is the thief of time! It slowly adds up the pressure and creates the illusion that you’ll have more time tomorrow than today. We all know that it is a common lie that we tell ourselves. It is easier to get rid of things off our list, particularly if they are easy ones. Instead of pushing them down the funnel, finish them off. It makes your list smaller and more manageable.

How to manage task list, to do list management, planning your to do list.

While thinking about procrastination in this time management ppt, we’ve to consider our habits. Procrastination maybe because we think something is too easy or to avoid the pain of doing something which we don’t have the capability for. Both cases of procrastination are bad for time management.

  • Don’t push the easy one to last: Make your list smaller and get rid of the easy ones so that they don’t pile on the pressure.
  • Make sure you finish it on importance and not on ease: Again, it is not always the best way to start working on the easiest aspects. It only gets you part way towards the overall project being managed. Instead, breaking into chunks and combining with the tougher activities tends to work in your favour.

Avoid Time Pressure by preventing procrastination

Procrastination is the thief of time. Most time management PPTs talk about procrastination since it is one of the most common traps of time loss. Common reasons for procrastination are:

  • It appears too difficult at the moment. Things might ease up with time.
  • The task might appear too easy and hence you can finish it quickly later.

How to prevent procrastination, why should you avoid procrastination, managing time by preventing procrastination

The most important thing to remember about procrastination is that simple tasks should not be procrastinated. You should make time for creative or challenging tasks without these simple tasks forcing a deadline pressure on you. More tips on how to avoid procrastination can be found here.

Manage Time by Grouping similar tasks

The time management ppt makes sense when you can group tasks or identify how your time is used on a macro level. It starts with identification followed by a strategy on how to use this for your benefit.

Every big building was once a small blueprint. Make your huge project into several smaller ones with realistic targets to achieve. Slide 5 of this time management PPT focuses on the grouping of tasks for increased efficiency.

Group similar tasks, how do I prepare for multi tasking, project planning to save time

  • Split the project into small parts: A project is quite normally a large one. It appears too big to finish off at one go. A smarter thing to do is to break it down into consumable parts. The beauty of this is – it gets you to think through the different options of making it work.
  • Keep smaller targets leading to the bigger one: The biggest ones are not usually the easiest to get through in one go. Your smaller targets play a pivotal role in helping you reach the final one. It is almost like running the marathon with adequate pit stops, but each part of the journey helps you get to the final goal.
  • You don’t have to do it all at once: This is the central point of dividing up a task into chunks. You don’t have to do all these tasks yourself. Depending on the type of task, you can get additional or external help to achieve smaller parts of the project.

Multi Tasking to use time efficiently

Time management and multi-tasking have different schools of thought. Although mindfulness suggests that we should be focusing on only one thing at a time! There might be some benefits to multi-task in time management.

Multi tasking for time management, how to multi task, benefits of multi tasking

Your concentration suffers from multitasking, but what if you’re combining two things to enhance the pleasure of working on them. For instance, going to the gym is a boring activity but the thought of being able to listen to music makes it an exciting experience. Something similar is reading while travelling, or audiobooks.

I’m sure you can come up with more solutions, but the focus needs to be on enjoying the experience rather than saving time. But make sure that when you’re multitasking – at least one of the tasks you’re working on is mundane and doesn’t demand huge concentration

Use your Most Productive Time for difficult work

For some, it may be early morning and for the night owls, it works differently. But, we all have zones of performance. Instead of forcing yourself to do things in a dedicated block of time to provide lip service to time management, learn about your habits better. Identify your key performance zones and try to create that environment for yourself.

How to use efficient time management, effective time planning, how to plan for time

  • What time of the day are you at your best?:   There is a certain differentiation between smart work and hard work. Smart work is knowing when you can perform best, strategising this for activities that demand the most concentration and demarcating your time specifically for those.
  • You don’t have to put just hours into a project: Hard work alone never helped anyone. If you are putting in the extra hours and stretching time, you get exhausted very soon and this rarely helps time management. If you are looking at a longer project, it is not the minor spurts of long hours which help – instead, it is the continued consistent effort that needs to be smartly organized.
  • Work through your strengths, work smart: Not everything in the list of things needs to be done by you. You need to reserve your time and strength for activities that demand the highest energies. Granted that at times it feels that everything needs to be done by you, but I am sure there will be something or the other which can gain better output from someone else taking a look.

Take Essential Breaks to balance time

Breaks are not nice to have. They are important to keep your brain engaged and deliver the most efficiently. To manage time, you’ve got to find a way to balance small breaks between your focused times. If you find your confidence wavering, it is better to take a break than ploughing through.

  • Switch off and switch on based on your need: Identify and listen to your body and mind. Don’t force yourself into doing things when you’re not ready
  • Refresh yourself: Your breaks should energise you rather than bringing you down. If your breaks are unhealthy, find a different replaced to manage time better
  • Creating the habit of breaks: Every new habit needs training. For time management to be effective, managing your breaks is a key differentiator.

taking breaks, why should I take breaks

Breaks don’t necessarily mean that you’re being inefficient. On the contrary, these breaks help you to focus and ensure that time is spent most effectively. Remember – efficiency is only doing things right whereas effectiveness is about doing the right things.

Don’t work overtime and cause a burnout

I agree that the companies appreciate you working overtime cos they have a deadline to match. But I am not an honest fan of working overtime.

  • Promise less but deliver more: You may be optimistic, but don’t create unnecessary pressures to manage your time
  • Overtime is not a great skill: Committment is great, but spending more time doesn’t make you more efficient. You just have to find ways to make better use of time
  • Smart Work Vs Hard Work: This is the most common time sink. Focus on being smart – don’t do everything yourself. Instead of being a micro manager, find out how you can break time and responsibilities accordingly.

Prevent overtime, harms of overtime working, over promising

Between the two, time takes secondary precedence as opposed to efficiency, so be careful where priorities lie.

Effectively Manage time to keep focus on the big picture

We all have a bigger picture in life, the bigger question which is beyond these tiny deadlines and pay-checks and exam pressures. To answer that question we need to set our priorities straight.

Don’t sacrifice your big picture for smaller goals. Some highlights to remember your big picture are:

Managing big picture, emotional management in high stress

  • You are more important than the project:  Yes, deadlines are very important. If you miss this project or outcome, you can focus on another. Nothing is a life or death situation, you can always come back and make things better, learn from every experience. You have to build in a level of objectivity to your operations or else it is easy to get succumbed to pressures.
  • Don’t let time play on your emotions and priorities of life:  Yes, not achieving something is an awful feeling. But it definitely is not the end of this world. There can be multiple ways of achieving newer and nicer things. No one failure defines all future outcomes in life, there simply are too many chances and choices out there.
  • Everything else can wait but not your life! :  That probably is the ultimate reality. Projects and goals are only tiny parts of our long lives. If we don’t focus on the real priorities, we can be majoring in minor things which don’t give us an awful lot in return. Don’t lose the big picture in the minor details which can always be improved.

These were our top 10 pointers for time management and making it work for you. We would love to hear your thoughts

Importance & Benefits of Time Management (+ 10 Expert Tips)

Avatar for Teodora Coguric

Table of Contents

What if we told you that you can:

  • Reach your dreams,
  • Travel to exotic locations,
  • Land your dream job,
  • Finish your projects before the deadline,
  • Get enough sleep every night, AND
  • Spend enough time with loved ones — all within this one lifetime!

Yes, it’s possible, and the key is: good time management .

Today, you’ll understand the advantages of time management and learn:

  • What good time management is,
  • Benefits of good time management, with special emphasis on the workplace setting, and
  • Useful tips to help you manage your time better.

Let’s begin!

The importance of time management - cover

What is time management?

Time management presents how effectively you make use of your time.

Even though time management is a well-known term, many people are still confused about its actual meaning. So, we contacted experts for help in defining it.

One of them was Bryan Clayton , the CEO and co-founder of GreenPal. For Bryan, time management and smart planning go hand in hand:

Bryan Clayton - CEO and co-founder of GreenPal

“Time management is how you plan, organize, and do your tasks and activities in a smart way. ”

He also pointed out the importance of effective time management , which is not just doing more in less time, but doing the right things at the right time:

“You need to set clear and realistic goals, break them down into smaller tasks, prioritize them, schedule them, focus on one thing at a time, avoid distractions and procrastination, delegate or outsource what you can’t or shouldn’t do, check your progress and results, and adjust your plans as needed.”

Founder of The Literary Lifestyle, Julianne Buonocore , recommends a Financial Times Books of the Year and New York Times bestseller Four Thousand Weeks: Time Management for Mortals by Oliver Burkeman. Julianne shared the most important lessons from the book — that we need to accept the fact that time is finite:

Julianne Buonocore - A book expert and founder of The Literary Lifestyle

“If we’re lucky and live to age 80, we have about four thousand weeks to live. Time management is not about masterfully squeezing as much as possible into those weeks. Rather, time management is about accepting there will never be enough time, so we need to focus on getting the most important things done with the time we are given.”

Finally, we can say that time management also means being aware of the time we have and making the most of it.

Why is time management important: Key benefits of time management

Knowing how to manage your time properly brings a number of great benefits to your work routine and life overall! Here are some of the perks of good time management.

Benefit #1: Time management helps you achieve your goals

When you understand why time management skills are important, you gain the motivation to stop sitting around and pursue your goals.

As a result of this hard work and newfound motivation , you reach your goals faster.

Benefit #2: Time management helps you become more organized

When you properly manage time, you get more done and save more time for activities you truly enjoy. Properly managing time includes:

  • Making a to-do list ,
  • Allocating time to each item from your to-do list, and
  • Scheduling those tasks on your calendar.

By following this routine, you’ll be easily able to stick to your plan and complete your daily tasks without stressing about them. You don’t have to worry about missing deadlines or forgetting errands — because you already planned your time in such a way that prevents such mishaps from happening.

For Founder & CEO of Deepwrk, Valeri Gervaziev , being organized is at the core of time management:

Valeri Gervaziev - Founder & CEO of Deepwrk

“Having a plan is the cornerstone of good time management. Without a daily, weekly, or long-term plan, it’s all too easy to veer off course.”

Benefit #3: Time management helps with achieving work-life balance

Among the essential effects of good time management is more free time .

More free time means you have more time to spend with your loved ones, practice a hobby, or even go on a trip abroad. This all results in a healthier work-life balance !

A family law expert and chief of divorce evolution at Divorce.com, Laura Wasser , explains the importance of effective time management for work-life balance:

Laura Wasser - Family law expert and chief of divorce evolution at Divorce.com

“Time management is a tool for reducing workplace stress and fostering a better work-life balance. It’s like having an explicit, well-documented agreement — everything runs more smoothly when everyone knows what to expect.”

Benefit #4: Time management helps you feel better

Now you must be wondering —  how can time management help you feel better?

When you properly manage time, you’ll enjoy the feeling of success a completed to-do list brings. You feel more capable of doing anything on your agenda.

You’ll see how you can live up to your expectations and in turn, feel a boost of self-confidence about your abilities. In addition, reducing the amount of stress in your life helps you avoid serious issues such as mental fatigue .

Laura Wasser explains how proper time management can help you find balance in life and feel much better:

“It [time management] helps you achieve balance and control in your life, freeing up time for the things that truly matter — like spending time with loved ones or taking a moment for yourself. It’s like finally reaching an agreement in a tough negotiation, there’s a sense of relief, accomplishment, and you suddenly find you have time for a well-deserved break.”

Benefit #5: Time management helps you improve your lifestyle

Proper time management makes sure you spend less time busy as a bee but as productive as a sloth on a duvet day.

You’ll be able to single out your work priorities and schedule your time in such a way that you manage to both attend your daughter’s recital and go over some crucial project issues with a client.

For Stacy Ennis , the best-selling author, coach, and speaker, time management is essential for improving our lifestyle as it leaves more time for activities we enjoy:

Stacy Ennis - Author, coach, and speaker

“Good time/energy management honors the ebb and flow of our bodies and brains and lets us tap into our most productive selves — not in a way that depletes us but rather makes more space in our lives. Win-win!”

The importance of time management in the workplace

Time management is essential in life overall — but it’s especially important in the workplace. So, how does time management help with our work?

Laura Wasser illustrates how crucial time management is in the workplace — by comparing time management with the legal industry:

“Time management is as essential as having a good lawyer when you’re facing a court case. It helps you meet deadlines, improves your decision-making ability, and offers a better chance to achieve your career goals.“

Thus, here are the crucial benefits of effective time management in the workplace.

Benefit #1: Time management helps you avoid missing deadlines and appointments

Deadlines and appointments are often difficult to keep track of.

To keep yourself on track with your work and finish on time, you need to make sure you start on time — you’ll also need to ensure you divide your work into manageable chunks you’ll be able to tackle in the predefined time periods.

Bryan Clayton believes good time management helps us keep up with all of our deadlines and appointments, which makes us more productive and leads to exceeded expectations:

“You can deliver high-quality work on time and within budget. You can meet or exceed your expectations and standards.”

Benefit #2: Time management helps you procrastinate less

According to Valeri Gervaziev, procrastination is “ a response to negative emotions, such as stress or anxiety, that we associate with certain tasks.”

When you know you’re working on a fixed schedule with tasks allocated to specific time slots in the day, it’ll be easier for you to focus — because you’ll know you have personal deadlines to meet for each task. Thus, you’ll procrastinate less.

Still struggling with procrastination? Check out this guide:

  • Procrastination guide: Why it happens and how to overcome it

Benefit #3: Time management helps you avoid unwanted stress

Racing to beat a deadline is stressful because you don’t know whether you’ll succeed. Increased pressure over time can lead to more serious problems such as career burnout .

But, smart time management helps you view your workday, not as a whole, but as a set of tasks you need to go through. Once you have all your tasks with the specific time you need to finish each of them, it’s easier to single out priorities and make arrangements that help you minimize such stress.

For Bryan Clayton, time management is all about reducing your stress levels:

“You can avoid overwhelm and frustration. You can cope with pressure and uncertainty and prevent fatigue and exhaustion.”

Benefit #4: Time management helps you maintain your professional reputation

Missing deadlines, forgetting meetings, and rushing projects is an expected outcome of poor time management — one that will likely put a dent in your reputation if given enough time.

But, proper time management at work eradicates these possibilities and helps you build and maintain your professional reputation!

In line with that, Bryan Clayton also believes that good time management is beneficial for your professional reputation:

“Good time management can help you build trust and confidence with your clients, customers, colleagues, managers, and stakeholders. You can show your reliability and professionalism.”

Maintaining a professional reputation and building trust are essential for success! Read more about building trust in remote workplaces here:

  • How to build trust in the remote workplace

Benefit #5: Time management helps you avoid financial penalties

There is more to your business than just project deadlines — for example, you’ll need to make sure you pay taxes on time. That is, unless you want to pay an additional 5% fee for every month your return is late.

If you allocate a specific time slot on your calendar to handling taxes and other expenses in your business, you’ll avoid any penalties.

Why do we waste our time?

A recent UK study showed that people spend almost 2 hours every day doing absolutely nothing. That’s almost a month wasted each year! Moreover, 56% of study participants understand the importance of better time management. However, family and work-related obligations frequently stand in the way of them being their most productive selves.

Before you can stop wasting time, you need to understand why you waste it in the first place.

Bryan Clayton highlighted key reasons why people waste time:

  • Lack of clarity — no specific and measurable goals or action plans,
  • Lack of motivation — absence of a purpose or incentive to use our time better,
  • Lack of discipline — no willpower to resist temptations or distractions, absence of habits or routines that support our goals,
  • Lack of skills — absence of knowledge or abilities to do the tasks or activities we need to do, and
  • Lack of feedback — no way to measure our progress or results and the lack of feedback or guidance that can help us improve or fix our mistakes.

So, your first step in preventing time waste is determining which of these factors are detrimental to your time management. Then, you can start working on them and slowly incorporating some of the tips we’ll present to you in this article.

According to Parkinson’s law, people tend to adjust their pace to their workload and the amount of time they have to finish it. If you recognize yourself in this, you might want to check out this article:

How to improve time management — Top 10 time management tips

Once you’ve done away with wasting time , you’ll want to learn how to use it wisely!

You’ll do that by utilizing your time management skills and choosing effective time management strategies.

There’s always room for improving your time management skills. To dive deep into effective time management, check out this guide:

  • Everything you need to know about time management (+ tips)

Tip #1: Set your goals

“People with goals succeed because they know where they’re going.” — Earl Nightingale

Unless you’re aware of what you want to achieve, you won’t be able to plan the steps that will lead you to your goals. If you aren’t sure about your overall objectives and didn’t set concrete career goals , you could try journaling your thoughts and dreams over time.

Run through what you’ve written so far, and define your goals — if you were honest about your dreams in your journal, you’ll be able to turn your wants into concrete goals . Having a fixed objective saves you a lot of time and keeps you in deep work .

If you’re looking for the best way to set and track your goals, try out this technique:

  • How to set SMART goals (+ examples and templates)

Tip #2: Keep your goals to yourself

You may think keeping your goals to yourself is counterproductive — after all, isn’t it a common saying that if you want your dreams to come true you have to share them with others?

But, it’s the exact opposite of that.

According to entrepreneur and author Derek Sivers and several studies , people who declare their goals to the world are statistically less likely to reach said goals .

This is tied to the fact that people pursue goals because of the satisfaction they feel when they reach them, and people who announce what their goals are, already feel this satisfaction. That renders actually reaching their goals unnecessary.

So, next time you feel the urge to tell someone about your dreams, goals, and aspirations — don’t. This might not seem like a logical time management technique , but, statistically, it’s an effective one.

Tip #3: Create a plan

When you make a plan , you’re less likely to lose your way, and thus less likely to fail.

To properly plan, you have to assess your goals once again. Then, list the tasks and actions that help you reach them, and do away with anything you believe to be a distraction.

A software Developer at Clockify, Milena Savatovic , highlights the importance of planning and writing down our tasks:

Milena Savatovic - Software Developer at Clockify

“My most helpful time management hack is writing my plan in a journal. At the end of the workday, I like to write down all the tasks I have to do tomorrow and try to make a schedule for myself for that day. I always leave some room for unforeseen situations and try not to overload the schedule, that is, to distribute the work as realistically as possible.”

Furthermore, Laura Wasser offers a unique perspective on handling your daily schedule — treating your time like money:

“ Allocate a certain amount of time for each task, similar to how you’d allocate money for different expenses. It helps keep things in perspective and avoids overspending time on less critical tasks.”

Are you having issues with creating a plan? You could try some of our time block templates:

  • Time blocking planner (+ 9 free time block templates)

Tip #4: Make decisions

“Maturity is when you stop complaining and making excuses in your life; you realize everything that happens in life is a result of the previous choice you’ve made and start making new choices to change your life.” ― Roy T. Bennett

Unless you make up your mind about the road you want to take, you’ll hardly ever make it past the intersection. But, as waiting around and procrastinating gets you nowhere, it’s best that you work up the courage and make a choice.

When you manage your time properly, you don’t feel as pressed for time, and you don’t feel as pressured when making decisions. As a result, you’ll make better decisions overall.

In her Harvard Business Review article , Sabina Nawaz, CEO coach, leadership keynote speaker, and writer, recommends starting small when making decisions about the future. She believes big goals are achieved through micro-decisions we make on a daily basis.

So, if you’re unsure about a decision, ask yourself:

“What’s the very first step I need to take that will get me to the next point in my plan?”

Tip #5: Focus on important tasks first

Once you’ve prioritized and organized what’s actually important, the next step is to focus on your priorities. If you let your mind wander off to other, less important actions, you’ll hardly ever finish what you’ve started.

For instance, Julianne Buonocore always places her most important tasks at the beginning of the day and only does the least important ones if she has time left.

Laura Wasser recommends following the idea of “ eating the frog :”

“It’s about tackling the most challenging task first thing in the morning, like dealing with the most contentious issue in a negotiation right out of the gate. Once that’s out of the way, the rest of the day tends to feel much more manageable.”

To avoid spending too much time on minor tasks, Stacy Ennis suggests batch emailing:

“Check your emails two times per day. Period. This is a top way to increase focus and productivity, letting you potentially 4x your work and effectiveness.”

If you like to multitask and want to learn how to handle multiple projects and tasks successfully, this article will help you:

  • How to switch between projects and tasks without losing productivity

Tip #6: Minimize distractions

Minimizing distractions is among the best time management methods. That’s because it helps you avoid wasting time on unimportant activities.

A Software Developer at Clockify, Nenad Pejcic , highlights the importance of minimizing distractions for the proper use of one’s time. He specifically mentions keeping your phone away from you when working, to ensure you’re fully concentrated on every task at hand.

Moreover, Stacy Ennis recommends turning off all notifications:

“The number of people who have chimes going off all day is complete madness! How can anyone focus with beeps and bings all day? Turn off ALL notifications on your phone and computer, except for silent notifications for texts. Email notifications on the phone — even silent ones — is a big no as well.”

She also suggests buying earplugs to help fight distractions:

“This is my #1 productivity hack that enables me to work in ANY space, including my own home when my kids are being exceptionally loud. Simple Mack’s earplugs from Amazon do the trick — no need for fancy Bose noise-canceling headphones.”

Getting rid of distractions is just one of the many ways to stay focused at work. Learn more methods of maintaining your focus:

Tip #7: Make sure to rest

In the words of Bojan Pavlovic , a Software Developer at Clockify: “No amount of time management will help you if you are not properly rested.”

Making sure that you are getting enough sleep and taking regular breaks is as important as properly scheduling your tasks. That’s because you’ll be much more efficient when you’re well-rested. Moreover, you’ll avoid feeling overwhelmed and overworked !

For Julianne Buonocore, a key to being rested and ready for new challenges is committing to work-free weekends and setting boundaries around them.

Aside from quality sleep, setting boundaries, and taking breaks, you can also work on end-of-workday rituals to reduce the tension after a long day.

Tip #8: Find an organization technique that works

“For every minute spent in organizing, an hour is earned.”  — Benjamin Franklin

You can choose from several great organization techniques:

  • You can start with the Eisenhower Matrix — the solution that lets you distinguish the important from the urgent (but not important),
  • Another solution is the Pomodoro technique — great for taming serial procrastinators, or
  • A simple, yet effective technique is time blocking — works best in the context of taking control of your time and achieving a better work-life balance.

Furthermore, Bryan Clayton recommends trying out the Pareto principle :

“The Pareto principle says that 80% of the results come from 20% of the efforts. Find out the 20% of tasks that will bring you the most value or impact for your goals. Focus on those tasks first and do them well. Eliminate or delegate the rest of the tasks that are not essential or relevant.”

Tip #9: Track the time you spend on tasks

We’re often pressed for time, so the way we spend it should be optimized. This is where tracking the time we spend on our tasks using time tracking software comes in handy.

For example, Clockify is time management software that can help you track your time easily and effectively. The software itself offers a bunch of useful features , such as a time tracker, calendar, and scheduling — all of which can help you stay organized and on top of your tasks.

Tracking time in Clockify

Stacy Ennis recommends Clockify to anyone looking to add more order to their schedule:

“I encourage people to think of energy management and focus on blocking their days to support their best use of energy. One of the first ways to uncover this is by tracking one’s time — and Clockify is a great tool to do so! When doing so, they should note how they felt and how focused they are, which will provide insights into how to organize their calendars to support productivity.”

Tip #10: Work on your weaknesses and ask for help

“Alone we can do so little; together we can do so much.” — Helen Keller

You can’t be the best at everything. Luckily, once you determine your weaknesses, you can:

  • Work on strengthening those skills,
  • Delegate some of your tasks, and
  • Rely on tools designed to make your daily activities easier.

For example, communicating and collaborating with peers and colleagues helps you do more in less time — because there’s more of you doing it.

The same goes for your friends and family. You can save a lot of time in life if you would just let your loved ones help you, either directly, or with their advice and guidance.

What’s more, you can find great tools that may help you work on some of your weaknesses. Junior Java Developer at Clockify, Milana Todorovic , explains the value of finding tools that suit your needs:

Milana Todorovic - Junior Java Developer at Clockify

“Determine your weaknesses and find things that help you with specific time management problems . My biggest issue is remembering what I need or want to do, so the most useful techniques for me include relying on a tool that helps me remember my tasks.”

Presentation Transcript

Time Management = Self Management You’re not learning how to manage your time as much as you are learning how to manage yourself.

Effective Time Management • Helps to reduce stress • Helps you get more things done well • Helps ensure your well being • Helps improve quality of life

Poor Time Management • Causes stress at school, home, and at work • Long term stress leads to health issues • Can lead to problems in relationships • Can lead to quitting your job or school

Time • No matter how organized we are, there are only 24 hours in a day. • All we can actually “manage” is ourselves and what we do with the time that we have. • You can change your behaviors, but you can not change time.

Wasting Time • What do you tend to waste time on? • telephone calls, TV, internet, email, etc. • When do you tend to lose time? • Interruptions, mistakes, falling behind, waiting, etc. • Procrastination? • Do you put things off or do “fun” things first?

Try some of the following strategies and see if they help.

Plan Each Day • Planning your day can help you accomplish more and feel more in control of your life. • Keep to-do lists, the most important tasks at the top. • Keep a schedule of your daily activities to minimize conflicts and last-minute rushes. • If you’re a night person, at the end of each day, plan for the following day. • If you’re a morning person, plan the day ahead as you’re getting started.

Jump Right In • Begin each assignment the day it is assigned. • Figure out what needs to be done to complete the assignment • Figure out when you are going to do each task • Give yourself deadlines for each task • Don’t fall behind on other assignments while you’re working on “something big” • Address your assignments daily

Prioritize Your Tasks • Time-consuming but relatively unimportant tasks can consume a lot of your day. • Prioritize tasks to ensure that you spend your time and energy on those tasks that are truly important to you. • Set a time limit on “time wasters” like internet surfing or reading email, and stick to it.

Establish Routines • Stick to routines as much as possible • If emergencies arise, you'll be much more productive if you usually follow routines most of the time. • If emergencies arise, you’ll have the energy and flexibility to adjust and deal with them effectively, if you follow routines most of the time.

Limit Distractions • Turn off your phone (really!) • Close out your email (leave an “away” message) • Put a “do-not-disturb” sign on your door • Turn off the TV, stereo, ipod, etc.

Use Time Management Tools • Know what works best for you: a planner, a calendar, an Outlook calendar, your cell phone, etc. • Color code tasks for school, work, church, family, and yourself. This helps to visually organize notes on your calendar . • Set your technology to send you reminders of events in advance. • It is helpful to post a large month-at-a-glance calendar where the whole household can see obligations and deadlines.

Say No to Nonessential Tasks • Consider your schedule before agreeing to take on additional work. • Turn off your phone, and call people back when you’re done with your tasks. • Learn to say “no” once in a while.

Delegate • Take a look at your to-do list and consider what you can pass on to someone else. • For effective time management, you need to let other people carry some of the load. • Delegate chores or errands to your spouse, your children, roommates, family, or friends. • Ask for favors, and learn to say “no” once in a while.

Do Quality Work • Perfection isn’t usually possible or necessary. • Doing work right the first time may take more time in the beginning, but you will save time and avoid stress. • Errors usually result in spending time making corrections, or doing something over again, which wastes your time. • This can cause more stress, too.

Break Projects into Smaller Tasks • Begin your project the day it is assigned! • Assign yourself small tasks to do over time to complete the overall project. • Work on tasks a few minutes at a time, perhaps a little each day, until you get them all done. • This allows time for corrections or changes before the deadline. • Work on tasks you dread for just 10 minutes, and once you get started, you may find you can finish it.

Evaluate How You Spend Your Time • Look for time that can be used more wisely. • When you are waiting somewhere you don't need to just sit there with nothing to do.. • Always take something along to do, such as: • a report you need to read • a checkbook that needs to be balanced • notes you need to review or re-write • just a blank pad of paper that you can use to plan, make to-do lists, organize your thoughts or assignments, or shopping lists

Take Care of Yourself! • Get plenty of quality sleep • Maintain a healthy diet • Exercise regularly • A healthy lifestyle: • improves your focus and concentration, • improves your efficiency so you complete your work in less time. • avoid illness and stay well so you can be your best

Take a Break • When you need a break, take one. • Take a walk, and then get back to work. • Do some quick stretches at your workstation, and then get back to work. • Take a “ten minute vacation” and then get back to work. • Take a mental health day to rest and re-energize, but plan it appropriately.

Importance of Time Management and 7 Tips to Improve It

Importance of time management

Time management can be described as a skill that helps you use your time as effectively and productively as possible, especially while at work.

But this somewhat “dictionary definition” of the term doesn’t give us the full scope of what time management actually is. Not because it is inaccurate but because time management is so much more than a single skill or ability.

Thus, let's look closely at the importance of time management.

What Is Time Management?

The importance of time management: what does the research say, 7 tips to improve time management at work.

  • 1. Employ Technology
  • 2. Set Clear Goals
  • 3. Try out Different Time Management Techniques
  • 4. Minimize Distractions at Work
  • 5. Learn to Delegate
  • 6. Avoid Multitasking
  • 7. Take Breaks Regularly

Main Benefits of Good Time Management (At Work and Personal Life)

  • 1. Higher Productivity Levels
  • 2. Increased Confidence Levels
  • 3. Hitting All the Deadlines
  • 4. No More Procrastinating
  • 5. Better Self-Discipline
  • 6. Higher Motivation Levels

Time management is a combination of different strategies aimed at helping you or your employees split time between specific tasks to achieve greater productivity and efficacy, better work results, and daily, weekly, or long-term goals.

Time management can:

  • Help with your decision-making process
  • Teach you how to set personal and work-related goals
  • Allow you to allocate your time systematically
  • Helps you organize and prioritize tasks based on importance

Effective time management not only boosts your employees' productivity and efficiency but can help you create a calm and supportive work culture.

When employees don’t miss deadlines and complete their work obligations consistently and on time, that can create a sense of accomplishment, which can go a long way in improving their overall job satisfaction.

This is especially true if they are praised or rewarded for their good work performance (but that’s a topic for another day).

“ Does time management work? A meta-analysis ”, a study from 2021, examined the impact of time management on work performance and well-being, and the results the researchers got were rather interesting.

Their conclusion challenges the modern narrative that time management enhances work performance and that any benefits to our health and well-being stem from that. The study’s findings illustrate that it’s actually the other way around — time management improves well-being, and the result of that is an increase in work performance.

A 2014 study from the University of Wuerzburg further supports this claim. This study, done on a group of students, shows that effective time management helps reduce feelings of stress and anxiety .

With just two to four weeks of time management training, students reported a noticeable reduction in perceived stress and anxiety levels. Sadly, the study did not focus on the student’s academic results and how or even if time management had any effect on that, leaving much to be desired.

These two studies are just a small part of a larger body of research that has consistently proved the importance of time management by showing its positive effects on people’s well-being and/or work performance.

Here are some tips that can help you improve your or your employees’ overall time management.

There are numerous digital and cloud-based tools that can save you time, help you streamline tedious processes, and ultimately make you more time-efficient.

  • One of those is time and attendance software , a solution that helps you manage your employees' time, track and manage absences, quickly create and export information needed for payroll, and more.

Like any efficient tool, time and attendance software will make certain processes easier and less time-consuming. This will allow you to switch your focus to other work or personal tasks and make you more productive.

Time-tracking software is another digital solution that can help you improve time management at work. It will allow you to manage your and your employee's work tasks while also tracking work hours, task and project progress, and more.

Time tracking tools aim to give you all the data you need to analyze the way you or your employees spend time at work. With that information, you can identify areas that need improvement more easily, then work on them and improve either your or your employee’s overall time management.

A big part of improving time management revolves around setting clear goals and diligently working on achieving them.

You can start working on your goals by listing them on paper, in a notebook, in a to-do list , or in a digital document (i.e., Google Docs, Word, etc.).

After that, try to assess your goals and form a plan of action to achieve them. If that doesn’t work for you or you feel like you need more guidance, you can always try one of the many proven methods and techniques for setting goals.

One of those proven goal-setting techniques is the S.M.A.R.T method , a relatively simple yet effective way to increase your chances for success in personal development and business or project management.

To start with this method, you should:

  • Set S pecific goals that are clear, defined, and focused.
  • Ensure that the goals you set are M easurable and include criteria that allow you to measure progress toward achieving them.
  • Make sure to set goals that are realistic and A chievable. Take into account your skills, limits, as well as available resources. Don't underestimate yourself, but also don’t overvalue your abilities.
  • Make sure the goals you’re setting are R elevant to you, your core values, and your personal and career objectives.
  • When you set goals, always make them T ime-bound (i.e., create deadlines for achieving goals). This will help you stay on track by creating a sense of urgency.

A good way to improve your time management at work is with proven time management techniques . They are methods used by millions of people around the world. Here are a few very popular ones:

The Eisenhower Matrix

The Eisenhower Matrix , a widely popular prioritization method, was developed by the 34th president of the United States, Dwight D. Eisenhower.

This technique focuses on task prioritization by categorizing tasks based on their importance and urgency. The more urgent and important a task is, the higher it should be on your list of priorities.

To try it out for yourself, you should:

  • Create the following four categories of tasks: Important and Urgent, Important but Not Urgent, Not Important but Urgent, and Not Important and Not Urgent.
  • Evaluate your current tasks and put each of them into the appropriate category.
  • You should do the tasks in the Important and Urgent category immediately.
  • You should schedule a time to do the task in the Important but Not Urgent category.
  • You should delegate the tasks in the Not Important but Urgent category.
  • You should delete the tasks from the Not Important and Not Urgent category and not worry about them.

The Pomodoro Technique

The Pomodoro time management technique was invented by a college student, Francesco Cirillo, in the late 1980s. This method puts an almost equal emphasis on rest periods as it does on doing the actual work.

The Pomodoro method is really simple, and if you want to try it out, you should:

  • Set up a 25-minute timer and work until it goes off
  • Take a 5-10 minute short break
  • Set the timer again and repeat for four consecutive turns (work, short break, work…)
  • After the 4th round of work, instead of taking a short break (5-10 minutes), take a longer one (15-30 minutes)

The Timeboxing Method

The Timeboxing Method is a time management technique that revolves around setting up “boxes of time” for various tasks or activities and thus limiting the amount of time you spend on them. It’s about creating fixed schedules for tasks and sticking to those schedules religiously.

To try it out:

  • Choose an activity or a task that you want to put in a timebox
  • Put a strict time limit on the task or activity you chose (i.e., create a timebox)
  • Do the activity until the time you’ve allocated runs out
  • Adjust the timebox if the activity or task took less or more time to complete than you originally anticipated

Distractions at work are one of the biggest productivity killers. A survey by Career Builder details some of the most common work distractions that office workers face.

Some of those distractions are:

  • Texting or using cell phones
  • Spending time browsing the internet
  • Using or scrolling through social media sites
  • Gossiping or noisy colleagues (you know who you are)

These micro-level distractions can have a huge (read negative) impact on the macro level. This means that distractions can negatively affect a company on an organizational level , leading to various issues, including:

  • Compromised work quality
  • Missed deadlines
  • Lower morale due to other employees having to pick up the slack
  • Negative effect on the manager/employee or boss/employee relationship
  • Lowered revenue

So, because micro-level distractions affect companies on a macro level, it logically stands that dealing with distractions on an individual level can prevent organizational issues .

Whether you’re looking to minimize distractions for yourself or your employees, our advice is to try the following:

  • Turn off your phone (or at least phone notifications) when you start working and advise your employees to do the same.
  • Don’t use social media at work or prevent the use of social media sites on work devices (mobile phones, computers, etc.)
  • Have a set time during the day to answer emails instead of checking your email throughout the entire day. If possible, advise your employees to do the same.
  • Try using earplugs if you find your work environment is too loud (can also help with chatty co-workers)

Delegation allows you to use the strengths of your employees, team members, or colleagues.

It's a good way to improve your overall time management and give yourself additional work hours to focus on more important tasks.

According to this study and many others, delegating tasks can improve employees' job satisfaction by creating a greater sense of autonomy at work. And why is job satisfaction important?

Simple, because job satisfaction is closely linked with productivity at work, and if high, it can drastically improve it.

So, learning how to delegate impacts not only managers but also their direct subordinates, employees, or team members. It gives managers more time to deal with higher-difficulty, higher-priority, or managerial tasks while also empowering employees and increasing their job satisfaction (which in turn positively affects employee productivity).

To start delegating, you should:

  • Analyze your workload and try to identify tasks that you can delegate to others. These tasks could be standard routine tasks, tasks that take up too much of your valuable time, or tasks that you don’t have direct experience dealing with
  • Make sure to choose a suitable person for the job . One of the vital, if not the most important, parts of delegation is finding the right person to delegate tasks to. Getting it wrong can nullify all the benefits of delegating, making it take up more of your time instead of freeing it up for more important/difficult tasks. When deciding on the person to delegate tasks to, consider their skills, work experience, and current workload. You can also set up short meetings with your top picks (sort of like mini job interviews), where you can discuss their skills and relevant experience in greater detail.
  • Give clear instructions . Make sure to give clear instructions and provide any additional details about the tasks to the person you’re delegating them. Also, ensure they are aware of all expectations and any potential deadlines.
  • Create a feedback loop and give support to the person you choose to delegate tasks to. This will help them meet deadlines and will ensure that the quality of work is not compromised.

Multitasking may seem like a good idea to increase productivity, but in practice, it does the opposite.

Instead of allowing you to complete multiple tasks or projects, it puts most people into the position of working on multiple tasks or projects simultaneously but never finishing them (or not finishing them on time/within the deadline).

According to the study, poignantly titled “ Multicosts of Multitasking ,” working on multiple tasks concurrently can actually cause our brains to overload with information, effectively decreasing the brain’s processing power. This, in turn, lowers productivity and leads to higher chances of mistakes and, ultimately, lower quality of work.

So, instead of multitasking, try to invest your energy and time in individual tasks and work on them until they're done.

A study that analyzed the effects of micro-breaks on well-being and performance showed that regular 10-minute breaks can significantly improve one’s well-being and reduce the build-up of work fatigue.

Regular breaks are a proven method for managing and maintaining your productivity during the day. In fact, not having breaks and working long hours can lead to being overworked and can also cause burnout. Which, frankly, nobody wants.

The important thing here is to realize when you need to take a break and then simply take one . A 10-to-15-minute break is not going to hurt your work (unless you’re an ER doctor), but it can do wonders for your focus, productivity, and well-being.

There’s no better way to emphasize the importance of time management than through its many benefits. And that’s exactly what we aim to do here. Here are some of the most common benefits of good time management :

Good time management allows you to prioritize your tasks more effectively and complete them in a timely manner.

With time management, you’ll not only be meeting all of your deadlines but also increasing your overall productivity.

The study, which examined the effects of self-esteem and time management skills on nursing students' GPA (grade point average), showed some interesting results.

The researchers postulate a direct correlation between time management, confidence, and student’s GPA. The sample size was too small to empirically claim the connection.

Still, the idea behind it seems logical and sound — The better someone manages their time, the more confident they’ll be and will produce better results.

Time management and deadlines are inalienably intertwined. Deadlines serve as checkpoints for time management that help you stay on track with your tasks, and never fall behind in their planning and execution.

With time management, you can organize your work schedule and tasks in a way where you never feel overwhelmed or overworked. When you do that, meeting deadlines becomes a natural, calm part of your daily schedule.

A small study looked at the effects of time management on procrastination . Procrastination is defined as a self-regulatory issue, and the idea the researchers had was to prevent it by dealing with self-regulation problems through the use of time management. The results showed that, as expected, time management works.

The group that used time management showed little to no signs of procrastination, while the control group (no time management) kept making the same mistakes.

This study shows that procrastination directly results from not knowing how to manage time properly. When there is no clear focus on specific goals, people almost instinctively veer into procrastination.

On the other hand, by having clear goals and actively working on time management, people can better manage their workload, feel in control of it, and ultimately stop procrastinating.

A study done on a group of high-school athletes had some interesting findings, with one of those being particularly riveting (at least to us) — the researchers found a direct correlation between self-discipline and time management.

The higher the self-discipline is, the better the athletes are at managing their time. From there, it’s easy to postulate the opposite; the better someone is at time management, the better they’ll be at self-discipline.

Finding motivation is a big problem for a lot of people. The same goes for managers and team leads who are always looking for new ways to motivate their employees. But what if the answer was so obvious that it was staring everybody in the face the whole time? Yes, we’re talking about time management.

A 2020 study shows the positive effects of learning time management and self-discipline skills on students' motivation for learning. And, if time management can motivate students to study more, in this day and age, imagine what it can do for you, your employees, and ultimately your business.

As you can see, there are many reasons to pay attention to the importance of time management. Wise use of time is essential if you or your company want to be more successful.

The University of Chicago The Law School

Innovation clinic—significant achievements for 2023-24.

The Innovation Clinic continued its track record of success during the 2023-2024 school year, facing unprecedented demand for our pro bono services as our reputation for providing high caliber transactional and regulatory representation spread. The overwhelming number of assistance requests we received from the University of Chicago, City of Chicago, and even national startup and venture capital communities enabled our students to cherry-pick the most interesting, pedagogically valuable assignments offered to them. Our focus on serving startups, rather than all small- to medium-sized businesses, and our specialization in the needs and considerations that these companies have, which differ substantially from the needs of more traditional small businesses, has proven to be a strong differentiator for the program both in terms of business development and prospective and current student interest, as has our further focus on tackling idiosyncratic, complex regulatory challenges for first-of-their kind startups. We are also beginning to enjoy more long-term relationships with clients who repeatedly engage us for multiple projects over the course of a year or more as their legal needs develop.

This year’s twelve students completed over twenty projects and represented clients in a very broad range of industries: mental health and wellbeing, content creation, medical education, biotech and drug discovery, chemistry, food and beverage, art, personal finance, renewable energy, fintech, consumer products and services, artificial intelligence (“AI”), and others. The matters that the students handled gave them an unparalleled view into the emerging companies and venture capital space, at a level of complexity and agency that most junior lawyers will not experience until several years into their careers.

Representative Engagements

While the Innovation Clinic’s engagements are highly confidential and cannot be described in detail, a high-level description of a representative sample of projects undertaken by the Innovation Clinic this year includes:

Transactional/Commercial Work

  • A previous client developing a symptom-tracking wellness app for chronic disease sufferers engaged the Innovation Clinic again, this time to restructure its cap table by moving one founder’s interest in the company to a foreign holding company and subjecting the holding company to appropriate protections in favor of the startup.
  • Another client with whom the Innovation Clinic had already worked several times engaged us for several new projects, including (1) restructuring their cap table and issuing equity to an additional, new founder, (2) drafting several different forms of license agreements that the company could use when generating content for the platform, covering situations in which the company would license existing content from other providers, jointly develop new content together with contractors or specialists that would then be jointly owned by all creators, or commission contractors to make content solely owned by the company, (3) drafting simple agreements for future equity (“Safes”) for the company to use in its seed stage fundraising round, and (4) drafting terms of service and a privacy policy for the platform.
  • Yet another repeat client, an internet platform that supports independent artists by creating short films featuring the artists to promote their work and facilitates sales of the artists’ art through its platform, retained us this year to draft a form of independent contractor agreement that could be used when the company hires artists to be featured in content that the company’s Fortune 500 brand partners commission from the company, and to create capsule art collections that could be sold by these Fortune 500 brand partners in conjunction with the content promotion.
  • We worked with a platform using AI to accelerate the Investigational New Drug (IND) approval and application process to draft a form of license agreement for use with its customers and an NDA for prospective investors.
  • A novel personal finance platform for young, high-earning individuals engaged the Innovation Clinic to form an entity for the platform, including helping the founders to negotiate a deal among them with respect to roles and equity, terms that the equity would be subject to, and other post-incorporation matters, as well as to draft terms of service and a privacy policy for the platform.
  • Students also formed an entity for a biotech therapeutics company founded by University of Chicago faculty members and an AI-powered legal billing management platform founded by University of Chicago students.
  • A founder the Innovation Clinic had represented in connection with one venture engaged us on behalf of his other venture team to draft an equity incentive plan for the company as well as other required implementing documentation. His venture with which we previously worked also engaged us this year to draft Safes to be used with over twenty investors in a seed financing round.

More information regarding other types of transactional projects that we typically take on can be found here .

Regulatory Research and Advice

  • A team of Innovation Clinic students invested a substantial portion of our regulatory time this year performing highly detailed and complicated research into public utilities laws of several states to advise a groundbreaking renewable energy technology company as to how its product might be regulated in these states and its clearest path to market. This project involved a review of not only the relevant state statutes but also an analysis of the interplay between state and federal statutes as it relates to public utilities law, the administrative codes of the relevant state executive branch agencies, and binding and non-binding administrative orders, decisions and guidance from such agencies in other contexts that could shed light on how such states would regulate this never-before-seen product that their laws clearly never contemplated could exist. The highly varied approach to utilities regulation in all states examined led to a nuanced set of analysis and recommendations for the client.
  • In another significant research project, a separate team of Innovation Clinic students undertook a comprehensive review of all settlement orders and court decisions related to actions brought by the Consumer Financial Protection Bureau for violations of the prohibition on unfair, deceptive, or abusive acts and practices under the Consumer Financial Protection Act, as well as selected relevant settlement orders, court decisions, and other formal and informal guidance documents related to actions brought by the Federal Trade Commission for violations of the prohibition on unfair or deceptive acts or practices under Section 5 of the Federal Trade Commission Act, to assemble a playbook for a fintech company regarding compliance. This playbook, which distilled very complicated, voluminous legal decisions and concepts into a series of bullet points with clear, easy-to-follow rules and best practices, designed to be distributed to non-lawyers in many different facets of this business, covered all aspects of operations that could subject a company like this one to liability under the laws examined, including with respect to asset purchase transactions, marketing and consumer onboarding, usage of certain terms of art in advertising, disclosure requirements, fee structures, communications with customers, legal documentation requirements, customer service and support, debt collection practices, arrangements with third parties who act on the company’s behalf, and more.

Miscellaneous

  • Last year’s students built upon the Innovation Clinic’s progress in shaping the rules promulgated by the Financial Crimes Enforcement Network (“FinCEN”) pursuant to the Corporate Transparency Act to create a client alert summarizing the final rule, its impact on startups, and what startups need to know in order to comply. When FinCEN issued additional guidance with respect to that final rule and changed portions of the final rule including timelines for compliance, this year’s students updated the alert, then distributed it to current and former clients to notify them of the need to comply. The final bulletin is available here .
  • In furtherance of that work, additional Innovation Clinic students this year analyzed the impact of the final rule not just on the Innovation Clinic’s clients but also its impact on the Innovation Clinic, and how the Innovation Clinic should change its practices to ensure compliance and minimize risk to the Innovation Clinic. This also involved putting together a comprehensive filing guide for companies that are ready to file their certificates of incorporation to show them procedurally how to do so and explain the choices they must make during the filing process, so that the Innovation Clinic would not be involved in directing or controlling the filings and thus would not be considered a “company applicant” on any client’s Corporate Transparency Act filings with FinCEN.
  • The Innovation Clinic also began producing thought leadership pieces regarding AI, leveraging our distinct and uniquely University of Chicago expertise in structuring early-stage companies and analyzing complex regulatory issues with a law and economics lens to add our voice to those speaking on this important topic. One student wrote about whether non-profits are really the most desirable form of entity for mitigating risks associated with AI development, and another team of students prepared an analysis of the EU’s AI Act, comparing it to the Executive Order on AI from President Biden, and recommended a path forward for an AI regulatory environment in the United States. Both pieces can be found here , with more to come!

Innovation Trek

Thanks to another generous gift from Douglas Clark, ’89, and managing partner of Wilson, Sonsini, Goodrich & Rosati, we were able to operationalize the second Innovation Trek over Spring Break 2024. The Innovation Trek provides University of Chicago Law School students with a rare opportunity to explore the innovation and venture capital ecosystem in its epicenter, Silicon Valley. The program enables participating students to learn from business and legal experts in a variety of different industries and roles within the ecosystem to see how the law and economics principles that students learn about in the classroom play out in the real world, and facilitates meaningful connections between alumni, students, and other speakers who are leaders in their fields. This year, we took twenty-three students (as opposed to twelve during the first Trek) and expanded the offering to include not just Innovation Clinic students but also interested students from our JD/MBA Program and Doctoroff Business Leadership Program. We also enjoyed four jam-packed days in Silicon Valley, expanding the trip from the two and a half days that we spent in the Bay Area during our 2022 Trek.

The substantive sessions of the Trek were varied and impactful, and enabled in no small part thanks to substantial contributions from numerous alumni of the Law School. Students were fortunate to visit Coinbase’s Mountain View headquarters to learn from legal leaders at the company on all things Coinbase, crypto, and in-house, Plug & Play Tech Center’s Sunnyvale location to learn more about its investment thesis and accelerator programming, and Google’s Moonshot Factory, X, where we heard from lawyers at a number of different Alphabet companies about their lives as in-house counsel and the varied roles that in-house lawyers can have. We were also hosted by Wilson, Sonsini, Goodrich & Rosati and Fenwick & West LLP where we held sessions featuring lawyers from those firms, alumni from within and outside of those firms, and non-lawyer industry experts on topics such as artificial intelligence, climate tech and renewables, intellectual property, biotech, investing in Silicon Valley, and growth stage companies, and general advice on career trajectories and strategies. We further held a young alumni roundtable, where our students got to speak with alumni who graduated in the past five years for intimate, candid discussions about life as junior associates. In total, our students heard from more than forty speakers, including over twenty University of Chicago alumni from various divisions.

The Trek didn’t stop with education, though. Throughout the week students also had the opportunity to network with speakers to learn more from them outside the confines of panel presentations and to grow their networks. We had a networking dinner with Kirkland & Ellis, a closing dinner with all Trek participants, and for the first time hosted an event for admitted students, Trek participants, and alumni to come together to share experiences and recruit the next generation of Law School students. Several speakers and students stayed in touch following the Trek, and this resulted not just in meaningful relationships but also in employment for some students who attended.

More information on the purposes of the Trek is available here , the full itinerary is available here , and one student participant’s story describing her reflections on and descriptions of her experience on the Trek is available here .

The Innovation Clinic is grateful to all of its clients for continuing to provide its students with challenging, high-quality legal work, and to the many alumni who engage with us for providing an irreplaceable client pipeline and for sharing their time and energy with our students. Our clients are breaking the mold and bringing innovations to market that will improve the lives of people around the world in numerous ways. We are glad to aid in their success in any way that we can. We look forward to another productive year in 2024-2025!
